Governance FAQ

Common questions about Governance Meetings — finding a meeting in the list, tidying finished meetings away, and the difference between archiving and deleting. The Meetings page covers each topic in full.

Finding Meetings

Where do I find my company's meetings?

Go to Governance → Meetings in the left sidebar; you need the Governance access permission to open the module. Meetings are grouped under Upcoming (Scheduled or In Progress) and Past (Completed or Cancelled), and within each heading by day — Today, Tomorrow, Yesterday, then by how far away they are, ending with Earlier. Each row shows the time and date, title, category, attendees, how many action items are done out of the total, and a status badge.

How do I narrow the list down?

Use the filters above the list to limit it by category or status, or type in the search box to match a meeting title. Clear filters resets the category and status filters.

Why don't the summary cards match the number of meetings I see?

The four cards at the top of the page count your active meetings only — the total, plus In Progress, Scheduled, and Completed. Archived meetings are left out of those counts, even though they are still readable on the Archived tab.

Archiving and Restoring

What does archiving a meeting do?

Archiving tidies a meeting out of the way without deleting anything. It leaves the Active tab for Archived, stops being counted in the summary cards, and disappears from the Calendar. Everything inside it — agenda, minutes, attendees, action items, and issues — is kept and stays readable. To archive, open the meeting from the list and click Archive.

Can I archive a meeting that hasn't finished?

Yes. A meeting can be archived whatever its status, including one still marked Scheduled or In Progress, and archiving does not change that status — a meeting that was In Progress is still In Progress on the Archived tab. This is the tidy way to deal with a meeting that was never formally ended and would otherwise sit in the Upcoming list indefinitely.

Who is allowed to archive or restore a meeting?

The person who created the meeting, and any super admin. Everyone else in the company can still open and read an archived meeting; they simply have no archive or restore action.

How do I bring an archived meeting back?

Open the Archived tab, where archived meetings appear in a muted style, and click Restore on the right of the row — or open the meeting and click Restore in its header. It returns to the Active tab immediately, and back onto the Calendar.

Deleting

How do I delete a meeting, and should I?

Deleting is deliberately harder to reach than archiving because it cannot be undone from the app. A meeting must be archived first, and only a super admin can delete it: archive the meeting, open it from the Archived tab, then click Delete and confirm. Trying to delete a meeting that has not been archived is refused with a prompt to archive it first. Prefer archiving — it is reversible and keeps the full record of what was discussed and decided. Delete only a meeting created in error that has no value as a record.
