Planning Helpers
The project details page includes a few helpers that take some of the busywork out of planning.
Project Setup Wizard
When a project still has no tasks, a Set up your project panel replaces the usual statistics cards near the top of the page. It shows a progress bar and a short checklist so a brand-new project has a clear starting point.
The checklist covers four steps:
| Step | What it asks you to do |
|---|---|
| Add team members | Invite your team to the project. Marked complete once the project has more than just its creator. |
| Create your first tasks | Break the project into actionable tasks. Marked complete once the project has at least one task. |
| Set milestones | Define key deliverables and deadlines. Marked complete once the project has at least one milestone. |
| Configure project fields | Customize the statuses and workflow used by the project. |
Click any step to jump to where you complete it. As steps are done, their checkmarks fill in and the progress bar advances. Once the project has at least one task, the wizard disappears on its own and the normal statistics cards take its place. To hide it sooner, click Skip setup in the top-right corner of the panel โ that project will keep the cards in view from then on.
Auto Assign Tasks
Auto Assign saves you from assigning tasks one at a time. You choose which team roles should be assigned automatically and how members within each role share the work, then run it across the project's tasks.
How to open: On the project details page, click the Settings button (gear icon) in the header, then choose Automate. The Auto Assign Tasks dialog opens.
Auto Assign works from your project's team roles. If none exist yet, the dialog shows "No team roles defined. Add team roles in the Fields tab first." Define your roles on the Fields tab before using it.
How to use it:
- Tick the checkbox next to each team role you want to assign automatically. Enabled roles expand to show their settings.
- For each enabled role, choose a Strategy:
- Assign All Members โ Every member with that role is assigned to the matching tasks.
- Round Robin โ Tasks are shared out evenly, one member after another in turn.
- Review the Members shown under each role. Roles with no one assigned display a No members note.
- Pick a Scope for the run:
- Unassigned tasks only โ Only tasks with no one assigned yet are touched.
- All tasks (overwrite existing assignments) โ Every matching task is reassigned, replacing current assignees.
- Finish with either:
- Save Rules โ Saves your role settings for next time without assigning anything yet.
- Run Auto Assign โ Saves the rules and immediately assigns the tasks. Available only when at least one role is enabled.
๐ Tip: Use Unassigned tasks only to fill in the gaps, and All tasks when you want to reset every assignment from scratch.
AI Time Estimate
AI Time Estimate uses AI to read each task's title, description, checklists, and subtasks and suggest how long it should take (assuming an 8-hour workday). You choose a Scope โ Only tasks without estimates or All tasks (overwrite existing estimates) โ and the run reports the estimated time and a short reasoning note for each task.
This tool exists in the system but has no working button on the project details page yet โ there is no menu item that opens it. It is documented here for reference; expect a way to launch it in a future update.
Overview Tab Widgets
The Overview tab opens with two full-width widgets that summarize the project's journey:
- Milestone Progress โ a bare timeline strip listing each of the project's milestones, its completion percentage, its target date (flag icon), and โ once it reaches 100% โ its actual completion date (check icon, shown in orange if it landed after the target date). The milestone currently in progress pulses so it stands out. This strip only appears once the project has two or more milestones.
- Progress Chart โ a line chart with S-Curve and Burndown tabs in its upper-right corner (S-Curve is shown by default). S-Curve plots cumulative completed tasks against the planned pace across the whole project timeline, with a vertical marker at today's date. Burndown plots remaining tasks against an ideal pace over the last 30 days.
Project Health
The Project Health stat card at the top of the project page shows a single percentage score (0โ100%). The score is a weighted composite of five factors: Schedule (25%), Overdue (25%), Blockages (20%), Issues (15%), and Activity (15%). For a brand-new project with no tasks yet, the card shows Not Started instead of a score.
Click the Project Health card to open the Project Health dialog:
- A gauge shows the overall score out of 100.
- Below it, five factor cards show each factor's own score and a short detail line (for example, how many tasks are overdue, or how old the oldest open issue is).
- Click any factor card to jump to the related part of the project and close the dialog:
- Schedule and Blockages jump to the matching widget on the Overview tab.
- Overdue jumps to the Overdue Tasks widget on the Overview tab.
- Issues switches to the Issues Log tab.
