Branches

Branches let you register the different offices, stores, or sites that make up your organization, arrange them in a parent/child hierarchy, and tie each one to a physical location and (optionally) a main warehouse.

Overview

Each branch has a code, a name, and a location. Branches can be nested under a parent branch to form a hierarchy (for example, a head office with sub-branches), and a branch can be linked to a main warehouse for inventory purposes. You can manage branches one at a time through the form pages, browse the whole structure in a hierarchy view, or bulk-add branches by importing an Excel file.

To open this screen, go to Settings → Company Settings → Branches.

Page Layout

The branch list shows all branches in a table. At the top right of the page you have four actions:

  • Branch Hierarchy - Opens a dialog showing the full parent/child tree of branches.
  • Export - Downloads the current branches as an Excel file (branches.xlsx).
  • Import - Opens the import dialog to bulk-add branches from an Excel file.
  • Add Branch - Opens the form to create a new branch.

List Columns

Main WarehouseThe assigned main warehouse, or - if none

You can search the list by Code or Name. Click any row to open that branch's detail page.

Branch Information

When you open a branch (by clicking its row), the detail page shows:

  • Branch Overview - Logo (or a building icon if none), name, and code.
  • Basic Information - Branch Code, Branch Name, Location, and the location's Address.
  • Hierarchy - Parent Branch (a link to the parent, or "No parent (Top level)") and the number of Child Branches.
  • Warehouse - Main Warehouse and Warehouse Type, or "Not assigned" if no warehouse is linked.
  • Record Information - Created and Last Updated dates.
  • Child Branches - If the branch has children, each one appears as a card linking to that branch.

Common Tasks

Adding a Branch

  1. On the Branches page, click Add Branch.
  2. Fill in the form, which is organized into sections:
    • Basic Information
      • Branch Code (required) - e.g., HQ, BR001
      • Branch Name (required) - e.g., Head Office, Branch 1
    • Location
      • Location (required) - Select an existing location from the dropdown, or create a new one (see Adding a Location below).
    • Hierarchy
      • Parent Branch (optional) - Select a parent to nest this branch under it, or leave empty to create a top-level branch.
    • Warehouse
      • Main Warehouse (optional) - Assign a warehouse so the branch can hold inventory stock.
    • Branch Logo
      • Logo (optional) - Drag and drop an image or click to upload. Accepted formats are JPG, PNG, and GIF, up to 5MB.
  3. Click Create Branch.

Adding a Location

A location holds the address details. You can create one without leaving the branch form:

  1. In the Location field, click New Location (or Create new...).
  2. In the dialog, fill in:
    • Location Name (required) - e.g., Main Office
    • Region (required)
    • Province (required) - available after a region is chosen
    • Municipality / City (required) - available after a province is chosen
    • Barangay (required) - available after a municipality is chosen
    • Street (optional)
    • Zip Code (required)
  3. Click Create Location. The new location is selected automatically.

Note: The Region, Province, Municipality/City, and Barangay dropdowns cascade — each one becomes available only after you choose the one above it.

You can also view, edit, or delete an existing location by hovering over it in the Location dropdown and using the icons that appear.

Editing a Branch

  1. Open the branch from the list.
  2. Click Edit.
  3. Update the information.
  4. Save your changes.

Deleting a Branch

  1. Open the branch from the list.
  2. Click Delete.
  3. Confirm the deletion in the dialog that appears.

Note: Deleting a branch cannot be undone. You can also delete a branch from the Branch Hierarchy dialog.

Viewing the Branch Hierarchy

  1. On the Branches page, click Branch Hierarchy.
  2. The dialog displays the full parent/child tree of branches.
  3. From the tree you can view, edit, or delete a branch.

Importing Branches

  1. On the Branches page, click Import.
  2. Click Download Template to get the Excel file in the required format.
  3. Fill in the template, then drag and drop the file (or click to browse) and click Upload & Validate. Accepted file types are .xlsx, .xls, and .csv.
  4. The dialog runs through four stages — Upload, Validate, Review, Import:
    • After validation, you see how many records are valid, have warnings, or have errors. Records with errors cannot be imported.
    • If there are warnings, click Review Warnings, select the records you want to keep, and click Approve Selected & Process.
    • If there are no warnings or errors, click Process Import.
  5. When finished, the dialog shows how many branches were Created, Updated, or Failed. Click Done.

Exporting Branches

  1. On the Branches page, click Export.
  2. An Excel file named branches.xlsx is downloaded with the current branches.

Tips

  • Consistent Naming - Use clear, consistent branch names and codes (e.g., MNL, CEB).
  • Use the Hierarchy - Nest sub-branches under a parent to keep the structure clear.
  • Reuse Locations - Create a location once and reuse it across branches.
  • Assign a Warehouse - Link a main warehouse to any branch that needs to track inventory.
