Engagements
Manage your client engagements and recurring processes. Engagements are contract-based, ongoing service arrangements with a client β for example a monthly bookkeeping or BPO arrangement β where the same work repeats on a schedule for the length of a contract.
Overview
Unlike a project (which runs from a start date to an end date toward a set of milestones), an engagement is built around a client contract and the recurring work delivered under it. Each engagement record keeps the contract dates, the agreed scope of work and deliverables, the recurring processes that run automatically on a schedule, and ongoing logs for client interactions, issues, pending items, and risks.
Open the page from the Workspace entry in the left sidebar, then choose Engagements.
The Engagements List
The Engagements page opens with a list of all your engagements as cards.
At the top of the page you will find:
- New Engagement button (top right) β opens the create form.
- Summary counters:
- Total Engagements β how many engagements exist.
- Active β how many are currently active.
- Active Processes β the total number of running recurring processes across all engagements.
- Search box β type to find an engagement by name. Click the clear (β) icon to reset the search.
- Status filter chips β filter the list by status: All, Active, Draft, On Hold, Completed, or Cancelled.
Click any engagement card to open its detail page.
Creating an Engagement
- In the sidebar, open Workspace β Engagements.
- Click the New Engagement button.
- Fill in the form:
- Engagement Name (required)
- Code (required) β a short identifier, for example
ENG-001. - Description β a short note describing the engagement scope.
- Client (required) β choose an existing client from the list. You can search the list, or click New Client to add a client inline without leaving the form.
- Contract Start Date (required)
- Contract End Date (required) β must be on or after the start date.
- Click Create Engagement to save.
After it is created, you are taken straight to the new engagement's detail page.
The Code must be filled in, and both contract dates are required. If you enter an end date earlier than the start date, the form will ask you to correct it.
The Engagement Detail Page
Opening an engagement shows its name, status badge, client, and code at the top, with a back arrow to return to the list.
Below the title are four status cards:
- Health β an overall health label (such as On Track, Needs Attention, or At Risk) based on completed and overdue deliverables.
- Open Issues β the number of unresolved issues logged.
- Pending Items β the number of items still awaited from the client.
- Overdue Deliverables β deliverables past their due date that are not yet completed or cancelled.
The rest of the page is organized into tabs. Your current tab stays in the page address, so you can bookmark or share a link to a specific tab.
Overview
A dashboard for the engagement, with widgets for:
- Engagement Health β a success-rate bar with a status label.
- Deliverables Status β completion percentage and a list of deliverables with their due dates.
- Execution Summary β a breakdown of process runs (Completed, Running, Pending, Failed, Skipped).
- Upcoming Schedules β the next due dates for active recurring processes.
- Client & Contract β the client's details and a contract timeline showing how much of the contract period has elapsed and the days remaining.
- Process Health β a table of each recurring process with its schedule, last run, next due, run count, and Active/Inactive status.
- Execution Trend β a chart of completed, failed, and skipped runs over recent weeks.
- Failed Executions β process runs that failed.
- Team Members β the people assigned to the engagement and their roles (Owner, Manager, Member). You can remove a member from here.
Scope & Deliverables
A two-column view that maps your Scope of Work items (left) to Deliverables (right). Hovering a scope item draws connector lines to the deliverables it is linked to.
A summary strip at the top shows the number of scope items, the number of deliverables, total budget hours, total budget cost, and the overall completion percentage.
Available actions:
- Add Scope Item β opens a form with a Title (required) and an optional Description.
- Add Deliverable β opens a form (see fields below).
- On a scope item card: Link deliverable (connect it to a deliverable), Edit, and Remove. You can also unlink an individual deliverable by clicking the β on its chip.
- On a deliverable card: Edit and Remove. Deliverables not linked to any scope item are marked No scope item.
Deliverable fields:
- Name (required)
- Description
- Estimated Hours
- Estimated Cost
- Due Date
Deliverables move through these statuses: Draft, In Progress, Completed, and Cancelled.
A Scope Change Log at the bottom records changes to scope items and deliverables over time.
Scope Map
A visual canvas view of the engagement's scope and how its items connect.
Ad-hoc Tasks
One-off tasks for this engagement that fall outside the recurring processes.
- Click New Task to add a task.
- The list shows each task's Task, Priority, Status, Assignee, Due Date, and Created date.
- Tasks are grouped by status as Open, In Progress, and Done. Overdue tasks are highlighted.
- Click a task row to open its details.
Processes
Recurring processes are processes that run on a schedule and generate tasks automatically β this is the engine that drives ongoing engagement work.
- Click Add Process to set one up.
- Each process card shows its name, an Active or Paused badge, the process template it uses, and the deliverable it is assigned to (or an Unscoped marker if none).
