Tasks

The Tasks page is your central list of all the work assigned to you, delegated to others, or moving through a project or process. It shows every task in one table or board, with quick filters, status tabs, and counters so you can focus on what matters now.

Where to Find It

In the sidebar, open Workspace and click Tasks.

Overview

The Tasks page gives you a single, filterable view of your work. At the top you see four summary counters, a row of scope and status tabs, a filter bar, and a switch between Table and Board views. Click any task to open its detail panel.

Summary Counters

Four cards across the top of the page summarize your workload:

  • My Tasks - Active tasks you are working on
  • For Review - Tasks waiting to be reviewed or approved
  • Overdue - Active tasks whose due date has passed
  • Completed - Tasks that have been finished

Scope Filters

A row of buttons lets you narrow the list by task type:

  • All - Every task
  • Project Tasks - Tasks attached to a project
  • Process Tasks - Tasks generated by a process or approval step
  • Standalone - Tasks not tied to a project or process
  • Done - Completed tasks

Status Tabs

Tabs split your tasks by where they stand, each showing a count badge:

  • Tasks - Your active work
  • Review - Tasks awaiting your review or approval
  • Paused - Tasks you have paused
  • Assigned - Tasks you delegated to other people
  • Collaborate - Tasks where you are a collaborator
  • Archived - Tasks you have archived (with a restore option)

Filter Bar

Below the tabs you can refine the list further:

  • Search - Type to match task title, project name, project code, or assignee
  • Assignee - Filter by who the task is assigned to
  • Priority - Filter by priority level
  • Status - Filter by board status (for example Backlog, In Progress, Done)
  • Due Date - Filter by Overdue, Due Today, Due This Week, Due Next Week, or No Due Date
  • Project - Filter by project (shown when project tasks exist)

When one or more filters are active, a Clear button appears to reset them all at once.

Table and Board Views

Use the toggle on the right of the filter bar to switch between:

  • Table view - A sortable list with columns for Title, Project, Status, Priority, Assignee, Due Date, and Age. Extra columns appear depending on the tab: Completed (Done), Submitted By (Review), and Reason / Paused For (Paused). Rows can be dragged to reorder them.
  • Board view - A column board grouped by status, where you can drag cards between columns.
Category icons on task titles

Workflow-generated task titles (process, Order Fulfillment, and approval tasks) show a small category icon before the title instead of the raw reference-code prefix (for example [TRS-2026-033] or [OF-000014]) — hover the icon to see the code. An administrator sets the icon per process category from the Processes page. Tasks whose category hasn't been customized, or has been set to keep its code, show the code as before.

Common Tasks

Creating a New Task

New tasks are created from the floating + button (the round button in the bottom-right corner of the screen) or by pressing the N key.

  1. Click the floating + button, then choose New Task (or press N).
  2. Enter the Task name (required).
  3. To add more detail, click More options to reveal:
    • Description
    • Priority
    • Due date
    • Project
    • Assignees (search and select people)
  4. Click Save (or press Enter).

By default the task is assigned to you and appears under your Tasks tab. If you select other people as assignees, the task is delegated and appears under your Assigned tab.

Tip

Press Shift+N to open the quick task form with the assignee picker already expanded, so you can delegate in one step.

Viewing and Working on a Task

  1. Click any task row (Table view) or card (Board view) to open the task detail panel.
  2. The detail panel shows the task's properties and lets you edit them, including:
    • Project — the first field shown. Click it to move the task to a different project (see Moving a Task to Another Project below).
    • Status, Priority, Assignees, Creator, Reviewer, Collaborators
    • Start date, Due date, Completion date
    • Time estimate, Difficulty, Goal, Milestone, Team Role
    • Slack thread (read-only, shown only for tasks created from Slack) — an Open in Slack link that takes you back to the original Slack conversation.
  3. Below the properties you can work with:
    • Description - A rich-text description of the work
    • Checklists - Simple or requirement checklists
    • Subtasks - Smaller tasks under this task
    • Dependencies - Tasks this one is blocked by or blocking
    • Custom Fields - Additional fields configured for your tasks
    • Notes and Attachments
    • Time Tracked - Appears once any time has been logged against the task: a "Running since" line while the Time Tracker is on this task, plus a list of past sessions with their start and end times (see Tracking Time on a Task below)
    • Activity - The comment and activity timeline, where you can post comments, mention people, and flag issues. Starting, stopping, and switching the Time Tracker on the task are also logged here automatically

