Payslip Center

The Payslip Center lets HR and payroll administrators view the payslips of every employee for a single, completed (posted) payroll cut-off period. From here you can review each employee's pay summary in one table, open any individual payslip to see its full breakdown, and save that payslip as a PDF.

Overview

The Payslip Center:

  • Lists all employee payslips for one posted cut-off period
  • Shows each employee's basic pay, allowances, gross pay, total deductions, and net pay at a glance
  • Lets you narrow the list by branch or by a specific employee
  • Opens a detailed payslip preview for any employee, including earnings, deductions, leave credits, and year-to-date figures
  • Lets you save an individual payslip as a PDF

📌 Note: Only posted cut-off periods appear in the Payslip Center. A cut-off period must be finished and posted in payroll before its payslips become available here.

Accessing the Payslip Center

  1. Click Manpower in the sidebar
  2. Open Reports
  3. Select Payslip Center

The breadcrumb at the top of the page reads Manpower › Reports › Payslip Center.

Viewing Employee Payslips

The Payslip Center starts empty. You must choose a cut-off period before any payslips appear — until then the page shows the prompt "Select a Cutoff Period".

Step 1: Select the Cutoff Code

  1. Open the Cutoff Code dropdown at the top of the page
  2. Choose the cutoff code you want to review

The cutoff code determines which set of payroll periods becomes available in the next field.

Step 2: Select the Cutoff Period

  1. Open the Cutoff Period dropdown
  2. Choose the specific period you want to view

This field stays disabled until you pick a cutoff code, and it only lists posted periods that belong to the selected code. Once you choose a period, the table loads every employee's payslip for that period.

Step 3: Refine the List (Optional)

After a period is selected, you can narrow the results using the additional filters:

  • Branch — Pick one or more branches to show only employees from those branches. Leave it set to All Branches to include everyone.
  • Search Employee — Search for a single employee by name to show only their payslip. The list of employees comes from the records already loaded for the selected period.

When a branch or employee filter is active, a Clear All control appears so you can reset those filters in one click. (Clearing does not change your selected cutoff code or period.)

Reading the Payslip Table

Each row in the Employee Payslips table represents one employee's payslip for the selected period. The table is sorted by Employee Name by default, and you can sort by any column by clicking its header.

ColumnWhat it shows
Employee CodeThe employee's payroll/ID code
Employee NameThe employee's full name
BranchThe branch the employee belongs to
Basic PayThe employee's basic pay for the period
AllowancesTotal allowances for the period
Gross PayTotal gross pay before deductions
Total DeductionsAll deductions combined for the period
Net PayThe final take-home pay

📌 Tip: If no employees appear after selecting a period, the page shows "No Payslip Records Found" — there are no posted payslip records for that period (or your branch/employee filter excluded them all).

Viewing an Individual Payslip

Click any employee's row to open the Payslip Preview dialog. This shows the complete, printable payslip for that employee.

The preview includes:

  • Company header — Company name and logo, with the heading PAYSLIP
  • Payroll period and transaction date
  • Employee information — Name, employee code, position, department, branch, employee type, payroll frequency, immediate supervisor (approver), and government IDs (TIN, SSS, PhilHealth, HDMF/Pag-IBIG)
  • Attendance summary — Days present, absences, and any regular or special holidays in the period
  • Earnings and Deductions table — A side-by-side breakdown:
    • Earnings: Basic Salary, less Absent/Late/Undertime, Basic Pay, any salary adjustment, Overtime, Night Differential (and Night Differential – OT), Regular and Special Holiday Pay, Rest Day Pay, all allowances, and any Carry-over pay from a filing approved after an earlier cutoff was already locked
    • Deductions: PhilHealth, SSS, HDMF, Tax, loans, and any additional deductions
    • Totals: Total Gross Pay and Total Deduction
  • NetPay (Rounded) — The final take-home amount
  • Leaves — Remaining credits for each leave plan assigned to the employee
  • Year to Date — Gross salary, tax withheld, government deductions (PhilHealth, SSS, HDMF), De Minimis figures, and the 90K Other Benefits Pool usage and remaining balance

Saving a Payslip as PDF

To close the preview without saving, click Close.

📌 Tip: If the payslip details fail to load, the dialog shows a "Failed to load payslip data" message with a Retry button. Click Retry to try loading again.

Troubleshooting

The Cutoff Period dropdown is empty or disabled. Make sure you have selected a Cutoff Code first. The period list only fills in after a code is chosen, and it only includes periods that have been posted.

No payslips show after I selected a period. The page displays "No Payslip Records Found" if there are no posted payslip records for that period. Also check whether a Branch or Search Employee filter is hiding records — use Clear All to reset those filters.

The payslip preview says "Failed to load payslip data." Click Retry in the dialog. If it keeps failing, close the dialog and try opening the payslip again.
