RFP Workflow
Choose which workflow template runs when someone files a Request for Payment from Treasury β Payables β Request for Payment. This page configures the process engine β the same kind of workflow template you build in Processes β not the older stages/connections editor used by the Purchase Request, Delivery Status, and Liquidation workflows.
Overview
Every Request for Payment now runs through a task workflow: a Payment Request step files it, a Payment Approval step reviews it, and a Payment Release step pays it β the maker β approver β releaser trio described in Request for Payment. This page picks which template drives that trio, and previews the flow it picks. Approving or releasing a request on the Treasury page drives this same workflow either way.
How to Open
- Open Settings from the sidebar.
- Expand Workflows.
- Click RFP Workflow.

Payment flow
A dropdown offering:
- Default β RFP Workflow (maker β approve β release, built-in) β the system's built-in template.
- Any of your company's own Active custom flows built for Treasury in the RFP category (see Making a Custom Flow below).
Changing the selection enables the Save button; click it to apply your choice.
Below the dropdown, a Customize flow button opens the selected flow in the Process Builder β if you're still on the default, this first makes your own editable copy of the built-in template.
A compatible flow starts with one Action step and includes a Payment Approval step; a Payment Request (maker) step must be the start step. Rejecting the approval or release sends the request back to the maker.
Flow preview
Shows the steps of whichever flow is currently selected, in order, each with an icon and:
- The step name.
- Who handles it β the trio's Payment Request (maker) step shows Maker β auto-completed for requests created on the RFP page; other steps show their assignee type: Requester's direct supervisor, Specific user, Role members, or Department members.
A count above the list totals the flow's payment stages (its Payment Approval + Payment Release steps).
Common Tasks
Change the Default Flow
- Go to Settings β Workflows β RFP Workflow.
- Pick a flow from the Payment flow dropdown (or leave it on the default).
- Check the Flow preview card to confirm it's the flow you meant.
- Click Save.
Making a Custom Flow
- Click Customize flow. If you're on the default, this makes an editable copy of the built-in RFP Workflow template and opens it in the Process Builder; if a custom flow is already selected, it opens that flow directly.
- Edit the flow as described in Building a Process Template.
- Custom RFP flows can also be managed directly on Workspace β Processes β duplicate the RFP Workflow prebuilt template there. Its copies keep the RFP category, so they automatically show up back here and in the Treasury page's payment-flow picker.
- Return to this page, select your new flow from Payment flow, and click Save.
