Tasks on Mobile
When you open a task on your phone — from the dashboard Tasks card, from the Tasks page, or from a notification — you land on the task screen. It is arranged so that what you most often need is on the first screen, with the supporting detail tucked into rows you can open when you want them.
Opening a Task
- From the Dashboard, tap any row in the Tasks card.
- From the Tasks page (the Tasks button on the bottom bar), tap any task in the list.
- From a notification about a task.
Tap the back arrow at the top left to return to where you came from.
The Task Screen
The Summary Card
The first card holds everything you need to judge the task at a glance:
- Title and, beneath it, the project the task belongs to
- Status and priority shown as coloured chips
- Due date on its own row. It changes appearance to match urgency — red when the task is overdue (with how many days), amber when it is due today, tomorrow or within the week, and plain when it is further out. If no due date has been set, the row says so.
- Alerts, when they apply (see below)
- Assignees, shown as profile pictures with a name beside them. If nobody is assigned, it says "Unassigned".
- Checklist progress, when the task has checklists — a single bar totalling every checklist on the task
- The action button — the one thing to do next
Alerts
Alerts appear in the summary card when something needs your attention, in this order:
- Blocked – the task is waiting on other tasks that are not finished yet. Tap this alert to jump straight to the list of what is blocking it.
- Paused – who paused the task and, if they gave one, the reason
- Issue flagged – the description of the issue, with a Resolve button
- Waiting on the client – shown with any remarks recorded against it
Working the Task
The button at the bottom of the summary card changes to match the task's current state:

Mark done asks you to confirm before completing the task.
As you scroll down a long task, the action button reappears in a bar at the bottom of the screen so you never have to scroll back up to act.
If the task is a step in a workflow or an approval, the buttons are replaced by a note asking you to open it on a computer. Completing this kind of task requires a form that only the desktop version can show. Use Copy link on the note to send yourself the address.
Description
If the task has a description, it appears in its own card below the summary. Long descriptions are shortened — tap Show more to read the rest, and Show less to collapse it again.
Activity
Below the description is the Activity card. It shows how many comments the task has and a preview of the most recent one.
- Tap the card to open the full Activity screen.
- Tap Write a comment… to open the Activity screen with the keyboard already up, ready to type.
The Details Rows
Everything else lives in a single card of rows you can open and close. Each row shows a short summary on the right, so you can often get what you need without opening it. You can have several rows open at once.
- Checklists – shows the total completed out of the total items. Opening it lists each checklist with its own progress bar and items. Checklists are read-only on mobile; tick items off on a computer.
- Related – the task's parent task, its subtasks, and anything blocking it. Every entry here is tappable and takes you to that task. The summary turns red when something blocking the task is still unfinished.
- Attachments – the number of files, with small previews of any images. Opening it shows images as tiles and other files as rows. Tap any of them to open or download the file.
- Notes – see Notes below.
- Details – the remaining information: start date, completion date, estimate, difficulty, project, milestone, reviewer, and who created the task. Only fields that have a value are listed.
Notes
Notes are short internal remarks kept against the task, separate from the discussion. Open the Notes row to work with them.
To add a note, tap Add a note, type it, and tap Add Note.
To edit a note, tap the pencil icon on it, change the text, and tap Save.
To delete a note, tap the bin icon and confirm.
If a note has been edited, an (edited) label appears next to its date. Tap that label to see the earlier versions, who changed them, and when.
The Activity Screen
The Activity screen is the task's full history and conversation, on a screen of its own so there is room to read and reply. It combines two kinds of entries:
- Comments – written by people, shown as speech bubbles. Yours appear on the right; everyone else's on the left with their profile picture.
- Updates – recorded automatically by the system when the task is created, started, reassigned, completed, flagged, and so on. These appear as small lines with an icon rather than bubbles.
Entries are grouped by day, newest at the bottom.
Reading
- Use the All and Comments buttons at the top to switch between the whole history and just the conversation.
- When several system updates happened in a row, they collapse into a single "n updates" line to keep the conversation readable. Tap it to expand them.
- Tap Load older activity at the top to go further back.
Writing a Comment
Type in the box at the bottom and tap the send button. The box grows as you type, and pressing Enter starts a new line rather than sending — so you can write more than one paragraph.
To mention someone, type @ followed by their name. A list of the project's members appears above the box; tap the person you mean and they are added to your comment. Mentioning someone notifies them.
The list offers members of the task's project. A task that is not attached to a project has nobody to suggest.
Editing and Deleting
Your own comments show Edit and Delete beneath them.
- Edit replaces the comment with a text box; change it and tap Save. An (edited) label then appears on it.
- Delete asks you to confirm, then removes the comment permanently.
You can only edit or delete comments you wrote. System updates cannot be changed by anyone.
Staying Up to Date
New comments appear as they are posted — you do not need to refresh. Anyone watching the task is notified when a comment is added, and mentioning someone always notifies them.
Opening the Activity screen marks the conversation as read.
Tap the back arrow at the top left to return to the task.
