Analytics Reports

POS Analytics is a set of 13 read-only reports organised into four families. Each family is its own sidebar entry under POS → Reports. Within a family, report sub-tabs let you switch between the individual reports instantly.

All reports only read existing sales data — no records are created or changed.

Open a family from the sidebar:

After opening a family, click any sub-tab to switch reports. Hovering over a tab shows a short description of what that report covers.

Shared Filter Bar

Every report in every family shares the same filter bar at the top of the page. All fields are optional.

Start DateFirst date to include in results. Defaults to 30 days ago.
End DateLast date to include in results. Defaults to today.
BranchLimit to one branch. Leave blank (All Branches) to include every branch.
CashierLimit to one cashier. Leave blank (All Cashiers) to include everyone.
Payment MethodLimit to one payment method: Cash, GCash, PayMaya, Credit Card, Debit Card, QR Code, Bank Transfer, or Check. Leave blank (All Methods) to include all.

Changing any filter refreshes the active report immediately.

Column Header Hints

Every column header shows an information icon (i). Hovering over it reveals a short explanation of how that column's value is calculated. This is especially useful for derived metrics such as Margin % or Avg Ticket.

Summary Cards

When the active report has meaningful totals, a row of summary cards appears above the table (for example, total revenue or total orders). These update along with the filters.

Export to Excel

An Export to Excel button (spreadsheet icon) sits in the top-right action bar on every report page. Clicking it downloads the current report — with all current filter settings applied — as an .xlsx file. The button is disabled when the report has no rows.

Truncation Notice

If a date range produces more than 10,000 underlying sales, a notice appears above the table:

"Showing the first 10,000 sales — narrow the date range for complete results."

Narrow the date range or add a Branch / Cashier filter to see the full data set.

Reports by Family

Products

Product Movement

Units sold and revenue per product, sorted best-sellers first. Use this to identify your top-performing items.

Category Movement

Sales grouped by product category. Shows how each category contributes to total revenue.

Product vs Service

Compares revenue between products and services. Useful for understanding the mix of your business.

Profitability

Shows revenue, cost, gross profit, and margin percentage per product.

  • Cost is the item's estimated buying price from the product catalog multiplied by the quantity sold. If no buying price has been set for an item, its cost is 0 (and its margin shows as 100% until a buying price is added).
  • Gross Profit = Net sales − Cost.
  • Margin % = Gross Profit ÷ Net Sales × 100.

A "catalog unavailable" notice appears if the product catalog is temporarily unreachable; in that case the category and cost columns may be blank.


Daily Summary

Totals per calendar day: number of orders, gross sales, discount amount, and net sales. Use this to spot strong and weak days.

Best-Seller by Day

Shows the single top-selling item for each day in the selected range. Clicking any day row opens the Items Sold on [date] dialog, which lists every item sold that day (ranked by quantity) while keeping the current Branch, Cashier, and Payment Method filters.

By Payment Method

Amount collected per payment method. Shows which methods your customers prefer.

Discounts

Lists all orders that received a discount, along with the discount rate applied.

Peak Hours

Sales broken down by hour of the day. Use this to identify your busiest times and plan staffing accordingly.


People & Places

By Cashier

Orders, sales total, and average ticket per cashier. Use this to compare individual performance.

By Branch

Orders, sales total, and average ticket per branch. Use this to compare branch performance.

Customers

Orders, total spend, and loyalty points earned per customer. Use this to identify your most valuable customers.


Operations

Fulfillment

Orders grouped by order type and fulfillment status. Use this to track how orders are being completed.

Void / Cancelled

Voided or cancelled sales, with the reason and the amount of each. Use this to monitor loss from voids.

Common Tasks

Running a report for a specific period

  1. Navigate to the desired family under POS → Reports.
  2. Click the sub-tab for the report you want.
  3. Set Start Date and End Date in the filter bar.
  4. The report updates automatically.

Narrowing to one branch or cashier

In the filter bar, choose the Branch or Cashier you want. The report refreshes immediately. Combine both filters to see a specific cashier's sales at a specific branch.

Seeing every item sold on a particular day

  1. Go to POS → Reports → Sales Trends.
  2. Click the Best-Seller by Day tab.
  3. Click any row in the table (a calendar day).
  4. The Items Sold on [date] dialog opens and lists every item sold that day, ranked by quantity. The Branch, Cashier, and Payment Method filters you have set carry into the dialog automatically.
  5. Click outside the dialog or press the close button to dismiss it.

Exporting a report

  1. Open the report you want.
  2. Apply any filters you need.
  3. Click the Export to Excel button (top-right, spreadsheet icon).
  4. The file downloads as <ReportName>_<StartDate>_<EndDate>.xlsx (exact filename depends on the report type).
  • Sales Report — detailed itemized view of individual sales with cashier and branch filtering
