Onboard a New Employee
Create a new hire's employee record, put them under the right contract, schedule, and payroll group, and get their ANTE account activated β everything payroll and timekeeping need before the employee's first cutoff.Before You Start
Onboarding assumes the company-wide setup is already done. Confirm these exist, or the new employee will be created but never appear in payroll:
- A cut-off schedule and at least one payroll group β see Setting Up Payroll, Cut-Off Management, and Payroll Group.
- A schedule the employee can be assigned to β see Shift Management and Schedule Management.
- The branch, department, and role / position the employee will belong to.
You also need access to Manpower β Employee Records. The full screen reference is Employee Records (HRIS).
Open Manpower in the sidebar, then click Employee Records. The page header reads Employee Management and lists your employees, filtered to Active by default.
Before creating anything, check the Not Yet Set status tab. If the person already has an ANTE account that was never set up as an employee, they are listed there β click their row to complete the same form instead of creating a duplicate.

Click Add Employee. The Add Employee page is one scrolling form made of sections β required fields are marked with an asterisk.
At the top, pick how the person gets into ANTE:
- Create New Account β a brand-new person; their login is created together with the employee record.
- Link Existing Account β the account already exists but is not yet an employee. Choose it from the Account search field.
Then fill in Employee Identification β Employee ID, which is required either way.

For a new account, complete Personal Information β First Name, Last Name, Email Address, and Contact Number are required (Middle Name is optional).
Under Account Credentials, set the Username and Date of Birth. You never type a password here β the employee sets their own through an activation link.
Send activation email now is a checkbox that is off by default. Leave it unchecked to create the account without emailing anyone yet, or tick it to send the set-password link immediately.
Under Role & Reporting, pick the Role / Position (required) and the Reports To supervisor. The supervisor matters beyond the org chart β a direct supervisor is who can approve that employee's filings.
Under Contract Information, enter the Monthly Rate, the Employment Status (defaults to Regular), and the Start Date. Any status other than Regular also requires an End Date. Tick Use custom daily rate only if this employee's daily rate should not be derived from the monthly rate.
The Assignment section is the part payroll depends on. All three fields are required:
- Branch β where the employee works; it drives the branch filters used across timekeeping and payroll.
- Schedule β the working schedule their attendance is measured against, day by day.
- Payroll Group β who they are paid with, and therefore which cut-off periods they appear in.
An employee with no payroll group never appears in a cutoff. If someone is "missing from payroll" later, this assignment is the first thing to check.
Optional Details has three tabs, all optional β but filling them now saves chasing the employee later:
- Additional Details β gender, civil status, and address.
- Government β SSS, PhilHealth, Pag-IBIG, and TIN, which statutory contributions and remittance reports read.
- Bank β bank name and account number, used when payroll generates bank files.
Click Create Employee at the bottom of the page. (If you arrived here to activate an existing not-yet-set account, the button reads Activate Employee instead.)
Missing required fields are highlighted and the save is blocked β fix them and save again. On success, the employee appears in the Employee Records list.
ANTE always creates the account inactive, with an activation invitation. Until the employee activates it, they cannot sign in, and their Account Status on the list shows Not invited if you didn't tick Send activation email now, or Invitation sent once an activation email has gone out.
If you left it unchecked, send the invitation whenever you are ready β either from the employee's own detail page (Actions β Send Email Invite) or from Settings β User Invites using its Resend button.
The employee receives an email with a Set My Password button, the link is valid for 7 days, and they finish by choosing a password and clicking Activate Account. Once done, the Account Status changes to Activated β which also happens if the employee simply logs in or sets their own password another way (for example, a Forgot Password reset) before ever using that link.
Open the employee from the list and read the detail page top to bottom. Confirm Work Assignment shows the right branch, department, supervisor, Schedule, and Payroll Group, and that Contract Details matches the signed contract.
From the header, Assign lets you finish onboarding without leaving the page β Assign Leave for their leave plan, Assign Allowance, and Assign Deduction. Leave plans can also be added straight from the Leave Balances section further down the same page.
