Convert a Deal

When a deal is won, you can convert it into a Project or an Engagement in one step. Converting carries the deal's details across, links the new record back to the deal, sets up a client, and marks the deal as won.

How to Get Here

  1. In the sidebar, open CRM and click Deals.
  2. Open a deal to view its details.
  3. In the deal's toolbar, click Convert to Project.

The Convert to Project button only appears when the deal is in one of these stages:

  • Proposal
  • In Negotiation
  • Won

If the deal is in an earlier stage (Prospect, Initial Meeting, Technical Meeting) or is Lost, the convert button is hidden — move the deal to Proposal, In Negotiation, or Won first.

Overview

Converting a deal does several things at once:

  • Creates a new Project or Engagement from the form you fill in.
  • Resolves a Client for that record — either an existing client or one created automatically from the deal's linked company.
  • Links the new Project/Engagement back to the originating deal.
  • Adds you to the new record as its first member (Creator on a Project, Owner on an Engagement).
  • Marks the deal as Won.
  • Records the conversion in the deal's Activity timeline.

After a successful conversion you are taken straight to the new Project or Engagement.

The Convert Deal Dialog

The dialog title is Convert Deal. At the top, a banner shows Converting from deal followed by the deal name you started from.

Choosing a Target

Two toggle buttons let you pick what the deal becomes:

  • Project — for delivery work tracked as a project with a budget and a start/end date.
  • Engagement — for a contracted engagement tracked by a contract start and end date.

Project is selected by default. The form fields change depending on which target you choose.

Pre-filled Values

To save time, the dialog pre-fills several fields from the deal:

  • Name — pre-filled with the deal name.
  • Budget (Project only) — pre-filled with the deal's Approved Budget Contract.
  • Start Date / Contract Start — pre-filled with the deal's close date.

You can change any pre-filled value before converting.

The Budget field appears only when the target is Project. For an Engagement, the two date fields are labelled Contract Start and Contract End instead of Start Date and End Date.

How the Client Is Resolved

Every converted Project or Engagement is attached to a Client. During conversion the client is resolved automatically from the deal's linked company:

  • If a client already exists for the deal's company, that existing client is reused.
  • If no client exists yet, a new one is created from the company and the deal's point of contact (using the contact's name, email, and phone).

Because of this, the deal must have a company linked through its Point of Contact for an automatic client to be created. If the deal has no linked company, conversion cannot create a client and will report an error — link a point of contact with a company to the deal first.

Common Tasks

Convert a Deal to a Project

  1. Open the deal and click Convert to Project.
  2. In the Convert Deal dialog, leave the Project toggle selected.
  3. Confirm or edit the Name.
  4. Enter a Code (for example PRJ-2026-001).
  5. Confirm or set the Budget.
  6. Confirm or set the Start Date and enter an End Date.
  7. Optionally add a Description.
  8. Click Convert. The button shows Converting... while it runs.
  9. On success you see a confirmation and are taken to the new project.

Convert a Deal to an Engagement

  1. Open the deal and click Convert to Project.
  2. In the Convert Deal dialog, select the Engagement toggle.
  3. Confirm or edit the Name.
  4. Enter a Code.
  5. Confirm or set the Contract Start and enter a Contract End.
  6. Optionally add a Description.
  7. Click Convert.
  8. On success you see a confirmation and are taken to the new engagement.

Cancel a Conversion

Click Cancel in the dialog to close it without converting. Nothing is changed on the deal.

Tips

  • The Convert button stays disabled until every required field is filled in — Name, Code, and both dates. For a Project the Budget must not be negative.
  • Codes are yours to define — there is no auto-generated code; enter one that fits your numbering scheme.
  • Conversion marks the deal as Won — even if you started from the Proposal or In Negotiation stage, a successful conversion records the deal as won.
  • Check the Activity tab — the conversion is logged on the deal's Activity timeline, noting the Project or Engagement name and code it created.
