CRM Media Library

The Media Library (shown in the sidebar as File Drive) stores files β€” images, documents, videos, and audio β€” that belong to the CRM module. Files uploaded here are scoped to CRM and organized into folders.

How to Open It

  1. Open the CRM module from the main sidebar.
  2. Click File Drive in the CRM sub-menu.

The page header reads Media Library and the breadcrumb shows CRM β€Ί Media Library.

Page Layout

The Media Library list page shows a table of your files with these columns:

  • Preview β€” a thumbnail for images, or a type icon for other files
  • File Name β€” the file's display name (the original filename appears below it when they differ)
  • Type β€” Image, Document, Video, or Audio
  • Size β€” file size
  • Folder β€” the folder the file is in (blank if at the root)
  • Uploaded By β€” the person who uploaded it
  • Date β€” when it was uploaded

Above the table you can:

  • Search β€” search by File Name or Tags
  • Filter β€” filter by File Type (Image, Document, Video, Audio)
  • Sort β€” sort by name, size, type, or date
  • Open Media Library button β€” opens the full-screen browser where you upload and manage files

Click any row to open that file's detail page. The table shows 12 files per page.

The Media Library Browser

Clicking Open Media Library opens a full-screen window for browsing, uploading, and organizing files.

Toolbar:

  • Breadcrumb β€” shows your folder location; click a segment to jump back, or click the home (Media Library) item to return to the root
  • New Folder button β€” create a folder in the current location
  • Upload button β€” open the upload window
  • Search box β€” type to filter files by name
  • Sort dropdown β€” choose Newest first, Name (A–Z), Size (largest), or Type
  • Type filter chips β€” All, Images, Documents, Videos, Audio
  • Grid / List toggle β€” switch between a thumbnail grid and a detailed list

Folders and files: folders appear at the top (each shows its file count and a delete button), files below. You can also drag files from your computer directly onto this area to upload them.

The view loads more files automatically as you scroll.

Common Tasks

Uploading Files (from the browser)

  1. Click Open Media Library.
  2. (Optional) Open the folder you want to upload into.
  3. Click Upload.
  4. Drag and drop files onto the drop zone, or click it to browse your computer. You can select multiple files.
  5. Choose an Upload to folder destination if needed.
  6. Click Upload N files to start. Each file shows its progress and a check mark when done.

Supported files: images, videos, audio, PDFs, and documents (Word, Excel, PowerPoint, text, CSV). Maximum 50 MB per file.

Tip

You can also drag files straight onto the browse area without opening the upload window β€” they upload into the folder you are currently viewing.

Uploading a File (with details)

The standalone upload page lets you add metadata while uploading.

Step 1 β€” File Selection Drag and drop a file onto the drop zone, or click it to choose one. Only one file is selected at a time. The file is required.

Step 2 β€” File Details (all optional)

  • Alternative Text β€” a description for accessibility
  • Tags β€” comma-separated keywords
  • Caption β€” an optional caption or description

Step 3 β€” Organization

  • Folder β€” choose a destination folder, or leave it as No folder (root)

Click Upload File to finish. You are taken to the new file's detail page.

Creating a Folder

  1. In the Media Library browser, click New Folder.
  2. Type a folder name.
  3. Press Enter or click Create.

Folders are created inside whatever folder you are currently viewing.

Viewing File Details

Open a file (click its row in the list, or click it in the browser) to see:

  • File Preview β€” images, videos, audio, and PDFs play or display inline; other types show a placeholder with a download option
  • File Information β€” File Name, Original Name, Type, Size, MIME Type, Module, and Dimensions (for images)
  • Metadata β€” Alternative Text, Caption, Tags, and Folder
  • Upload Information β€” Processing Status, Uploaded By, Created, and Last Updated

From the detail page header you can Open (in a new tab), Edit, or Delete the file.

Editing a File

  1. Open the file and click Edit (or edit inline in the browser's details panel).
  2. Update any of: File name, Alternative Text, Caption, Tags, Folder.
  3. Save.

In the browser's details panel ("Asset Details"), you can edit the File name, Alternative text, and Caption and click Save without leaving the window.

Searching and Filtering

  • Use the Search box and switch the search field between File Name and Tags.
  • Use the File Type filter to narrow to Images, Documents, Videos, or Audio.
  • Sort by name, size, type, or date.

Deleting Files and Folders

To delete a file: open it and click Delete, or use the delete button on a file in the browser, then confirm. Deleting removes the file from storage and cannot be undone.

To delete a folder: click the delete button on the folder card in the browser, then confirm. The folder must be empty before it can be deleted.

Tips

  • Use folders β€” group related files into folders to keep the library tidy.
  • Add alt text β€” alternative text makes images accessible.
  • Tag files β€” tags are searchable, so consistent tags make files easy to find.
  • Mind the size limit β€” files must be 50 MB or smaller.