- Per-process actions:
- Trigger now β run the process immediately.
- Pause / Activate β stop or resume the schedule.
- Edit β change its settings.
- Remove β delete the recurring process (already-triggered process instances are not affected).
Add / Edit Process fields:
- Name (required)
- Description
- Process Template (required, when adding) β choose an active process template; the list shows how many steps each template has.
- Assign to Deliverable β optionally tie the process to one of the engagement's deliverables.
- Recurrence Schedule (required) β choose how often it runs:
- Monthly β on specific days of the month (for example, the 1st and 15th).
- Weekly β on specific days of the week (for example, Monday and Thursday).
- Interval β every N days (for example, every 14 days).
Below the processes, a list of process instances (individual runs) shows each run's code, the process and template names, its status, and its progress through the steps.
Interactions
An editable spreadsheet for logging every client interaction. Click Add Row to record a new entry. Columns include:
- Ref # (auto), Date, Type (Meeting, Call, Email, Workshop, Presentation, Site Visit)
- Subject / Agenda, Initiated By (Our Team or Client)
- Client Attendees, Team Attendees, Duration (min)
- Status β Completed, Scheduled, Cancelled, Rescheduled
- Key Discussion Points, Action Items / Decisions, Next Steps, Follow-up Date
Summary cards above the table show days since the last contact, meetings this month, total hours, your streak, upcoming interactions, and total interactions.
Issues
An editable spreadsheet of issues raised during the engagement. Click Add Row to log one. Columns include:
- Issue ID (auto), Date Raised, Raised By
- Category β Bug, Change Request, Clarification, Enhancement, Data Issue
- Module, Summary
- Priority β Low, Medium, High, Critical
- Status β Open, In Progress, Resolved, Closed, Deferred
- Assigned To, Target Date, Resolved Date, Remarks
Client Pending
An editable spreadsheet that tracks items you are waiting on from the client. Click Add Row to add one. Columns include:
- Item ID (auto), Date Requested
- Category β Document, Approval, Decision, Data, Feedback, Access / Credentials, Sign-off, Payment
- Description, Client Contact, Requested By, Due Date
- Days Pending (calculated automatically)
- Project Impact β Blocking, High, Medium, or Low Impact
- Blocks (Task/Milestone)
- Status β Pending, Overdue, Received, Partial, Waived
- Last Follow-up, Commitment Date, Date Received, # Follow-ups, Remarks
Summary cards highlight pending items, overdue items, items blocking the engagement, average and longest wait times, and items received this month.
Risks
An editable risk register for the engagement. Click Add Row to add a risk. Columns include:
- Risk ID (auto), Date Identified
- Category β Technical, Resource, Schedule, Scope, Client, Vendor, Data, Compliance
- Risk Description
- Likelihood β Rare, Unlikely, Possible, Likely, Almost Certain
- Impact β Negligible, Minor, Moderate, Major, Severe
- Score (calculated automatically from likelihood and impact)
- Status β Identified, Mitigating, Mitigated, Occurred, Closed, Accepted
- Mitigation Plan, Owner, Review Date, Contingency Plan
Engagement Statuses
An engagement can be in one of these statuses, shown as a badge on its card and detail page:
- Draft β being set up.
- Active β currently running.
- On Hold β temporarily paused.
- Completed β finished.
- Cancelled β ended early.
Common Tasks
Setting Up a Recurring Process
- Open the engagement and go to the Processes tab.
- Click Add Process.
- Enter a Name, choose a Process Template, and (optionally) assign it to a Deliverable.
- Set the Recurrence Schedule β Monthly, Weekly, or Interval β and pick the days or interval.
- Save. The process will now run automatically on schedule and generate tasks.
Running a Process Immediately
- Go to the Processes tab.
- Find the process card and click Trigger now.
Pausing a Process
- Go to the Processes tab.
- Click Pause on the process card. Click Activate to resume it later.
Tracking an Item You Need From the Client
- Open the engagement and go to the Client Pending tab.
- Click Add Row.
- Fill in the category, description, who it is needed from, and the due date.
- Update the Status as you follow up, marking it Received once it arrives.
Logging a Client Meeting
- Go to the Interactions tab.
- Click Add Row.
- Record the date, type, subject, attendees, and key discussion points.
Tips and Best Practices
- Map your scope β link deliverables to scope items in the Scope & Deliverables tab so nothing in the contract is missed.
- Let processes do the routine work β set up recurring processes for repeating deliverables so tasks are created automatically each cycle.
- Stay ahead of blockers β log items awaited from the client in Client Pending and follow up before they go overdue.
- Watch the health cards β the Health and Overdue Deliverables cards at the top of the detail page give you a quick status check.
