Tasks

The Tasks page is your central workspace task list. It shows every task you are involved in β€” tasks you own, tasks you need to review, paused tasks, tasks you have assigned to others, and tasks you collaborate on β€” with type scoping, status tabs, filters, and two view modes.

Overview

Open the Tasks page from the sidebar under Workspace β†’ Tasks.

At the top of the page you have four summary counters, a toolbar that combines a type scope with status tabs, a filter bar, and a view toggle. Below that, your tasks appear either as a table or as a board (kanban) of status lanes. Clicking a task row opens its detail dialog.

Summary Counters

Four counter cards across the top reflect the current type scope:

  • My Tasks – count of your active tasks
  • For Review – tasks waiting for review
  • Overdue – active tasks whose due date has passed
  • Completed – tasks that are done

Type Scope

A row of scope buttons narrows the list by task type:

  • All – every task type
  • Project Tasks – tasks attached to a project
  • Process Tasks – tasks generated by a process (approval steps)
  • Standalone – tasks not tied to a project or process
  • Done – completed tasks

Status Tabs

Next to the type scope, tabs group tasks by their relationship to you. Each tab shows a count badge:

  • Tasks – your active tasks
  • Review – tasks awaiting your review
  • Paused – tasks you have paused
  • Assigned – tasks you assigned to others
  • Collaborate – tasks you collaborate on
  • Archived – archived tasks (with restore and delete options)

Filter Bar

  • Search – type to filter by task title, project name, project code, or assignee name (with a clear button)
  • Assignee – filter by the person the task is assigned to
  • Priority – filter by priority level
  • Status – filter by board status (lane)
  • Due Date – filter by: All Dates, Overdue, Due Today, Due This Week, Due Next Week, No Due Date
  • Project – filter by project (searchable; appears only when project tasks are present)
  • Clear (n) – a button that clears all active filters; it appears once one or more filters are set

View Toggle

Two buttons at the right of the filter bar switch between:

  • Table view – tasks in a sortable, draggable table
  • Board view – tasks arranged as cards in status lanes (kanban)

Table Columns

In table view, tasks show these columns:

  • Title
  • Project (project code or name)
  • Status (colored status chip)
  • Priority (colored priority chip)
  • Assignee (avatar + name)
  • Due Date (highlighted when overdue or due soon)
  • Age (how long since the task was created)

Some columns appear only on specific tabs:

  • Completed – on the Done scope
  • Submitted By – on the Review tab
  • Reason and Paused For – on the Paused tab

You can drag table rows to reorder them; the order is saved automatically.

Row Actions

Right-click a task row to open its context menu. Available actions depend on your relationship to the task:

  • View Details – open the task detail dialog
  • Open in New Tab – open the task on its own page
  • Mark as Done – move the task to the Done lane
  • Mark In Progress – move the task to the In Progress lane
  • Move to Backlog – move the task to the Backlog lane
  • Pause Task / Resume Task – pause the task (until tomorrow) or resume it
  • Archive – archive the task (available to the task creator on standard tasks)
  • Delete – permanently delete the task (asks for confirmation)

Task Detail Dialog

Clicking a task (or choosing View Details) opens the detail dialog, where you can:

  • See and change the task's project β€” it is the first field shown; click it to move the task to another project (or detach it), which asks for confirmation first (see Moving a Task to Another Project)
  • See the task status, assignees, creator, reviewer, collaborators, start date, due date, priority, time estimate, difficulty, goal, milestone, and team role
  • Advance the task with status actions such as Start Task, Mark as Done, Send for Review, Approve, Send Back, Reject, Reopen, and Force Complete (which actions appear depends on the task's state and your role)
  • Pause / Resume the task and Mark as Important
  • Start / stop the Time Tracker on the task from the timer icon in the header β€” starting also moves an un-started task to In Progress, and if the timer is running on another task it switches over instead of ending your session. Once time has been logged, a Time Tracked section shows the running session (if any) and past sessions with their start and end times
  • Post updates in the Activity feed (type in the "Write a comment…" box), and flag an issue with Mark as issue β€” Time Tracker start/stop/switch events are posted here automatically too
  • Manage Checklists, Subtasks, Dependencies (blocked by / blocking), Custom Fields, Notes, and Attachments

Common Tasks

Viewing Your Tasks

  1. Go to Workspace β†’ Tasks in the sidebar.
  2. The Tasks tab shows your active tasks. Use the type scope and tabs to narrow the list.
  3. Use the search box or filters to find a specific task.

Creating a Task

  1. Open the Create Task dialog.
  2. Fill in the fields:
    • Title (required)
    • Description (optional)
    • Assignees – tick Include myself and/or select other people
    • Priority
    • Due Date
    • Project (optional; defaults to None)
    • Goal (optional; defaults to None)
  3. Click Create Task.

Updating Task Status

  1. Right-click a task row and choose Mark In Progress, Mark as Done, or Move to Backlog β€” or open the task and use the status action buttons.
  2. The status chip updates immediately.

Adding a Comment

  1. Open the task to view its detail dialog.
  2. Scroll to the Activity section.
  3. Type your update in the Write a comment… box and submit it.

Pausing a Task

  1. Right-click a task row and choose Pause Task, or use Pause task inside the detail dialog.
  2. The task moves to the Paused tab. Use Resume Task to bring it back.

Filtering Tasks

  1. Use the filter bar to set any combination of Assignee, Priority, Status, Due Date, or Project.
  2. The list updates automatically.
  3. Click Clear (n) to remove all filters at once.

Reviewing Archived Tasks

  1. Click the Archived tab.
  2. Use Restore to bring a task back, or Delete to remove it permanently.

Tips and Best Practices

  • Keep statuses current – move tasks between Backlog, In Progress, and Done as you work.
  • Watch your due dates – overdue and due-soon dates are highlighted; the Overdue counter tracks how many active tasks have slipped.
  • Use the Review tab – tasks waiting on your review surface here and in the For Review counter.
  • Pause instead of leaving stale – pausing a task records why it is on hold and how long it has been paused.
  • Use the board view – switch to board view for a kanban-style picture of where work sits across status lanes.
