Discovery
Send client onboarding questionnaires and track their progress. Discovery lets your team build reusable questionnaire templates, share a passcode-protected link with a client (no email required β you copy the link and passcode and send them however you like), and watch the client's progress move from Shared through Opened, In progress, and Submitted.
Overview
Open Workspace β Discovery from the sidebar. The page has two tabs:
- Sends (default) β every questionnaire you've shared, with its status, progress, and timing.
- Templates β the questionnaire templates available to send, and where you edit their content.
Discovery also appears as a Discovery tab on an individual project's page (see Project Details), scoped to that project's own sends. That tab has its own two sub-tabs β Sends and Files (every document uploaded across all of the project's questionnaires; see All Files for a Project).
Sends Tab
The Sends table lists every questionnaire that has been shared, with these columns:
- Title β the send's title, or the template name if no title was set
- Project β the Workspace project the send is linked to (or "β")
- Client β the client linked to the send's project (or "β")
- Status β one of Shared, Opened, In progress, Submitted, or Reopened (a colored chip)
- Progress β answered questions out of the total
- Sent at β date and time the send was created
- Time to answer β how long it took the client to submit, once submitted
- Created by β the team member who created the send
Use the status filter above the table to narrow the list to a single status. Click any row to open that send's detail page.
Send Statuses

Templates Tab
The Templates table lists every questionnaire template, with Name, Sections, Questions, and Updated at columns. A template still being built shows an Under development badge next to its name and cannot be sent yet β its Send button is disabled. Click a template row to open it in the template editor. Click the Send button on a sendable template's row to jump straight to sharing it.
Sharing a Questionnaire
Click Share questionnaire (available from the page header, the Sends tab's empty state, or a template's row) to open the Share questionnaire dialog:
- Template (required) β pick from sendable templates (searchable dropdown)
- Project β the Workspace project this discovery belongs to; hidden and pre-filled when opened from a project's Discovery tab
- Title β defaults to the template's name; edit it to something specific to this send
- Notes β an optional message shown to the client alongside the questionnaire
Click Create share link. There is no recipient email field β Discovery doesn't send an email itself. Instead, on success the dialog shows:
- The Fill link β the public URL the client opens to fill out the questionnaire
- A Passcode β shown only once (only its hash is kept on the server)
Copy both (each has its own Copy button) and share them with the client through whatever channel you use β email, chat, etc. Click Done to close.
Send Detail Page
Opening a send shows its header (title, status, project, client, template, notes if any) and a stats row: Sent at, First opened, Submitted at, Time to answer, and Progress. A left-hand navigator lists each questionnaire section with a progress meter and answered/total count, plus a Files entry and an Activity entry; click a section to view its questions and the client's answers read-only, click Files to see every document the client uploaded (see Viewing Uploaded Files), or click Activity to see the send's event timeline (created, opened, autosaved, submitted, reopened, passcode regenerated, passcode lockouts, and questionnaire edits, each with actor and time). An edit entry also shows how many questions were added and removed.
Viewing Uploaded Files
File request questions can be scattered across a dozen sections, so the send detail page collects every uploaded file in one place. Click Files in the left-hand navigator β the number next to it is how many files the client has uploaded so far.
The list shows, for each file:
- File β the file name, with an icon for its type (spreadsheet, PDF, image, and so on)
- Question β the question the client uploaded it for, with its section underneath, so you always know what a document was meant to answer
- Size and Uploaded β how big the file is and when it arrived
- A download button at the end of the row that opens or saves the file
A search box above the list filters by file name, question, or section β useful once a questionnaire has dozens of attachments. If a question that already had files was later deleted in Edit questions, any file that survived still appears at the bottom of the list marked Question removed, so nothing the client sent you ever becomes unreachable.
All Files for a Project
A project's Discovery tab has the same list rolled up across every questionnaire sent for that project. Open the project, go to Discovery, and switch to the Files sub-tab. It works the same way, with one extra Questionnaire column naming which send each file came from; click any row to jump to that questionnaire's detail page.
Actions
- Copy link β copies the fill URL to your clipboard
- Edit questions β only shown while the send is not Submitted (and if you have permission to update Discovery); opens the questionnaire editor for this send. See Editing Questions on a Live Send below.
- Reopen β only shown once the send is Submitted; unlocks the questionnaire so the client can edit their answers again (confirmation required)
- Regenerate passcode β generates a brand-new passcode; the old link's passcode stops working immediately. The new passcode is shown once in a dialog, the same way it was at creation β copy and re-share it with the client (confirmation required)
Editing Questions on a Live Send
Click Edit questions on a send's detail page to change the questions on a questionnaire that has already been shared with a client. The editor is the same two-pane layout used for templates (see Building and Editing a Template) β sections on the left, the selected section's title, description, and questions with a Preview toggle on the right β pre-loaded with this send's current questions.
A banner at the top warns that you're editing a live questionnaire: saving updates the client's fill link immediately, answers already given stay attached to their questions, and deleting a question that already has answers or uploaded files removes that data permanently. If your changes would delete answered or file-attached questions, clicking Save first shows a confirmation dialog stating how many questions will be removed along with their answers/files before it lets you proceed.
The Save button stays disabled until you make a change. Leaving the page with unsaved changes prompts a confirmation. A Submitted questionnaire cannot be edited β Reopen it from the send detail page first.
If the client is filling out the form at the moment you save, their page picks up the new questions automatically (without losing what they've already typed) and shows a notice that the questionnaire was updated β see The Client's Fill Experience.