Tracking Time on a Task

Every task's detail panel has its own timer button (a play/stop icon in the header), so you can start tracking without going to the Dashboard's Time Tracker widget:

  1. Open the task and click the timer icon.
    • If the task is still in the backlog (not started), this also moves it to In Progress.
    • If the Time Tracker is already running on a different task, clicking it here switches the tracker to this task instead of ending your session — one continuous session still covers however many tasks you move between.
  2. Click the icon again (now shown as a stop icon) to end the session.
Tip

If your company requires a face photo to clock in, starting the timer from a task's header can fail with an error, since there is no camera step here. Use the Time Tracker widget on the Dashboard instead — it walks you through the camera before starting.

Changing a Task's Status

You can move a task through its workflow from the detail panel or by right-clicking a row in the Table view. Available actions include:

  • Start Task - Move the task to In Progress
  • Mark as Done - Complete the task
  • Move to Backlog - Send the task back to the backlog
  • Send for Review - Submit the task to its reviewer before completion
  • Pause Task / Resume Task - Temporarily pause work (with an optional reason)
  • Reopen - Reopen a completed task (returns it to In Progress)

Moving a Task to Another Project

The Project field is the first field in the task detail panel. Click it to move the task to a different project, or to detach it into a personal task.

  1. Open the task and click the Project field (shows the current project, or No project if it has none).
  2. Search for and select the destination project, or choose No project (personal task) to remove it from any project.
  3. A confirmation dialog, Move task to another project?, appears and lists exactly what will happen — nothing is changed until you confirm:
    • The status (board column) the task will land in on the new project's board.
    • How many subtasks will move along with it.
    • The milestone that will be cleared (a milestone can't span two projects).
    • The team role(s) that will be cleared.
    • Any cross-project dependencies that will be removed, named individually.
    • Any custom field values that will be lost (the destination project's fields are different).
    • If the task is a subtask, a note that it will be detached from its parent task.
    • A warning if any assignee is not a member of the destination project — they stay assigned, but are flagged.
  4. The dialog also confirms what is kept: assignees, dates, description, checklists, attachments, and comments. The task's number (for example #5350) never changes.
  5. Click Move task to confirm, or close the dialog to cancel.

You can also drag a task row between project sections when the task list is grouped by Project — this shows the same confirmation dialog before the move happens, instead of moving it silently.

Locked projects

The Project field is read-only (shown with a lock icon) for tasks driven by a workflow — process steps, OF steps, FDD tasks, and approval tasks. These always stay in their workflow's project.

Who you can move a task to

You can only move a task into a project you are a member of, unless you have full access. Choosing a project you don't belong to shows an error instead of completing the move.

Reviewing and Approving Tasks

  1. Open the Review tab to see tasks waiting on you.
  2. Open a task to review the submitted work.
  3. Approve it with Set Complete / Approve, or send it back using Reject / Send Back with a reason.

Process and approval steps appear here too, with an Approve action and a link to view the related form. Send Back is only offered on approval steps (and never on the workflow's first step) — a regular action step in the workflow (for example an Order Fulfillment "Dispatch to Client" step) can only move the workflow forward, not back.

Pausing a Task

  1. Open the task (or right-click its row) and choose Pause Task.
  2. Provide a reason and choose a duration (a set number of days or indefinite), or use Quick Pause (1 day) to pause now and add a reason later.
  3. Paused tasks move to the Paused tab, which shows each task's Reason and how long it has been Paused For.

Archiving, Deleting, and Restoring

  • Archive - Right-click a task you created and choose Archive to move it to the Archived tab.
  • Delete - Right-click and choose Delete to remove a task.
  • Restore - On the Archived tab, click Restore to bring a task back, or Delete to remove it permanently.
Tip

Right-click any task row to also View Details or Open in New Tab.

Tips and Best Practices

  • Use the scope filters to separate project work, process tasks, and standalone to-dos.
  • Watch the counters for your overdue and for-review totals at a glance.
  • Set due dates and priorities so the filters and overdue counter stay meaningful.
  • Break large tasks into subtasks and link dependencies to track what blocks what.
  • Reorder by dragging rows or cards to reflect your real priorities.
  • Projects - Tasks are often attached to a project, and process steps generate approval and process tasks
