AI Assistant
The AI Assistant is a chat sidebar built into a handful of screens that lets you manage that screen's records by talking to it in plain language, instead of clicking through forms yourself.
Where It Appears
The AI Assistant is currently available on:
- Settings → Roles
- Settings → User Levels
- Settings → Users (User Management)
- Settings → Departments
- Workspace → Processes — both the Processes list and the Process Builder
The assistant button only appears if you have access to that screen. If you don't see it, you don't have permission to use the AI Assistant there either — the same access rule that hides the page itself.
Opening the Assistant
Look for the robot icon button in the page header, next to the screen's other action buttons.
- On most pages it's a plain icon button — hover it and it shows the tooltip AI Assistant.
- On the Process Builder, it's shown as a labelled pill button, Edit with AI, since editing a workflow with the assistant is a primary way to work there.
Clicking it slides the assistant panel in from the right, alongside the page you're on.
What It Can Do
Each assistant is scoped to the screen it's opened from and can:
- List existing records (e.g. "list all roles with their departments")
- Create new records, one at a time or in bulk
- Update existing records
- Delete or deactivate records
On the Process Builder, the assistant knows which workflow you currently have open and edits that one — for example "add an approval step before this one" or "check this workflow for problems."
Ask in plain language — you don't need to know field names or exact wording. If something you ask for is ambiguous, the assistant asks a short clarifying question before proceeding.
Confirmation Before Destructive Actions
Before deleting a record, deactivating a user, resetting a password, or any other action that can't be easily undone, the assistant describes exactly what it's about to do and asks you to confirm. Nothing destructive happens until you reply yes — it will not batch-delete or guess on your behalf.
Attachments
You can attach files to your message using the attachment button in the chat composer:
- Images are read visually by the assistant (for example, a screenshot of a list you want recreated).
- Spreadsheets and CSV files are parsed so you can create many records at once — for example, attach a spreadsheet of names and say "create all of these as users."
Real-Time Updates
As the assistant creates, updates, or deletes records, the page behind the panel refreshes automatically — you'll see the list, tree, or workflow canvas update while the conversation is still going, not just after it finishes.
Conversations & Topics
Each module's assistant remembers your conversation history — it's private to you, scoped to that module. You are not limited to a single conversation:
- The bar at the top of the panel shows the current conversation's name and doubles as a switcher — click it to jump to a previous conversation.
- Click the + button in the panel header to start a new conversation. Conversations auto-name themselves from their first message.
