School Media Library

The School Media Library is a shared file store for the School module. You can upload images, documents, videos, and audio, organize them into folders, and reuse them elsewhere in the system. The Media Library is the same tool used across other modules (Treasury, Projects, CRM, and so on); this is the School-scoped copy, so the files and folders you see here belong to the School module only.

Getting There

The Media Library opens in the sidebar under School (it may appear as File Drive in the menu). You need School Management access to open it.

Page Layout

The main page shows a table of files with these columns:

Above the table you can:

  • Search — search by File Name or Tags.
  • Filter — filter by File Type (Image, Document, Video, Audio).
  • Sort — sort by File Name, Size, Type, or Date.

The list is paginated (12 files per page) and sorted by newest first by default.

There is one action button at the top right:

  • Open Media Library — opens the full-screen Media Library window where most of the work (browsing, uploading, folders, editing, deleting) happens.

Clicking any row in the table opens that file's detail page.

The Media Library Window

Clicking Open Media Library opens a full-screen window for browsing and managing files.

Browsing

  • Switch between grid and list view using the toggle in the window header.
  • Filter by file type using the chips: All, Images, Documents, Videos, Audio.
  • Search files using the search box.
  • Sort using the dropdown: Newest first, Name (A–Z), Size (largest), or Type.
  • A counter shows the total number of items.
  • Files load automatically as you scroll (infinite scroll).

Folders

  • Folders appear at the top of the content area. Click a folder to open it.
  • A breadcrumb (starting at Media Library / Home) lets you move back up the folder path.
  • New Folder — creates a folder inside the folder you are currently viewing. Type a name and click Create.
  • To delete a folder, use the delete icon on the folder card. A folder must be empty before it can be deleted.

Viewing and editing a file

Click a file to open the Asset Details panel on the right. From there you can:

  • Edit the File name, Alternative text, and Caption, then click Save.
  • See file info: Type, Size, MIME type, Dimensions (for images), and the upload date.
  • Open the file in a new browser tab.
  • Delete the file (you'll be asked to confirm; this cannot be undone).

Double-clicking a file (when the window is used in a selection mode) confirms the selection.

Common Tasks

Uploading files

There are two ways to upload.

From the Media Library window:

  1. Click Open Media Library.
  2. Open the folder you want to upload into (optional).
  3. Click Upload to open the upload dialog, or drag files directly onto the browse area.
  4. In the upload dialog, drag and drop files or click to browse. You can queue multiple files at once.
  5. Choose the folder to upload into under Upload to folder.
  6. Click Upload to send all queued files. Files that fail stay listed so you can retry.

From the single-file upload page (Media Library → Upload):

Step 1 — Select the file by dragging it onto the dropzone or clicking to browse. A file is required.

Step 2 — Fill in the optional details:

  • Alternative Text — a description used for accessibility.
  • Tags — comma-separated keywords (for example: receipt, invoice).
  • Caption — an optional caption.

Step 3 — Under Organization, choose a Folder (or leave it as No folder (root)).

Step 4 — Click Upload File. After upload you are taken to the file's detail page.

Accepted file types: images, videos, audio, PDF, Word (.doc/.docx), Excel (.xls/.xlsx), PowerPoint (.ppt/.pptx), text (.txt), and CSV (.csv). Maximum file size is 50MB per file.

Editing file details

  1. Open a file's detail page (click the row in the table) and click Edit, or edit inline from the Asset Details panel in the Media Library window.
  2. On the edit page you can change:
    • File Name (required)
    • Alternative Text
    • Tags (comma-separated)
    • Caption
    • Folder
  3. Click Save Changes.

Finding files

  • Use the Search box (by File Name or Tags) on the main table, or the search inside the Media Library window.
  • Use the File Type filter or the type chips.
  • Use Sort to order by name, size, type, or date.
  • Browse into folders.

Deleting a file

  1. Open the file's detail page or the Asset Details panel.
  2. Click Delete.
  3. Confirm in the dialog. Deleting also removes the file from storage and cannot be undone.

File Detail Page

Clicking a file in the table opens its detail page, which shows:

  • File Preview — inline preview for images, video, audio, and PDFs; other types show a download option.
  • File Information — File Name, Original Name, Type, Size, MIME Type, Module, and (for images) Dimensions.
  • Metadata — Alternative Text, Caption, Tags, and Folder.
  • Upload Info — Processing Status, Uploaded By, Created date, and Last Updated date.

Actions on this page: Open (in a new tab), Edit, and Delete.

Tips

  • Add Tags so files are easy to find later — the main search can search by tags.
  • Use Alternative Text on images so they remain accessible.
  • Organize files into folders; remember a folder must be empty before you can delete it.
  • Keep files under the 50MB per-file limit.
