CMS Media Library

The CMS Media Library is the central store for media files used in your CMS content - images, documents, videos, and audio. It is one shared Media Library that appears under each module; this page covers the version accessed from the CMS module.

Overview

Upload, organize, and manage media files scoped to the CMS module. Files can be grouped into folders, tagged, and given accessibility text and captions. Access requires CMS permission.

Open the CMS module, then choose Media Library. This opens the Media Library list page (CMS › Media Library).

Page Layout (List Page)

The list page shows your CMS files in a paginated table (12 per page, newest first).

  • Open Media Library button (top right) - opens the full-screen Media Library browser
  • Search - search files by File Name or Tags
  • Filter - File Type filter: Image, Document, Video, Audio
  • Table columns: preview thumbnail, File Name (shows the original name underneath if it differs), Type, Size, Folder, Uploaded By, Date
  • Click any row to open that file's detail page

File Types

Each file is classified into one of four types: Image, Document, Video, Audio.

Uploads accept: images, videos, audio, PDF, Word (.doc, .docx), Excel (.xls, .xlsx), PowerPoint (.ppt, .pptx), .txt, and .csv. Maximum file size is 50 MB per file.

Common Tasks

Opening the Full-Screen Media Library

  1. On the list page, click Open Media Library
  2. The full-screen browser opens, showing folders and files for the CMS module

In the full-screen browser you can:

  • Toggle between Grid and List view (top-right view buttons)
  • Navigate folders via the breadcrumb (starts at Media Library)
  • Search files... by name
  • Sort by: Newest first, Name (A–Z), Size (largest), Type
  • Filter by type chip: All, Images, Documents, Videos, Audio
  • See an item count and total storage used for the loaded files
  • Scroll to load more files automatically

Uploading Files (Upload Form Page)

  1. On the list page, open the full-screen Media Library and click Upload, or go to the Upload page
  2. File Selection: drag and drop a file onto the dropzone, or click it to browse and pick a file
  3. File Details (all optional):
    • Alternative Text - describe the file for accessibility
    • Tags - comma-separated tags
    • Caption - optional caption
  4. Organization:
    • Folder - choose a folder, or leave as No Folder
  5. Click Upload File

A file must be selected before uploading. After a successful upload you are taken to the new file's detail page.

Uploading Files (Full-Screen Browser)

  1. In the full-screen Media Library, click Upload to open the upload dialog, or drag and drop files directly onto the file grid
  2. In the upload dialog, drag files onto the dropzone or click to browse - multiple files can be queued
  3. Choose Upload to folder (optional)
  4. Review the queued files; remove any with the × button or Clear All
  5. Click Upload N files

Each queued file shows its upload status (queued, uploading, uploaded, or error). The dialog closes automatically only when every file succeeds; if any file fails, it stays open so you can review and retry.

Note: Files uploaded by dragging onto the grid go into the folder you are currently viewing.

Creating Folders

  1. In the full-screen Media Library, click New Folder
  2. Type a Folder name
  3. Click Create (or press Enter)

New folders are created inside the folder you are currently viewing.

Deleting Folders

  1. Hover over a folder card and click its delete icon
  2. Confirm in the Delete Folder dialog

Warning: A folder must be empty before it can be deleted.

Viewing & Editing File Details (Detail Page)

Click a file row on the list page to open its detail page. It shows:

  • File Preview - with a Download File button when the file has a URL
  • File Information: File Name, Original Name, Type, Size, MIME Type, Module, Dimensions (images), Duration (video/audio)
  • Metadata: Alternative Text, Caption, Tags, Folder
  • Upload Info: Processing Status, Uploaded By, Created, Last Updated

Detail page header actions:

  • Open / Download File - opens the file in a new tab (when available)
  • Edit - go to the edit form
  • Delete - delete the file (with confirmation)

Editing a File

  1. On the file detail page, click Edit
  2. Update any of these fields:
    • File Name
    • Alternative Text
    • Tags
    • Caption
    • Folder
  3. Click Save Changes

Inline Editing in the Full-Screen Browser

  1. In the full-screen Media Library, click a file to open the Asset Details side panel
  2. Edit File name, Alternative text, or Caption directly
  3. Click Save

From this panel you can also Open the file in a new tab or Delete it.

Deleting Files

  • From the detail page: click Delete, then confirm
  • From the full-screen browser: hover a file (grid view) or use the row action (list view) and click the delete icon, then confirm
  • From the Asset Details panel: click Delete, then confirm

Warning: Deleting a file also removes it from storage. This action cannot be undone.

Tips

  • Add Alt Text - describe images for accessibility
  • Use Folders - group related files; create folders before uploading to keep things organized
  • Tag Files - comma-separated tags make files easy to search
  • Watch the Size Limit - files are capped at 50 MB each
