Project Folders

Organize your projects into colored folders so related work stays grouped together. Folders live in the Grid view of the Project List, where you can create folders, drag projects into them, and move one or many projects at a time.

Overview

Project Folders let you group projects under named, color-coded folders — for example "Active Projects", "Q1 2026", or one folder per client. Each folder is collapsible and shows how many projects it contains. Projects that have not been placed in any folder appear together under an Uncategorized heading.

An empty folder (one with no projects in it) is hidden from the grid to keep the view uncluttered. It reappears automatically — as a drop target — while you are dragging a project, so you can still drop a project into a folder that currently has nothing in it.

Where to Find Folders

  1. In the sidebar, open WorkspaceProjects.
  2. At the top right of the list, switch the view toggle from List to Grid view.

Folders, the New Folder button, and the Select option only appear in Grid view. In List view you can still move a single project into a folder using the right-click menu (see below), but folder sections are not shown.

Common Tasks

Creating a Folder

  1. Open WorkspaceProjects and switch to Grid view.
  2. Click New Folder at the top of the grid.
  3. In the dialog, fill in:
    • Folder Name — a descriptive name (for example, "Active Projects" or "Q1 2026").
    • Color — pick one of the 14 color swatches. The first color is selected by default.
  4. Click Create.

The new folder appears in the grid, ready to receive projects.

Moving a Project into a Folder (right-click)

This works in both List view and Grid view, and is the quickest way to file a single project.

  1. Right-click the project's row (List view) or card (Grid view).
  2. Choose Move to Folder from the menu.
  3. In the dialog:
    • If there are more than three folders, use the Search folders box to find one by name.
    • Click the folder you want to move the project into.
  4. The project moves immediately and a confirmation message appears.
Tip

The Move to Folder menu item only appears when at least one folder already exists. Create a folder first if you don't see it.

Removing a Project from a Folder

  1. Right-click a project that is currently inside a folder.
  2. Choose Move to Folder.
  3. At the top of the list, click Remove from Folder.

The project moves back to the Uncategorized group. A check mark next to a folder in this dialog shows which folder the project is currently in.

Moving Projects by Drag and Drop (Grid view)

  1. Switch to Grid view.
  2. Drag a project card and drop it onto any folder.
  3. The folder highlights as a drop target, and the project moves when you release.

You can also drag and drop several projects at once after selecting them (see below).

Moving Several Projects at Once

  1. In Grid view, click Select to turn on selection mode.
  2. Click the projects you want to move to select them. A bar shows how many are selected.
  3. Click Move to Folder.
  4. Pick the target folder in the dialog. All selected projects move together, and selection mode turns off.

To leave selection mode without moving anything, click Cancel (the Select button changes to Cancel while you are selecting).

Renaming or Recoloring a Folder

  1. In Grid view, find the folder header.
  2. Click the (more) button on the right of the folder header.
  3. Choose Edit Folder.
  4. Change the Folder Name and/or Color, then click Save.

Deleting a Folder

  1. In Grid view, click the (more) button on the folder header.
  2. Choose Delete Folder.
  3. Confirm in the dialog.

Deleting a folder does not delete the projects inside it — those projects simply return to the Uncategorized group.

Collapsing and Expanding a Folder

Click anywhere on a folder's header (the chevron, name, or count) to collapse or expand it. Collapsing folders you aren't using keeps the grid tidy when you have many projects.

Create / Edit Folder dialog

Tips

  • Use folders per client or per period — colored folders make it easy to scan the grid for the work you care about.
  • Folders live in Grid view — switch the view toggle to Grid to see and manage them.
  • Deleting a folder is safe for projects — the projects move to Uncategorized, they are never removed.
  • Bulk-move with Select — when reorganizing many projects, turn on Select, pick several, and move them in one step instead of one at a time.

💡 Note: Folders organize how projects are grouped on screen — they do not change a project's status, schedule, or any other project data.
