User Invitations

User Invitations lets you invite new people to the system by sending them an email invitation. Instead of creating an account and password yourself, the recipient receives a link to set up their own account.

Overview

This page lists all pending invitations — people who have been invited but have not yet created their account. Once an invitation is accepted, that person becomes a regular user and no longer appears here.

To open the page, go to Settings → Users & Access → User Invite.

Managing an invitation is hierarchy-based — the same rule that governs Users: you can normally only resend or cancel an invitation whose role sits strictly below your own level (or, for a full-access user, any invitation). There is one exception: whoever sent the invitation can always Resend it, even if the invited role's level has since moved up to or above the sender's own — this does not apply to Cancel, which stays strictly hierarchical.

Page Layout

At the top of the page you'll find two buttons:

  • View Users - Jumps to the Users page.
  • Invite User - Opens the dialog to send a new invitation.

Below the buttons is a searchable table of pending invitations. You can search the table by Name or Email.

User Invitations. Each pending invitation shows the role the person will receive, who invited them, when it was sent, and when the link expires — with resend and Cancel buttons on the right.

Invitation Status

StatusMeaning

Invitations expire 7 days after they are sent. Accepted invitations leave the list (the person becomes a user), so they are not shown here.

Common Tasks

Sending an Invitation

  1. Click Invite User.
  2. In the Invite User dialog, fill in the details:
    • First Name (required)
    • Last Name (required)
    • Email Address (required) - must be a valid email address.
    • Role (required) - select the role the person will have once they join.
    • Supervisor (optional) - select a supervisor. This field stays disabled until you choose a Role, and the available supervisors depend on the role you pick.
  3. Click Send Invitation.

The recipient receives an email with a link to create their account. To stop without sending, click Cancel.

Resending an Invitation

  1. Find the invitation in the table.
  2. Click Resend on that row.
  3. Confirm in the Resend Invitation dialog.

A fresh invitation email is sent, matching how that invitation was originally created:

  • Invitations sent from this page (Invite User) get the generic account-setup link.
  • Invitations created when adding or importing an employee in HRIS — including activation invitations that were created without emailing the employee — get that employee's set your password activation link instead.

The Resend button is only shown for invitations that have not yet expired. If you sent the invitation yourself, you can always resend it — even for a role that now sits at or above your own level.

For an employee's activation invitation specifically, you don't have to come to this page at all — the employee's own detail page has the same send/resend action under Actions → Send Email Invite. See Sending or Resending an Activation Email on the Employee Records page.

Cancelling an Invitation

  1. Find the invitation in the table.
  2. Click Cancel on that row.
  3. Confirm in the Cancel Invitation dialog.

The invitation is removed. This action cannot be undone.

Invitation Process

  1. You send - Fill in the invitation details and send it.
  2. They receive - The person gets an email with a link to create their account.
  3. They register - They open the link and set up their own account and password.
  4. They become a user - Once accepted, they can log in with the role you assigned, and the invitation drops off this list.

Tips

  • Check the email address - The invitation goes to whatever address you type, so verify it first.
  • Pick the right role - The role you choose decides what the new user can access once they join.
  • Resend before it expires - Invitations are valid for 7 days; resend if the link has lapsed or the person didn't act in time.