- Activity switches to the Activity Log tab.
The Activity factor is based on how recently something happened in the project's Activity Log compared to your organization's Client Interaction Frequency (set on the Project Settings page, or overridden per project). A quiet project scores lower on Activity.
Sharing a Project
Click Settings (gear icon) in the project header, then Share, to generate a public, passcode-protected link a client can open without an ANTE account. The link shows the project's live status, milestones, and timeline, and lets the client comment on individual tasks โ internal staff notes and activity are never exposed. See the full Sharing a Project page for the dialog's fields and what the client sees.
Analysis Tabs
Beyond tasks and timelines, every project carries a set of analysis tabs that help an implementation team see everything that happened in the project, capture requirements, flag issues, compare needs against system capability, manage risk, and chase items the client still owes you.
These tabs live in the tab bar across the top of the project detail page:
| Tab | What it tracks |
|---|---|
| Activity Log | A consolidated, day-grouped timeline of everything in the project โ task completions, comments, meetings, and emails โ plus events you add manually |
| Files | Every file connected to the project โ task attachments, Activity Log post attachments, direct uploads, File Drive files, and process/comment attachments โ in one searchable, filterable list |
| Notes | Workspace notes linked to the project โ write-ups, meeting notes, and docs your team keeps alongside the project |
| Requirements | Requirement checklists gathered from the project's tasks, with progress and client-pending flags |
| Issues Log | Tasks flagged as issues โ bugs, change requests, or clarifications raised against the project's work |
| Fit-Gap | Each client requirement compared against current system capability |
| Risk Register | Project risks, their likelihood and impact, and mitigation plans |
| Client Pending | Tasks flagged as waiting on the client to deliver something |
| Discovery | Client onboarding questionnaires sent for this project and their progress, plus every file clients uploaded |
Two of these tabs โ Fit-Gap and Risk Register โ share the same editable spreadsheet experience, so once you learn one you know them both; see Working in a Spreadsheet Tab below. Requirements works differently and is described in its own section. Activity Log, Issues Log, and Client Pending are card-based views built on top of tasks โ each card opens the same Task Detail dialog you use everywhere else in Ante, and they are described in their own sections below. Files and Notes are management views rather than analysis tabs, but live in the same tab bar โ see Files Tab and Notes Tab below. Discovery is its own module โ see Discovery Tab below and the full Discovery module page.
Choosing Which Tabs Are Visible
Not every tab is shown by default. Overview, Activity Log, Files, Notes, Requirements, Issues Log, Client Pending, and Discovery are visible out of the box; Fit-Gap, Risk Register, Tasks, and Processes start hidden to keep the bar tidy. Click the eye icon at the right end of the tab bar to open the Visible Tabs list, then tick the tabs you want to see. The Overview tab is always on and cannot be hidden. Your choices are remembered per project.
The tab you have open is also remembered in the page address, so the project page returns to the same tab even if you refresh.
Working in a Spreadsheet Tab
The Fit-Gap and Risk Register tabs use the same editable spreadsheet.
Adding a row
- Click Add Row at the bottom of the table to add a new, blank entry. New rows arrive pre-filled with sensible defaults โ for example, a new risk starts with status Identified.
- To insert a row directly beneath an existing one, right-click the row and choose Add Row Below.
Editing cells
- Click any editable cell and type to change its value. Your edit saves automatically when you move off the cell โ there is no separate Save button.
- Date cells open a date picker. Drop-down cells (such as Status, Priority, or Category) show a list of choices to pick from.
- A few columns are calculated for you and cannot be edited (for example, the Score on a risk, or the auto-generated reference code on each row).
Reordering rows
- Hover over a row and drag it by the handle on its left to change its order in the list. The new order is saved.
Deleting a row
- Right-click the row (or click the โฎ menu at its right end) and choose Delete Row, then confirm. Deletion cannot be undone.
Wider view
- Use the Expand button on the toolbar to wrap long text in cells; click Compact to switch back to the tighter view.
Opening a Row's Detail Panel
Click the row number to open its detail panel. The panel shows that row's fields on the left and a discussion Activity / comments area on the right, so your team can talk through an item in one place. Long-text fields (descriptions, mitigation plans, remarks) sit in a main area, and reference fields collapse under a Details section.
