Media Library

The Media Library is where Treasury stores and organizes its files — receipts, bank statements, scanned documents, images, and other supporting attachments. Files are organized into folders, can be searched and filtered, and carry metadata such as a caption, alternative text, and tags.

The Media Library appears in several modules (Treasury, CRM, Projects, Assets, Manpower, CMS, School). Each module keeps its own separate set of files and folders. This page describes the Treasury Media Library.

Getting There

In the sidebar, open the Treasury module and click Media Library.

This opens the file list at Treasury › Media Library.

The File List

The list page shows all Treasury files in a table, newest first, 12 per page. Each row shows:

  • Preview — a thumbnail for images, or a type icon for documents, videos, and audio
  • File Name — the file's display name (the original upload name is shown beneath it when it differs)
  • Type — Image, Document, Video, or Audio
  • Size — the file size
  • Folder — the folder the file belongs to, or a dash if it is in the root
  • Uploaded By — the name of the user who uploaded the file
  • Date — the date the file was added

Clicking a row opens that file's detail page.

Searching and Filtering the List

  • Search by File Name or by Tags (choose which field to search).
  • Filter by File Type: Image, Document, Video, or Audio.
  • Sort by File Name, Size, Type, or Date by clicking the column headers.

Opening the Full Media Library

At the top right of the list page is the Open Media Library button. This opens the full-screen Media Library browser, where you can browse folders, upload files, and manage everything in one place (see below).

The Full-Screen Media Library

The Open Media Library button opens a full-screen browser with these features:

  • Grid / List view toggle in the header — switch between thumbnail cards and a detailed list.
  • Folder breadcrumb starting at the Media Library home, showing the folder path as you navigate in.
  • Item count and total size of the files currently shown.
  • Search files box.
  • Sort dropdown: Newest first, Name (A–Z), Size (largest), or Type.
  • Type filter chips: All, Images, Documents, Videos, Audio.

Folders

Folders shown in the current location appear as cards at the top, each showing its name and file count.

  • Click a folder to open it. The breadcrumb updates so you can step back out.
  • New Folder — click the button, type a folder name, and click Create (or press Enter). New folders are created inside the folder you are currently viewing.
  • To delete a folder, click the trash icon on its card and confirm. A folder must be empty before it can be deleted.

Selecting and Inspecting a File

  • Click a file to open the Asset Details panel on the right.
  • The details panel shows a preview plus editable File name, Alternative text, and Caption fields, and read-only file info (Type, Size, MIME, Dimensions for images, and the upload date).
  • Click Save to apply edits, Open to open the file in a new tab, or Delete to remove it.
  • Hovering a file card also exposes quick actions to preview (images) or delete.

Common Tasks

Uploading Files

You can upload from the full-screen Media Library or from the dedicated upload page.

From the full-screen Media Library:

  1. Click Open Media Library on the list page.
  2. Navigate to the folder you want to upload into (optional).
  3. Click Upload, or drag files directly onto the browse area.
  4. In the upload dialog, drag and drop files or click to browse. You can queue multiple files at once.
  5. Choose the Upload to folder destination.
  6. Click Upload to send all queued files. Each file shows its progress and a success or error indicator.

Supported file types: images, videos, audio, PDFs, and documents (.pdf, .doc, .docx, .xls, .xlsx, .ppt, .pptx, .txt, .csv). Maximum 50 MB per file.

From the upload page (one file at a time with full metadata):

Navigate to Treasury › Media Library › Upload. The form has three sections:

  1. File Selection — drag and drop a file onto the dropzone, or click to browse. A selected file shows its name, type, and size; you can remove it and pick another.
  2. File Details:
    • Alternative Text — describes the file for accessibility (optional)
    • Tags — comma-separated tags (optional)
    • Caption — an optional caption or description
  3. Organization:
    • Folder — choose a folder, or leave as No folder (root)

A file must be selected before you can upload. Click Upload File to finish; you are taken to the new file's detail page.

Viewing a File's Details

Click any file row in the list to open its detail page. The detail page shows:

  • File Preview — images, videos, audio, and PDFs are previewed inline; other types show a placeholder with a Download File option.
  • File Information — File Name, Original Name, Type, Size, MIME Type, Module, and (for images/videos) Dimensions and Duration.
  • Metadata — Alternative Text, Caption, Tags, and Folder.
  • Upload Information — Processing Status, Uploaded By, Created date, and Last Updated date.

From the detail page header you can Open the file in a new tab, Edit its metadata, or Delete it.

Editing File Metadata

  1. Open a file's detail page and click Edit (or go to Media Library › <file> › Edit).
  2. Update the fields across three sections:
    • Basic InformationFile Name (required)
    • MetadataAlternative Text, Tags (comma-separated), Caption
    • OrganizationFolder (choose a folder or No folder (root))
  3. Click Save Changes.

You can also edit File name, Alternative text, and Caption inline from the Asset Details panel in the full-screen Media Library.

Deleting a File

From the detail page or the full-screen browser, click Delete and confirm. Deleting a file also removes it from storage. This action cannot be undone.

Where Else the Media Library Is Used

The same Treasury Media Library is used as a file picker elsewhere in Treasury — for example, when attaching a bank statement during bank reconciliation. In those places it opens in a selection mode where you pick one or more existing files (or upload new ones) to attach.

Tips

  • Use folders to keep statements, receipts, and supporting documents separated.
  • Add tags so files can be found quickly with the Tags search.
  • Fill in Alternative Text for images so they remain identifiable and accessible.
  • Keep file names meaningful — the display name is what appears throughout the system.
  • A folder must be empty before deleting it — move or delete its files first.
