Business Card Scan
Business Card Scan lets you create a new contact from a photo of a business card. You upload the card image, the system reads it and extracts the contact's details, and you review the results before they pre-fill the Add Contact form. It is the fastest way to capture a new contact without typing every field by hand.
Overview
With Business Card Scan you can:
- Upload a business card photo (by drag-and-drop or file picker)
- Have the details read off the card automatically
- See each extracted field with a confidence level so you know what to double-check
- Send the results straight into a pre-filled new-contact form
- Re-scan a different image if the first result is not right
The scan reads up to seven details from the card: Full Name, Email, Phone, Job Title, Company, Website, and Address.
Finding the Feature
Open the CRM section in the sidebar and choose Contacts (breadcrumbs read CRM › Contacts).
On the Contacts list, click the Scan Business Card button at the top right of the page. This opens the Scan Business Card dialog.
How It Works
The scanner moves through three steps inside the dialog: Upload, Scanning, and Results.
Step 1 — Upload the card image
- Click Scan Business Card on the Contacts list to open the dialog.
- In the upload area, either drag and drop a business card image, or click the area to select a file from your computer.
- Once selected, a preview of the card appears. To swap it for a different photo, click the preview again and choose another file (Change Image).
Accepted image formats are JPG, PNG, HEIC, HEIF, and WEBP. If you choose a different file type, the system asks you to upload a JPG, PNG, or HEIC image and nothing is uploaded.
Step 2 — Run the scan
- With an image selected, click the Scan Business Card button at the bottom of the dialog. (This button stays disabled until an image is loaded.)
- The dialog shows Scanning business card... while it works.
While scanning is in progress, the dialog is locked — you cannot close it by clicking outside or pressing Escape until the scan finishes. The Cancel button is also disabled during this step.
If the scan fails, the dialog returns to the upload step and shows a message explaining what went wrong, so you can try again.
Step 3 — Review the extracted information
When the scan succeeds, the dialog shows a success message and switches to the Extracted Information view, with the card preview above the detected fields.
Each field is listed with the value that was read. A field that the system could not read shows a dash (—).
Every detected field also shows a confidence indicator that tells you how sure the system is about that value:

|---|---|
| High | The value is shown with a high-confidence marker. |
| Medium | The value was read but is worth a quick check. |
| Low | The value is flagged with "Low confidence — please verify" so you check it before saving. |
From the Results view you have two choices:
- Scan Again — clears the current result and returns to the upload step so you can try a different image.
- Use Results — sends the extracted details into the new-contact form (see below).
Using the Results
When you click Use Results, the dialog closes and the Add Contact form opens with these fields already filled in from the scan:
- Full Name
- Phone
- Job Title
On the Add Contact form you then:
- Review the pre-filled details and correct anything that was flagged or read incorrectly.
- Select the Company from the dropdown — this is required and is not filled in by the scanner.
- Click Create Contact to save.
Note: Full Name, Email, and Company are required to save a contact. The scan can fill in the name and email, but you must always pick the company yourself. If a required field is missing or the email is not a valid address, the form highlights the problem and the contact is not saved.
The Company, Website, and Address that the scan reads are shown in the review screen for your reference, but only Full Name, Email, Phone, and Job Title carry over into the new-contact form.
Common Tasks
Create a contact by scanning a business card
- On the Contacts list, click Scan Business Card.
- Drag and drop a card image onto the upload area, or click to select one (JPG, PNG, HEIC, HEIF, or WEBP).
- Click Scan Business Card and wait for Scanning business card... to finish.
- Review the Extracted Information and check any field marked Low confidence — please verify.
- Click Use Results.
- On the Add Contact form, review the pre-filled details, select the Company, then click Create Contact.
Re-scan with a different photo
- In the Upload step, click the preview and choose another file (Change Image).
- In the Results step, click Scan Again to start over with a new image.
Cancel the scan
- Click Cancel to close the dialog without creating a contact. Cancel is available during the Upload and Results steps, but not while a scan is running.
Requirements
Note: Business card scanning reads the card using AI, so it requires AI to be set up for your organization. If AI has not been configured, the dialog reports that AI is not configured and asks an administrator to set up AI credentials in Settings before the scan can run.
Tips
- Use a clear, well-lit photo — sharper images give higher confidence and fewer fields to correct.
- Always check flagged fields — anything marked low confidence should be verified before you save.
- Set the company — the scanner never fills in the company, and a contact cannot be saved without one.
- Scan Again is free — if the first read is poor, re-scan a better photo rather than retyping everything.