On the Risk Register tab, the panel header also offers:
- Mark as Resolved โ sets the row to its "done" status (Mitigated). Once done, a Resolved badge appears in place of the button. The Fit-Gap tab does not have this button.
Exporting and Importing with Excel
The Fit-Gap and Risk Register tabs each have a toolbar above the table with these actions:
- Export โ download the current table as an Excel file.
- Download Template โ get a blank Excel file with the correct columns, ready to fill in.
- Import โ upload a filled-in Excel file to add many rows at once.
๐ Tip: Use Download Template first, fill it in offline, then Import it โ handy when a client sends you a long list of fit-gap findings or risks.
Requirements Tab
The Requirements tab gathers every requirement checklist attached to the project's tasks into one place, so you can see โ and complete โ them without opening each task.
What you see
- A summary bar at the top showing the total number of requirement items, how many are Completed, how many are still Pending, and (when any exist) how many are flagged Client Pending, plus an overall percent-complete progress bar.
- A grid of task cards, one per task that has requirements. Each card shows its completion percentage, a completed-over-total count, and an indicator if any items are waiting on the client.
Searching and filtering
- Use the search box to find requirements by task name, checklist name, or item.
- Use the status filter to show All, Completed, or Incomplete items only.
Completing a requirement
- On a task card, click Show Requirements to open its detail dialog.
- Each requirement item shows what kind of answer it needs โ a text input, a longer text field, a file upload, an image, or a choice from a list.
- Fill in or upload the value directly in the dialog. Completed items are marked with a check.
Flagging an item as Client Pending
Each requirement item has a small CP (Client Pending) button. Click it to flag that the item is waiting on the client โ this creates a task flagged as client-pending, which then also appears in the Client Pending tab, and the button label switches to show CP plus that task's status (for example, CP ยท pending). Click again to remove the flag.
Adding a new requirement checklist
- Click Add Checklist (or the add button shown when the tab is empty).
- In the dialog, choose the Task the checklist belongs to (required) and enter a Checklist Title (required).
- Add one or more requirement items. For each item, enter a Title (required) and choose a Field Type:
- Input โ short text
- Text Field โ longer text
- File Upload โ a document
- Image โ a picture
- Option โ a choice from a list (enter the choices separated by commas)
- Tick Required for any item that must be answered.
- Click Create.
Activity Log Tab
The Activity Log is a consolidated, day-grouped timeline of everything that has happened in the project โ every completed task, task comment, finished meeting, and sent email, plus any events you add yourself. System events (task completions, comments, meetings, emails) are recorded automatically; you only add the manual ones.
What you see
- Events are grouped under day headings (Today, Yesterday, or the full date), newest first.
- Each row shows an icon for its kind, the event title, who did it and when, and a description when there is one.
- A filter bar at the top lets you narrow the feed to All, Task Completed, Comment, Meeting, Email Sent, or Manual events.
- Click Load more at the bottom of the feed to fetch older events.
Adding a manual event
A manual event is a short post, similar to a social-media update โ there is no separate Title field; the headline shown in the feed is generated from what you write.
- Click Add event.
- Choose the event Type: Note, Meeting, Call, Email, Decision, or Milestone.
- Write the post body in the text box. Use the toolbar to format it โ Bold, Italic, Underline, and bullet lists are supported.
- Optionally click the paperclip icon to attach files โ any file type, not just images or photos, up to 10 per post.
- Optionally adjust the Date โ it defaults to today, but you can backdate it.
- Click Post to save. You need either some text or at least one attachment before you can post.
Manually-added events show a delete (trash can) icon on their row so you can remove them later; automatic system events cannot be deleted from here.
Issues Log Tab
The Issues Log shows every task in the project that has been flagged as an issue โ there is no separate issue record; an issue is simply a task with its issue flag set. Each card opens that task in the normal Task Detail dialog.
What you see
- A count of open issues at the top.
- A grid of issue cards, each showing the Issue badge, the task's priority flag (if set), its title, the issue description, its assignee (or Unassigned), and its due date.
Flagging an existing task as an issue
- Open the task's detail view.
- In the Activity panel, click the flag icon next to the activity header.
- Type what the issue is in the prompt that appears, then click Flag Issue.
