Project Allocation
Project Allocation shows tracked Time Tracker minutes over a date range, grouped by project — a quick read on where task time actually went. Click any project's row for a per-employee breakdown, or export the range to Excel.
Every figure on this report is task-allocation time — minutes from closed Time Tracker segments, tracked purely for the sake of knowing where work went. It never reconciles with attendance/DTR time and must not be read as payroll hours. A segment that is still running is excluded from the totals until it closes.
Accessing Project Allocation
- In the sidebar, go to Workspace.
- Click Reports to expand the menu.
- Select Project Allocation.
Permission required: the Project Allocation permission (PROJECT_REPORTS_PROJECT_ALLOCATION_ACCESS). If the menu item is not visible, ask your administrator to grant it.
The Project Allocation Report
The report covers the last 7 days by default and lists projects with the most tracked time first, including a No project row for segments on tasks that have no project assigned.
Columns
| Column | Description |
|---|---|
| Project | The project name, or No project for segments on tasks with no project set |
| Tracked Time | Total closed-segment minutes for that project across the selected range |
| Share | This row's tracked minutes as a percentage of the grand total across every row currently shown |
| Tasks | Number of distinct tasks under that project with tracked time in the range |
| People | Number of distinct employees who tracked time on that project in the range |
The table footer shows the Total tracked time across every row in the current range and filters.
Filters
- Date range — defaults to the last 7 days
- Employee search — narrows the report to one employee's tracked time
The employee search only lists people who tracked time in the currently selected range, so changing the date range clears the employee filter — pick your range first, then narrow by employee.
Viewing the Per-Employee Breakdown
Click any project row to open a dialog with that project's Total tracked minutes and every employee who contributed to it, sorted by minutes worked (highest first). Each entry shows the employee's name, employee code, task count, and tracked minutes for that project.
Exporting to Excel
Click Export to download the current date range and employee filter as an Excel workbook — one row per project-and-employee pair, with Minutes, Hours, and Tasks columns, plus a grand-total row and a subtitle reminding readers the figures are task-tracker allocation, not attendance or payroll hours.
Permission required: exporting needs the separate Project Allocation Export permission (PROJECT_REPORTS_PROJECT_ALLOCATION_EXPORT) — holding only the view permission lets you see the report but not export it.
About These Figures
Tracked Time here comes entirely from Time Tracker's own closed segments — it is a record of task allocation, not a time clock. It is deliberately decoupled from attendance/DTR and must never be presented as, or substituted for, payroll hours. A segment still running contributes nothing until it closes, so a range that looks "light" may simply have work still in progress.
For the day-by-day, per-employee version of this same data, see Time Tracker Logs. For the same range grouped by engagement instead of project, see Engagement Allocation.
Troubleshooting
Project Allocation is not visible in the sidebar. You do not have the Project Allocation permission. Ask your administrator to grant it.
Export does nothing or fails. Viewing and exporting are separate permissions — confirm you hold PROJECT_REPORTS_PROJECT_ALLOCATION_EXPORT, not just the access permission.
The numbers look too low. Running segments are excluded until they close, so time from a session still in progress will not appear yet. Also double-check the date range — it defaults to the last 7 days.
