Client Management

Maintain the list of clients used by your projects. Add new clients, edit their details, review the projects and collection totals tied to each one, and archive clients you no longer work with.

Overview

The Client Management screen (titled Client Management, "View and manage project clients") keeps a record of each client your organization runs projects for. Every client can be linked to one or more projects, and the client's detail page rolls up the financial totals across those projects.

From Projects open the Clients page. The breadcrumb shows Projects › Clients.

Page Features

Client List

The list displays clients in a table with these columns:

  • Client Name
  • Email
  • Phone
  • Contact Person
  • Industry
  • Projects — the number of projects linked to the client
  • Created — the date the client was added

The list is sorted by newest first (most recently created) by default. Click any row to open that client's detail page.

Use the search box to find clients by:

  • Client Name
  • Email
  • Contact Person

Actions Available

  • Add Client — open the form to create a new client (button at the top right of the list).
  • Edit — change a client's details (from the client detail page).
  • Archive — hide a client from the list (from the client detail page).

Clients are archived, not deleted. Archiving removes the client from the list but does not affect any projects already linked to it.

Client Fields

When adding or editing a client, the form is split into two sections.

Basic Information

  • Client Name (required)
  • Email (required, must be a valid email address)
  • Contact Number (required)
  • Contact Person
  • Description — free-text notes about the client

Company Details

  • Website
  • Industry — choose from: Technology, Healthcare, Finance, Education, Manufacturing, Retail, Real Estate, Construction, Government, Non-Profit, Other
  • Company Size — choose from: 1-10 employees, 11-50, 51-200, 201-500, 501-1000, 1000+ employees
  • Location — optional; select from your configured locations

Common Tasks

Adding a New Client

  1. Go to Projects › Clients.
  2. Click the Add Client button.
  3. Under Basic Information, fill in:
    • Client Name (required)
    • Email (required)
    • Contact Number (required)
    • Contact Person (optional)
    • Description (optional)
  4. Under Company Details, optionally fill in Website, Industry, Company Size, and Location.
  5. Click Create Client.

If a required field is missing or the email is invalid, the form highlights the field and asks you to correct it before saving.

Editing a Client

  1. From Projects › Clients, click the client's row to open its detail page.
  2. Click Edit.
  3. Update any of the fields.
  4. Click Save Changes.

Viewing a Client's Details

Open a client from the list to see:

  • Financial summary cards: Total Project Amount, Total Collection, Total Collected, and Balance.
  • Client Information — name, email, phone, contact person, industry, company size, website, and location.
  • Description (if one was entered).
  • Associated Projects — a table of every project linked to the client, showing project name, code, status, budget, progress, start date, and end date. Click a project name to open that project.

Archiving a Client

  1. Open the client's detail page.
  2. Click Archive.
  3. Confirm in the dialog that appears.

The client is removed from the list. Projects already linked to the client are not affected.

Tips and Best Practices

  • Fill in contact details — name, email, and contact number are required so the client can always be reached.
  • Keep information current — use Edit to update details as they change.
  • Use the description — record useful notes about the client there.
  • Archive instead of leaving clutter — archive clients you no longer work with rather than deleting records.

💡 Note: A client's financial totals and associated-projects list are populated from the projects linked to that client.
