Schedule Management
A Schedule assigns one Shift to each day of the week — Monday through Sunday. It's what you assign to an employee (directly, or through Individual/Team Scheduling) to define their weekly work pattern. Schedule Management is where you create, edit, and bulk-import schedules.
Opening Schedule Management
- Click Manpower in the sidebar.
- Open Scheduling.
- Click Schedule Management (
/manpower/scheduling/management).
The Schedule List
Every schedule your company has defined appears in a single list — there is no pagination and no column-visibility toggle. Each row shows:
- The Schedule Code, plus a Time Tracker badge when the schedule has the dashboard Time Tracker widget enabled.
- The total weekly hours and the schedule's created date, on the right.
- The Description, or "No description" if none was entered.
- A Monday–Sunday strip showing the assigned shift's code under each day; days assigned a non-work-day shift (e.g. a rest day) are visually dimmed so the week's shape reads at a glance.
Above the list:
- A search box matches against both the Schedule Code and the Description.
- A sort control orders the list by Code (A–Z) or Recently created.
- Clear filters appears once a search term is active.
Click a row to open that schedule's Detail page. If you have the Schedule create permission, Add Schedule and Import appear at the top right.
The list loads up to 1,000 schedules in one request. If your company has more than that, a banner at the bottom reads "Showing the first N of Total schedules. Narrow your search to see the rest." — narrow the search to find schedules beyond the cap.
Creating a Schedule
- Open Schedule Management and click Add ScheduleRequires the Schedule create permission.
- Fill in the formSee the field reference below.
- Click CreateThe new schedule appears in the list.
| Field | Required | Notes |
|---|---|---|
| Schedule Code | Yes | Identifying code, e.g. SCHED-001. |
| Description | No | Free text, up to 500 characters, with a live count as you type. Explains what the schedule is for and who it applies to. Shown on the list row and on the schedule's Detail page; "No description" appears when left blank. |
| Enable Time Tracker | No (off by default) | Lets employees on this schedule clock real attendance through the dashboard Time Tracker widget instead of only "task time only" tracking. See HR Settings for the company-wide rules that govern how that attendance is captured. |
| Weekly Shift Assignment | Yes (all 7 days) | A shift dropdown for each day, Monday through Sunday. A Total Weekly Hours summary at the top updates live as you pick shifts. |
Schedule Details
Clicking a row opens the schedule's Details page, with Edit and Delete actions (subject to your permissions).
- Schedule Information — Schedule Code, Total Working Hours, Enable Time Tracker (Yes/No), and Description.
- Weekly Shift Schedule — one row per day (Monday–Sunday) with Shift Code, Start Time, End Time, and Work Hours.
This action cannot be undone. Schedules in use by employees cannot be deleted.
Bulk Import
Click Import on the Schedule Management list to open the import dialog (Schedule create permission required). The flow has four stages:
- Upload — click Download Template for a blank Excel workbook, fill it in, then drag it into the upload zone (or click to browse) and click Upload & Validate.
- Validate — the dialog reports how many rows are valid, have warnings, or have errors. Rows with errors cannot be imported until fixed and re-uploaded; rows with warnings can be selectively approved.
- Review — if there are warnings, check the rows you still want to import and click Approve & Process.
- Import — the dialog shows how many rows were created, updated, or failed, then click Done.
Each of the seven day columns (Monday through Sunday) uses a dropdown restricted to your company's available shift codes; leave a day blank to fall back to the first available shift. A schedule code that already exists in your company is updated by the import; a new code is created.
The Description column
The template's last column (column 9, after Sunday) is Description — optional free text, up to 500 characters, kept last so the shift-code dropdown validation on the day columns is unaffected. A row whose description exceeds 500 characters fails validation.
If you already downloaded an older 8-column template, it still imports fine — the missing 9th cell is simply read as blank. And re-importing an older (or blank- description) file to update an existing schedule does not erase a description that was already set — only a non-empty Description cell overwrites it.
