File Drive (Media Library)
Store and organize project images, documents, videos, and audio in one place. In the Projects sidebar this section is labelled File Drive; the page itself is titled Media Library.
Overview
The Media Library keeps your project media files together. You can upload files, sort them into folders, add metadata (alternative text, captions, tags), preview them, edit their details, and delete them. Files stored here are scoped to the Projects module.
How to Open It
- Click Projects in the sidebar.
- Click File Drive.
This opens the Media Library list (web address /projects/media-library).
The File List
The main page shows your files in a table. Each row displays:
- Thumbnail β a small image preview for pictures, or a type icon (image, video, audio, document) for other files
- File Name β the file's display name (the original uploaded filename appears underneath if it differs)
- Type β Image, Document, Video, or Audio
- Size β the file size
- Folder β the folder the file belongs to (or a dash if it is in the root)
- Uploaded By β the person who uploaded the file
- Date β the upload date
The list shows 12 files per page and is sorted by newest first by default.
Finding files in the list
- Search β search by File Name or by Tags.
- Filter β filter by File Type (Image, Document, Video, Audio).
- Sort β click a sortable column heading to sort by name, size, type, or date.
Click any row to open that file's detail page.
The Media Library Browser (Open Media Library)
Click the Open Media Library button (top right of the list page) to open the full-screen browser. This is the main place to upload and organize files. It offers:
- Grid / List view toggle β switch between thumbnail tiles and a detailed list.
- Folder breadcrumb β starts at Media Library (the root). Click a folder to open it; click a breadcrumb segment to jump back.
- Search box β type in Search files... to filter the current view by name.
- Sort menu β choose Newest first, Name (AβZ), Size (largest), or Type.
- Type filter chips β All, Images, Documents, Videos, Audio.
- Item count and storage used β shown above the files.
Folders
- New Folder β click New Folder, type a folder name, then click Create (or press Enter). Folders can be nested: a new folder is created inside the folder you are currently viewing.
- Open a folder β click a folder card. Its file count is shown on the card.
- Delete a folder β click the delete icon on a folder card and confirm. A folder must be empty before it can be deleted.
Uploading files (browser)
You can upload in two ways from the browser:
- Drag and drop β drag files directly onto the grid area; a "Drop files here to upload" overlay appears. Files dropped this way go into the folder you are currently viewing.
- Upload button β click Upload to open the upload dialog (see below).
The Upload dialog
- Drag and drop files onto the dropzone, or click it to browse your computer.
- Choose Upload to folder if you want the files placed in a folder.
- Review the queued files (each shows its name, size, and status).
- Click Upload to upload all queued files. Use Clear All to empty the queue, or the remove icon to drop a single file.
Supported in this dialog: images, videos, audio, PDFs, and documents, up to 50MB per file. The dialog closes automatically when every file uploads successfully; if any file fails it stays open so you can see the error and retry.
File details panel
Click a file in the browser to open the Asset Details panel on the right. There you can:
- See a preview, plus the file's Type, Size, MIME type, image Dimensions (if applicable), and upload date.
- Edit the File name, Alternative text, and Caption, then click Save.
- Open the file in a new browser tab.
- Delete the file.
Uploading From the Upload Page
There is also a dedicated upload page (reached from the upload action) with these sections:
Step 1 β File Selection
Drag and drop a file onto the dropzone, or click it to choose a file. Selecting a file is required. Image files show a preview; other files show a file icon.
Step 2 β File Details
- Alternative Text β a description used for accessibility (optional)
- Tags β comma-separated keywords for searching (optional)
- Caption β an optional caption
Step 3 β Organization
- Folder β choose a folder, or leave as No Folder
Click Upload File to finish. After uploading you are taken to the new file's detail page.
Accepted file types: images, videos, audio, and the document formats .pdf, .doc, .docx, .xls, .xlsx, .ppt, .pptx, .txt, .csv.
Viewing a File (Detail Page)
Click a file row (or upload a file) to open its detail page. It shows:
- Preview β images, videos, and audio play inline; PDFs display in a frame; other file types show a placeholder with a Download File button.
- File Information β File Name, Original Name, Type, Size, MIME type, Module, and (for images/video) Dimensions or Duration.
- Metadata β Alternative Text, Caption, Tags, and Folder.
- Upload Info β Processing Status, Uploaded By, Created date, and Last Updated date.
Available actions at the top of the page:
- Open β open the file in a new browser tab (when available)
- Edit β edit the file's details
- Delete β delete the file (asks for confirmation; this also removes it from storage and cannot be undone)
Editing a File
From a file's detail page click Edit. The edit page has:
Basic Info
- File Name β the display name (required)
Metadata
- Alternative Text β accessibility description
- Tags β comma-separated keywords
- Caption β optional caption
Organization
- Folder β move the file to a folder, or No Folder
Click Save Changes to apply your edits.
Common Tasks
Upload a file
- Click Projects β File Drive.
- Click Open Media Library.
- Click Upload (or drag files onto the grid).
- Drop or browse for your files, optionally choose Upload to folder.
- Click Upload.
Create a folder
- Open the Media Library browser (Open Media Library).
- Navigate into the folder where you want the new folder (or stay at the root).
- Click New Folder, type a name, and click Create.
Move a file to a folder
- Open the file's detail page and click Edit (or open the file in the browser's details panel).
- Under Organization, choose the destination Folder.
- Click Save Changes.
Rename a file
- Open the file's detail page and click Edit.
- Change the File Name field.
- Click Save Changes.
Delete a file
- Open the file's detail page.
- Click Delete and confirm. (You can also delete from the browser's grid hover menu or the details panel.)
Tips and Best Practices
- Use folders to keep related project media together; folders can be nested.
- Add alternative text and captions to images so they are described and searchable.
- Tag your files with comma-separated keywords β tags are searchable from the file list.
- Empty a folder before deleting it β folders with files inside cannot be deleted.
- Keep files under 50MB when uploading through the upload dialog.