Building and Editing a Template
Open a template from the Templates tab to reach its editor. The editor has a Template name (required) and Description field at the top, then two panes:
- Left pane β Sections: the list of sections in the template. Use the up/down arrows to reorder a section, the trash icon to delete it (a template must keep at least one section), or Add section to append a new one.
- Right pane β selected section: the section's Section title and Section description, its questions, and a Preview toggle that renders the section exactly as the client will see it (nothing you type in preview is saved).
Click Save to persist your changes; the button is disabled until you've made an edit, and leaving the page with unsaved changes prompts a confirmation.
Adding or Editing a Question
Click Add question (or the pencil icon on an existing question) to open the question editor:
- Question type (required) β one of: Short text, Long text, Single choice, Multiple choice, Yes / No, Date, Number, Table, File request
- Question label (required)
- Helper note β optional guidance shown under the label
- Example answer β optional; shown to the client via an info icon next to the label (for Table questions, put one sample row per line)
- Required question β checkbox
Depending on the type, extra fields appear:
- Single choice / Multiple choice β an Options list (at least 2 non-empty options required). Single choice always offers an "Other (please specify)" answer; Multiple choice offers it only if you check Allow an "Other" free-text answer.
- Table β a Table columns list, each with a label and a Text/Number/Date type (at least 1 column required).
- File request β an optional Downloadable template columns field (one column name per line). If filled in, the client sees a Download blank template button that generates a CSV with those column headers for them to fill in and re-upload.
Use the up/down arrows on a question row to reorder it, or the trash icon to delete it (with confirmation).
The Client's Fill Experience
The client opens the fill link at a public page (no Ante login) showing your company name and the questionnaire title, then a passcode entry screen. After the correct passcode, they see the questionnaire itself: a left-hand section navigator with a progress meter, the current section's questions, Previous / Next buttons between sections, and a footer showing overall progress and an autosave indicator ("Savingβ¦" / "Saved" / "Could not save").
Answers autosave automatically as the client types β there is no separate save button. File request questions let the client optionally download a blank CSV template first, then upload files β up to 10 files per question, each removable individually, with a running "N/10 files uploaded" counter; once the cap is reached, uploading is disabled until a file is removed.
If you edit the questionnaire's questions (see Editing Questions on a Live Send) while the client has the form open, their page silently picks up the new questions on the next autosave and shows a "The questionnaire was updated" notice telling them their saved answers were kept and to review the sections for new or changed questions; they dismiss it with Got it.
When ready, the client clicks Submit, sees a confirmation dialog (which warns if any required questions are still unanswered, and that submitting locks the answers), and confirms. Once submitted, the form becomes read-only with a thank-you banner, and the client can still open the link to review their locked answers β until you Reopen it from the send detail page.
If the client's passcode session expires mid-fill, they're returned to the passcode gate with a note that their unsaved answers were kept; re-entering the passcode picks up where they left off.
Common Tasks
Creating and Sharing a New Questionnaire Send
- Go to Workspace β Discovery.
- Click Share questionnaire.
- Select a Template, optionally a Project, and adjust the Title or Notes.
- Click Create share link.
- Copy the Fill link and Passcode and send them to the client.
Sending a Questionnaire from a Project
- Open the project and go to its Discovery tab.
- Click Share questionnaire β the project is pre-linked, so the Project field is skipped.
- Fill in the rest and click Create share link, then copy the link and passcode.
Checking Progress on a Sent Questionnaire
- Go to Workspace β Discovery (or a project's Discovery tab).
- Find the send in the Sends table β its Status and Progress columns show where the client is.
- Click the row to see per-section progress, the client's answers so far, and the Activity timeline.
Collecting the Documents a Client Sent
- Open the send's detail page.
- Click Files in the left-hand navigator.
- Use the search box to narrow the list, then download the files you need.
- To gather documents across every questionnaire for a project instead, open the project's Discovery tab and switch to the Files sub-tab.
Reopening a Submitted Questionnaire
- Open the submitted send's detail page.
- Click Reopen and confirm.
- The status returns to editable and the client can access the same link and passcode to make changes again.
Regenerating a Passcode
- Open the send's detail page.
- Click Regenerate passcode and confirm.
- Copy the new passcode shown in the dialog and share it with the client β their old passcode no longer works.
Editing Questions on a Live Send
- Open the send's detail page β the send must not be Submitted (reopen it first if it is).
- Click Edit questions.
- Add, edit, reorder, or delete sections and questions the same way you would in a template (see Adding or Editing a Question).
- Click Save. If you deleted a question that already had answers or files, confirm the removal warning.
- The client's fill link shows the updated questions immediately; their existing answers to unchanged questions are kept.
Creating a New Questionnaire Template
- Go to Workspace β Discovery β Templates.
- Click a template to open the editor, or add sections/questions to build one out (templates are currently seeded by the system; use Add section and Add question to extend one).
- Add questions of the type you need, mark required ones, and use Preview to check how the client will see each section.
- Click Save.
Tips and Best Practices
- Copy both the link and the passcode β the passcode is shown only once; if you lose it, use Regenerate passcode to get a new one (this invalidates the old one).
- Use Notes for context β the optional note is shown to the client alongside the questionnaire, useful for a short instruction or reminder.
- Preview before sending β use the template editor's Preview toggle to see exactly what the client will see.
- Reopen instead of resending β if a client needs to change a submitted answer, Reopen the existing send rather than creating a new one, so all activity stays on one record.
- Provide downloadable templates for file requests β filling in the CSV columns for a File request question gives the client a ready-made spreadsheet to fill in and upload, reducing formatting mistakes.
- Be careful deleting questions on a live send β if a question already has an answer or an uploaded file, deleting it in Edit questions removes that data permanently once you confirm; edit the wording instead of deleting when you just need to clarify a question.
