Pipeline Settings
Pipeline Settings is where you customize the stages of your deal pipeline — the columns your deals move through on the CRM board. You can add new stages, rename them, change their color, reorder them, temporarily disable them, and delete the ones you no longer use.
How to Get Here
- In the sidebar, open CRM and click Deals.
- Switch to the Board view using the view toggle.
- Click the gear icon in the toolbar (it appears only in Board view).
This opens the Pipeline Settings page. The breadcrumb trail shows CRM › Pipeline Settings, and a Back control returns you to the CRM area.
Overview
Each stage is a column on the deals board. A stage has a name (what you see on the board), a key (a stable internal identifier), and a color (used for the stage's color indicator). Stages are shown in their saved order, top to bottom, which is the same left-to-right order they appear on the board.
Two stages have a special role in the pipeline:
- A Win stage marks deals that have been won.
- A Lost stage marks deals that have been lost.
These special stages are labeled with a Win or Lost badge and are protected from deletion.
Page Layout
- Add Stage button (top right) — opens the inline form to create a new stage.
- Stages list — every stage, including disabled ones, in order. Each row shows:
- A color bar on the left, filled with the stage's color.
- Reorder controls (up and down chevrons) to move the stage.
- The stage name and key.
- A Win or Lost badge, when the stage is a special stage.
- A deal count (e.g. "3 deals"), shown when the stage currently holds any deals.
- Row actions: Edit, Enable/Disable, and Delete.
Disabled stages are shown in a muted (inactive) style.
Field Reference
When adding a stage, the inline form has these fields:
| Field | Required | Description |
|---|---|---|
| Stage Name | Yes | The name shown for the stage. Example placeholder: Due Diligence. |
| Stage Key | Yes | A stable internal identifier for the stage. It is generated automatically from the name (lowercased, with non-alphanumeric characters replaced by underscores — e.g. due_diligence), and you can edit it before saving. |
| Color | No | The stage's color, chosen with a color picker. Defaults to a blue (#1565C0). |
When editing an existing stage, you can change the name and the color. The stage key is not editable after creation.
Row Actions
Each stage row offers these actions:
| Action | Icon | What it does |
|---|---|---|
| Edit | Pencil | Switch the row to an inline editor for the name and color. |
| Enable / Disable | Eye / Eye-off | Toggle whether the stage is active. Disabled stages stay in the list but are shown muted. |
| Delete | Trash | Permanently remove the stage. Not available on Win or Lost stages. |
Common Tasks
Adding a Stage
- On the Pipeline Settings page, click Add Stage.
- Enter a Stage Name (required). The Stage Key fills in automatically — adjust it if you wish.
- Optionally pick a Color.
- Click Add Stage to save (the button shows Creating… while saving), or Cancel to discard.
A "Stage created" confirmation appears and the new stage is added to the list. The button stays disabled until both the name and key are filled in.
Renaming or Recoloring a Stage
- Find the stage in the list and click the Edit (pencil) action.
- The row turns into an inline editor. Update the name and/or the color.
- Click Save to apply, or Cancel to discard.
A "Stage updated" confirmation appears.
Reordering Stages
Use the up and down chevrons on the left of each row to move a stage one position at a time. The up chevron is disabled on the first stage; the down chevron is disabled on the last stage. The new order is saved immediately and is reflected on the deals board.
Disabling or Re-enabling a Stage
Click the eye action on a stage to toggle it active or inactive. A disabled stage remains in the list (shown muted) but is removed from active use. Click the eye-off action again to re-enable it.
Deleting a Stage
- Click the Delete (trash) action on the stage you want to remove. This action is only available on stages that are not the Win or Lost stage.
- A confirmation dialog appears: Are you sure you want to delete "{name}"? Deals in this stage must be moved first.
- Click Delete to confirm, or Cancel to keep the stage.
A "Stage deleted" confirmation appears. If the stage still contains deals, move those deals to another stage first — the deletion will not succeed otherwise.
Notes
- Win and Lost stages cannot be deleted. They are protected because the pipeline relies on them to record won and lost outcomes.
- Changes to stages (renaming, recoloring, reordering, enabling/disabling) take effect on the deals board right away.
- The deal count shown on a stage reflects how many deals currently sit in that stage, which is useful before deleting or disabling it.
