Set Up Shifts and Schedules
Build your company's working time from the ground up: define the shifts people work, group them into a weekly schedule, then put that schedule on employees and teams — including the one-off changes that come up every week. Before You Start
Scheduling in ANTE is three layers stacked on each other:
- A shift is one day's work pattern — the hours, the breaks, and (for fixed-time shifts) the start and end times. See Shift Management.
- A schedule assigns one shift to each day of the week, Monday through Sunday. See Schedule Management.
- Assignment puts a schedule on a person. Every employee has a default schedule on their record; Team Scheduling and Individual Scheduling handle the exceptions on top of it.
You need the Shift and Schedule create permissions to add either one, and teams must already exist in Team Management before you can schedule a team.
Go to Manpower → Scheduling → Shift Management and click Add Shift. Give it a Shift Code (for example REGULAR-9TO6), pick a Shift Type, and write a Description so a colleague can tell what the shift is for without decoding the code.
- Time Bound — fixed clock times. Add one or more intervals with a Start Time and End Time; any interval after the first can be marked as a break instead of work time. A summary banner shows the target working hours, break hours, and net work hours as you edit.
- Flexitime and Extra Day — no fixed clock, just a target number of Working Hours.
- Rest Day — a non-working day, which is what makes weekends read correctly on a schedule.
- Auto Fill — a target set in Auto Fill Working Hours. On a holiday, the day is never auto-filled: it reads as a holiday instead of a worked day, unless the employee has attendance for it — a punch, a Time Tracker session, or an approved Certificate of Attendance.
If the shift has no explicit break interval, use Flexible Break Hours for a flat break duration — and turn on Deduct meal break automatically if the break should only come off once the day runs past a meal break threshold. Click Create Shift when you're done.
- 1Add Shift — create a new work pattern
- 2Shift type badge — Time Bound, Rest Day, and so on
- 3Work, Break, and Span hours for the shift
Open Manpower → Scheduling → Schedule Management and click Add Schedule. Enter a Schedule Code and a Description, then pick a shift for each of the seven days. A Total Weekly Hours summary updates live as you choose, so you can see straight away whether the week adds up to what you intended.
Use your rest-day shift on the days off — the schedule list dims those days in the Monday–Sunday strip, so the shape of the week is readable at a glance.
Turn on Enable Time Tracker if the people on this schedule should be able to clock real attendance from the dashboard Time Tracker widget rather than only tracking task time. Click Create to save.
- 1Add Schedule — build a new weekly pattern
- 2The Monday–Sunday strip, with the shift on each day
- 3Total hours the week adds up to
Both lists have an Import button that takes the same four stages: Download Template, fill in the Excel workbook, drop it in and click Upload & Validate, then Approve & Process any rows that came back with warnings, and finally Done.
A code that already exists in your company is updated by the import; a new code is created. On the schedule template, each of the seven day columns is a dropdown restricted to your existing shift codes.
The Description column is the last one in both templates. Leaving it blank never erases a description that is already set — only a non-empty cell overwrites it, so re-importing an older file is safe.
A schedule only does something once someone is on it. Every employee record carries a Schedule under Assignment — alongside their Branch and Payroll Group — and it is a required field when you create the employee.
To check or change it later, open the employee in Employee Records. Their Work Assignment shows the schedule they are on, and a Weekly Schedule table spells out the shift code, type, times, break, and target hours for each day.
This default is what timekeeping uses for every day you don't override. Everything in the next steps is an exception layered on top of it.
Go to Manpower → Scheduling → Team Scheduling. Each row is a team with its member count, and each of the seven day columns holds a Project and a Shift dropdown.
For a run of days, click Create Schedule and fill in the Create Team Schedule dialog: From Date, To Date, the Team, and a Project and/or Shift. Click Save and every date in that range is assigned in one go — the app confirms with the number of assignments it created.
Save stays disabled until you have both dates, a team, and at least one of Project or Shift.
Manpower → Scheduling → Individual Scheduling is the same weekly grid, one row per employee. Find the person with the search box or the All Branches, All Departments, and All Roles filters, then change the Shift (or Project) dropdown on the day you need.
There is no save button — each change saves on its own and the app confirms with "Schedule saved". The colour of a cell tells you where its value came from: a blue tint means the day is inherited from a team assignment, and a pink tint means it is an individual override on this one person. Anything untinted is coming from their default schedule.
Use the arrows beside the date range to move between weeks, and the expand icon (or F11) for a fullscreen grid when you're scheduling a lot of people — Esc brings the page back.
- 1Search and the branch, department, and role filters
- 2Week navigator — move to another week
- 3The shift dropdown for one person on one day
If the new shift overlaps a pending overtime filing on that date, the grid refuses the change rather than silently dropping the filing. The message names both windows — "Not saved — pending overtime … overlaps this shift …" — and the cell reverts.
Cancel or re-file the overtime first, or make the change from timekeeping instead: Adjust Shift offers a Change Shift & Cancel OT option that applies the shift, cancels the conflicting pending filings, and notifies the employee to re-file. Overtime that is already approved is never touched.
The schedule is what the rest of the system measures attendance against. On the cut-off timesheet in Payroll Time Keeping, each day's Shift column shows the shift that applied, and late, undertime, night differential, and overtime are all computed from it. Rest days, holidays, and leave days are styled differently so they stand out.
A schedule with Enable Time Tracker switched on also lets those employees clock in and out from the Time Tracker widget on their dashboard.
A shift or schedule that is already in use cannot be deleted — shifts used by a schedule, and schedules used by employees, are protected. Edit them instead, or move the people off first.
