AI Users

The AI Users page manages the special, automated user accounts that ANTE uses to handle certain tasks on your organization's behalf. These are not real people — they are built-in "AI" accounts that the system uses to act inside your organization.

Overview

ANTE supports a small, fixed set of AI users. Each one has a specific job:

  • Sales AI — automatically creates leads from Messenger AI conversations.
  • Payroll AI — automates payroll-related tasks and calculations.

There can be at most one of each type. From this page you can:

  • See which AI users already exist in your organization.
  • Initialize an AI user that hasn't been set up yet.
  • Edit the display name of an existing AI user.

You don't create AI users from scratch the way you add regular people. Instead, you "initialize" a ready-made type, and ANTE sets up the account for you.

Getting Here

  1. Open Settings from the sidebar.
  2. Go to Users (under Users & Access).
  3. On the Users list, click the AI Users button in the top-right of the page header.

The breadcrumb reads Settings › Users & Access › Users › AI Users.

To go back, click the All Users button in the page header (or the back arrow). Both return you to the Users list.

Page Layout

The page has two parts:

  • AI Users table — the list of AI accounts that have already been set up. If none exist yet, it shows "No AI users initialized yet."
  • Available AI Users section — appears below the table and only lists AI types that have not been set up yet. Each available type is shown as a card with an Initialize button. Once both types are initialized, this section disappears.

The page header also has an All Users button that takes you back to the Users list.

Table Columns

Each row in the AI Users table shows:

Rows are always sorted with Sales AI first, then Payroll AI.

Common Tasks

Initializing an AI User

If an AI type has not been set up yet, it appears as a card in the Available AI Users section.

  1. Find the card for the type you want — Sales AI or Payroll AI. Each card shows the type's name and a short description of what it does.
  2. Click the Initialize button on that card.
  3. While it works, the button shows a spinner and the text Initializing….

On success, a confirmation message appears ("[name] initialized successfully") and the new AI user shows up in the table above. The card for that type is then removed from the Available section, because each type can only be set up once.

If something goes wrong, an error message appears explaining the problem.

Editing an AI User's Name

You can change the display name shown for an AI user.

  1. Open the Edit AI User dialog in either of these ways:
    • Click the edit (pencil) button on the AI user's row, or
    • Click anywhere on the AI user's row.
  2. The dialog explains that you are updating the display name shown in the system.
  3. Update the fields:
    • First Name (required)
    • Last Name (required)
  4. Click Save Changes to apply (the button shows Saving… while it works), or click Cancel to close without changes.

On success, a confirmation message appears ("AI user updated successfully") and the table refreshes with the new name. Both First Name and Last Name must be filled in — if either is left blank, the dialog shows a "required" message and does not save.

Only the name can be changed here. The AI user's type, username, email, role, and status are set by the system and are not editable on this page.

Tips

  • Only two AI types exist — Sales AI and Payroll AI. Once both are initialized, the Available AI Users section is empty and you'll only be able to edit existing AI users.
  • Initialize once — each type can be set up a single time. After that, manage it from the table rather than re-initializing.
  • Editing is name-only — use the Edit dialog just to give the AI a clearer display name; it doesn't change what the AI does.
  • Users — the active users list (where the AI Users button lives)
  • Inactive Users — review and restore deleted accounts
  • User Invite — invite people to create their own accounts
  • Roles — manage what each role can access
