Warehouse Workflows
The Workflows tab on the Warehouse page runs approval-gated stock operations β moving stock between warehouses, correcting stock to a physical count, and receiving goods that didn't come through a purchase order. Unlike a direct action, each of these goes through a request β approval β posting flow, and stock only moves once the final step posts it.
Overview
Open Assets β Warehouse and click the Workflows tab (next to Warehouses). You'll see:
- A New Stock Request button at the top right of the page, next to + Add Warehouse β it's there on both the Warehouses and Workflows tabs. Clicking it opens a picker where you choose the workflow to run β Stock Transfer, Stock Adjustment, or Goods Receiving (plus any custom warehouse workflows your company has built). The picker remembers the workflow you last started here and preselects it next time you open it; the very first time, it defaults to Stock Transfer.

Starting a workflow immediately opens the first step's form so you can fill it in right away.
Stock workflows apply to company warehouses only β the workflow's warehouse picker lists company warehouses, and the New Stock Request button appears only on a company warehouse's detail page. Project, In-transit, and Temporary warehouses are managed through deliveries and don't take manual stock requests.
You can also start a workflow from a specific (company) warehouse: open the warehouse's detail page (Assets β Warehouse β click a warehouse) and use its New Stock Request button. The form then opens with that warehouse already filled in and locked β as the source for a Stock Transfer, or as the warehouse being counted / received into for Stock Adjustment and Goods Receiving. Every run gets its own reference code starting with WHS- (for example WHS-2026-001), and its task shows on the Dashboard task list and the Tasks page as [WHS-2026-001] Submit Transfer Request β or with a custom category icon instead of the code, if your administrator has set one up (see Category Icons).

Click any row to open the run's timeline.
All three workflows follow the same shape: a maker step collects the request, an approval step reviews it, and a posting step posts the approved document and moves the stock. The posting step is read-only β it posts exactly what was approved. Rejecting the approval step always sends the request back to the maker to fix and resubmit.
The Three Workflows
Stock Transfer
Moves stock from one warehouse to another.
- Submit Transfer Request β the maker step:
- From warehouse and To warehouse (both required, and they must be different). The From warehouse's on-hand quantity is shown next to each item as a reference.
- Add items: search by name or SKU, then set the Transfer qty (minimum 1) and an optional Note per line.
- An optional Reason for the transfer.
- You need both warehouses picked and at least one item with a quantity before you can submit.
- Approve Transfer β a manager reviews the request read-only and either approves it or sends it back to the requester.
- Execute Transfer β once approved, this step opens pre-filled and read-only with the approved warehouses and items. You simply complete the step to post β this is what posts the paired transfer receipts (a deduction from the source warehouse and an addition to the destination) to the stock ledger. The posting step never edits the request; if the approved quantities are wrong, use Send Back to return it to the requester (or start a new transfer) rather than changing them here.
Stock Adjustment (Physical Count)
Corrects system stock to match a physical count β the only way in ANTE to post a direct stock adjustment; there's no separate manual adjustment screen.
- Submit Count β the maker step:
- Pick the Warehouse being counted.
- Add each item you counted; its System qty is captured automatically, and you enter the Counted qty. The Variance (counted β system) is computed for you as you type, shown as a positive (over) or negative (short) number, with an optional Note per line.
- An optional Reason (for example, "Q3 physical count").
- At least one counted item is required, and at least one item must actually show a variance β if every counted quantity matches the system, there's nothing to post.
- Approve Adjustment β a manager reviews the counted variances and either approves them or rejects (requesting a recount).
- Post Adjustment β opens pre-filled and read-only; completing it posts the approved variances to the stock ledger: over-counts post as an increase, short-counts as a decrease, truing the system to the physical count. To change the counted figures, use Send Back rather than editing here.
Goods Receiving (GRN)
For receiving goods that did not come through a purchase order (a direct/off-PO receipt). PO deliveries still go through the existing PO delivery flow β this workflow doesn't replace that.
- Log Received Goods β the maker step:
- Receiving warehouse (required), Supplier, Reference / DR no., and Date received.
- Add each item received, its Qty received and Unit cost (the line Total and the running Received value are calculated for you), plus an optional Note.
- An optional Memo (for example, condition on arrival or packaging notes).
- At least one received item with a quantity is required.
- QC / Verify β a manager inspects the goods against the logged list. Each item line has a QC status the manager sets while reviewing: Pass, Fail (with an optional reason), or the initial Pending. Every line must be judged β the Approve button stays blocked while any item is still Pending. Failing an item does not block approval; approving means "inspection is finished", and failed items simply won't be stocked. Send Back is always available if the whole log needs correcting β the receiver then sees each line's Pass/Fail verdict on their reopened form, and resubmitting clears the verdicts for a fresh inspection round.
- Post to Stock β opens pre-filled and read-only (you post what was approved; you can't change items, quantities, or costs here). Completing it posts the verified goods into the receiving warehouse's stock. Only items marked Pass are stocked β Fail lines stay on the document as a record of what arrived and was rejected (shown with a "won't be stocked" note), and the summary shows how many of the logged items will actually post. If every item failed inspection, completing the step asks you to confirm ("nothing will be stocked β proceed?") and then closes the workflow as a documented fully-rejected delivery, without touching stock. If the approved list needs changing, use Send Back rather than editing here.
Posting Rules You Should Know
- Stock only moves at the final step. Nothing changes in the ledger while a request is being filled in or is waiting on approval β only when the posting step (Execute Transfer / Post Adjustment / Post to Stock) is completed.
- Once posted, it's final. A posting step that has successfully posted can't be reopened or undone. If something needs correcting afterward, start a new Stock Transfer, Stock Adjustment, or Goods Receiving run rather than trying to edit the old one.
- A failed posting blocks the step. If posting fails (for example, there isn't enough stock on hand to complete a transfer or adjustment), the step shows the reason and won't let you complete it. The posting step itself is read-only, so fix the underlying issue (e.g. top up stock) and try again, or Send Back to the maker to correct the figures.
- A submitted or posted step can't be moved backward. Once a maker step has been submitted for review, or a posting step has successfully posted, its task is locked: dragging its card back on the Kanban board, clicking Reopen, or moving it to another project is blocked with a message pointing you to Send Back from the review step (if it hasn't posted yet) or to start a new workflow (if it has already posted).
Customizing Assignees
These three workflows also appear under Workspace β Processes β Templates, in a new Warehouse category, alongside the other prebuilt workflows. As with other pre-built templates, you can't change their steps, but an administrator can open one and change who handles each step (see Working with Pre-built Templates for how).