The task now shows an issue banner in its detail view (with who flagged it and when) and appears in this tab.
Creating a new task as an issue
- On the Issues Log tab, click Add issue.
- Enter a Title (required) and a Description.
- Click Add issue โ this creates a new task, already flagged as an issue, in the project.
Resolving an issue
Open the issue's card to open its Task Detail dialog, then click Resolve Issue on the issue banner.
Client Pending Tab
The Client Pending tab shows every task in the project that is flagged as waiting on the client โ again, there is no separate record; it is a flag (and a small set of extra fields) on a task. Each card opens that task in the Task Detail dialog.
Summary cards
At the top of the tab: Pending Items, Overdue, Blocking Project, Avg Wait Time, Longest Wait, and Received This Month.
What you see on a card
- The Waiting on client badge and a status pill (Pending, Received, or Waived).
- The task title, the Client Contact (or No contact), a Blocking flag when the impact is set to Blocking, days pending, and the number of follow-ups logged.
Creating a new task as a client-pending item
- On the Client Pending tab, click Add client-pending.
- Enter a Title (required), the Client contact, an Impact (Low, Medium, High, or Blocking), and a Commitment date.
- Click Add item โ this creates a new task, already flagged as waiting on the client.
Managing a client-pending item
Open its card to reach the Task Detail dialog, where a Waiting on client panel lets you edit the Client contact, Impact, Status, and Commitment date, click Log follow-up to record a follow-up, and click Mark received once it arrives.
You can also create a client-pending task directly from the Requirements tab by clicking a requirement's CP button โ see Flagging an item as Client Pending above.
Files Tab
The Files tab is the one place to find every file connected to the project, no matter where it was originally uploaded โ task attachments, files attached to Activity Log posts, files uploaded directly on this tab, files in the project's File Drive folder, and files attached to a process step or a task comment.
What you see
- A search box to find a file by name.
- Type filter chips: All, Images, Documents, Video, or Audio.
- A table listing each file's name (with a thumbnail for images), Type, Size, Source (which task, process, comment, or folder it came from โ or Project for a direct upload), who Uploaded it, and the Date.
- A file count at the bottom, with Load more to fetch further pages.
Uploading a file
Click Upload, then pick one or more files of any type from your computer. Each one is added to the project directly (it does not need to belong to a task or a post).
Downloading a file
Click the download icon on a file's row to open or save it.
Deleting a file
Click the trash-can icon on a file's row, then confirm in the dialog. Deleting a file removes it permanently โ this cannot be undone.
Notes Tab
The Notes tab shows every workspace note linked to the project โ a place for write-ups, meeting notes, and docs your team wants to keep alongside the project's tasks and files.
What you see
- A list of notes linked to this project, each row showing the note's icon, Title (or Untitled if none is set), a text preview, the Author, and how long ago it was last updated.
- If nothing is linked yet, the tab shows an empty message and a New Note button to get started.
Creating a note from this tab
Click New Note. A blank note is created, automatically linked to this project, and opens straight away in the note editor so you can start typing.
Opening a note
Click anywhere on a note's row to open it in the note editor, without leaving the project page. Inside the editor you can change the note's icon and title (both save automatically as you type), write content using the block editor, Pin the note, Share it with other people or the whole company, or Delete it. Click Open full page in the editor to continue working on the note in its own dedicated workspace page; click the close (โ) icon to return to the project's Notes tab.
Unlinking a note
If you authored the note, its row shows an Unlink button. Click it and confirm to remove the note from this project โ the note itself is not deleted and stays available to its author; it just no longer appears on this project.
Discovery Tab
The Discovery tab has two sub-tabs, Sends and Files. Sends lists the client onboarding questionnaires that have been shared for this project, each showing its Title, Status (Shared, Opened, In progress, Submitted, or Reopened), Progress (answered/total), and Sent at time. Click Share questionnaire to send a new one โ the project is pre-linked automatically โ or click a row to open that send's detail page, where you can copy the fill link, reopen a submitted send, or regenerate its passcode. Files rolls up every document uploaded across all of the project's questionnaires into one searchable list, with a column naming which send each file came from โ see All Files for a Project. See the full Discovery module page for the complete flow, from building a template to the client's fill experience.
