Equipment
The Equipment page is where you keep track of your company's equipment β vehicles and tools β along with their replaceable parts, scheduled maintenance, and the job orders raised when something needs repair. It lives inside the Assets module.
Overview
Open Assets β Equipment to land on the Equipment page. It is a single, dashboard-style screen with four parts:
- Summary counters at the top β at-a-glance totals.
- A Repair Pipeline strip showing how many repairs sit at each stage.
- A tab bar to switch between Equipment, Parts, Job Orders, and Documents.
- A list table below that changes depending on the tab you are on.
Summary counters
Four cards run across the top of the page:

Repair Pipeline
When there are active repairs, a Repair Pipeline strip appears (on the Equipment and Job Orders tabs). It shows the count of job orders at each repair stage:
- Pending Repair
- Under Repair
- Repair Confirmation
- Done
A small note next to the strip tells you how many repairs are still active (everything except Done).
Tabs

The button at the top right changes with the active tab: on the Equipment tab it reads Add Equipment; on the Parts tab it reads Add Part. (There is no add button on the Job Orders or Documents tabs.)
Equipment
Adding equipment
Step 1 β Go to Assets β Equipment, stay on the Equipment tab, and click Add Equipment.
Step 2 β Fill in the Equipment Details form:

Step 3 β Click Create Equipment to save (the button reads Update Equipment when you are editing).
π Tip: If the brand you need is not in the list, click Add Brand next to the Brand field, type the Brand Name, and save β the new brand is selected automatically.
Viewing and editing equipment
Click any row on the Equipment tab to open its detail page. The detail page shows:
- Equipment Info β Name, Serial Code, Brand, Warehouse, Description, Type (Vehicle / Tool), and State.
- Parts β a table of the parts attached to this equipment, with each part's maintenance cycle, last maintenance date, next maintenance date, and item count. Parts whose next maintenance is overdue are marked with a β warning and a "days overdue" note; parts due within 7 days are highlighted as due soon.
From the detail page you can:
- Edit β opens the equipment form to update the details.
- Delete β opens a confirmation dialog before removing the equipment.
Equipment State can be one of:

Parts
Parts are the replaceable components of a piece of equipment (for example Engine Oil, Brake Pads, or Air Filter). Each part carries a maintenance cycle β the number of days between scheduled maintenance.
Adding a part
Step 1 β Go to Assets β Equipment and switch to the Parts tab, then click Add Part.
Step 2 β Fill in the Part Details form:

Step 3 β Click Create Part to save.
Viewing a part
Click a row on the Parts tab (or a part in the equipment detail page) to open the part detail page. It shows:
- Part Info β Part Name, Equipment, Serial Code, Maintenance Cycle, Last Maintenance, and Next Maintenance (with the same overdue / due-soon highlighting as the equipment page).
- A list of items consumed by this part, with quantities.
From the part detail page you have an Actions menu and an Add Item button.
Adding items to a part
Items are the stock items used when maintaining or repairing the part.
- Open the part's detail page.
- Click Add Item.
- Fill in the Item Details form:
- Item (required) β search and select the stock item.
- Quantity (required) β must be greater than 0 (defaults to 1).
- Click Add Item to save.
Maintenance and Job Orders
Maintenance is recorded per part from the part's Actions menu. The outcome of a maintenance check is either passed (the part is working) or a repair (a job order is raised).
Recording a maintenance check (passed inspection)
- Open the part's detail page.
- Open the Actions menu and choose Passed Inspection.
- On the maintenance form:
- Maintenance Proof (optional) β upload a document or photo of any file type as evidence.
- Keep the Is Working option checked.
- Click Check Done to record the maintenance.
Issuing a repair (job order)
- Open the part's detail page.
- Open the Actions menu and choose Issue Repair.
- On the form, the Is Working option is unchecked. Optionally upload Maintenance Proof.
- In the Repair Items Required table, tick the items that need replacing and set the Quantity for each. (You must select at least one item with a quantity greater than 0.)
- Click Issue Job Order to raise the repair.
π Note: The repair item list is drawn from the items you previously added to the part. If the part has no items yet, add them first using Add Item.
Setting the next maintenance date
- Open the part's detail page.
- Open the Actions menu and choose Set Maintenance Date.
- Pick the Next Maintenance Date (required). If a date is already set, it is pre-filled.
- Click Set Date to save.
Tracking job orders
The Job Orders tab lists every maintenance and repair record. Click a row to open the job order detail page, which shows:
- Equipment and Part
- Checked By (and Repaired By, once repaired)
- Date Issued (and Repair Date, once set)
- Repair Stage β a colored status badge
- Attachments β a link to the Maintenance Proof, and a reference to the Purchase Request raised for repair items (if any)
Repair stages
A repair job order moves through these stages. On the detail page, a button advances it to the next stage:

When repair items are sourced through purchasing, the job order may also show Purchase Request, Purchase Order, or Pending Delivery status while the parts are being procured.
Documents
The Documents tab lists the related stock movement documents tied to equipment maintenance β such as consumption, production output, write-off, and refill records. Use it to trace the stock that has moved in and out for equipment work.
Common Tasks
Register a new piece of equipment
- Assets β Equipment β Equipment tab β Add Equipment.
- Enter the name, type (Vehicle/Tool), brand, and warehouse (serial code and notes are optional).
- Click Create Equipment.
Set up a part with a maintenance schedule
- Assets β Equipment β Parts tab β Add Part.
- Enter the part name, choose the equipment, and set the Maintenance Cycle (Days).
- Click Create Part.
- Open the part and use Add Item to list the stock items it consumes.
Pass a maintenance check
- Open the part β Actions β Passed Inspection.
- Optionally upload proof, keep Is Working checked, and click Check Done.
Raise a repair
- Open the part β Actions β Issue Repair.
- Tick the items to replace and set quantities.
- Click Issue Job Order, then track it on the Job Orders tab.
Advance a repair to completion
- Assets β Equipment β Job Orders tab β open the job order.
- Click the stage button (Start Repair β Repair Done β Confirm Repair) until the stage reads Done.
Tips and Best Practices
- Watch the Overdue Maintenance counter and the β markers on parts to stay ahead of due dates.
- Add a part's items before issuing a repair β the repair form lets you select only items that already exist on the part.
- Use the Repair Pipeline strip to see at a glance how many repairs are stuck at each stage.
- Attach maintenance proof whenever possible so each check has supporting evidence.
