Individual and Team Scheduling

Every employee has a default weekly schedule set on their record. Individual Scheduling and Team Scheduling let you change that schedule for particular days without editing the record: put a whole team on a different shift for a week, or move one person to a different shift for one day. Both screens live under Manpower → Scheduling and use the same weekly grid.

How the Week Grid Works

  • The grid shows one week, Monday to Sunday. Use the previous and next week arrows in the top right to move between weeks.
  • Each row is an employee (Individual Scheduling) or a team (Team Scheduling); each day is a cell with two drop-downs: Project and Shift. The Shift list offers your shifts by shift code, built in Shift Management. The Project list offers your branches and projects.
  • Changes save as soon as you pick a value. There is no Save button on the grid: a small spinner shows in the cell while it saves, then a Schedule saved message appears. If saving fails you get Failed to save schedule and the cell goes back to its old value.
  • The expand button next to the week arrows (or F11) fills the screen for big rosters; press Esc to leave it.

Which Shift Wins on a Given Day

Payroll Time Keeping looks for the shift of each day in this order and uses the first one it finds:

So an individual setting beats the team's, and the team's beats the regular schedule. Clearing a cell does not leave the day empty — the day simply falls back to the next source down.

Individual Scheduling

Use it for exceptions about one person: a different shift for one day, or a one-off change that does not belong to the whole team. Open Manpower → Scheduling → Individual Scheduling.

Finding Employees

Search with Search employee… (the list updates as you type) and narrow it with All Branches, All Departments and All Roles. Each row shows the employee's name, code and, if they belong to one, their team. The list is paged; the page size is remembered.

Changing One Person's Day

  1. Go to the right week

    Use the week arrows until the day you need is on screen.

  2. Find the employee

    Search by name or filter by branch, department or role.

  3. Pick the Shift (and Project if needed)

    Open the Shift drop-down in that day's cell and choose a shift. It saves immediately.

  4. Undo it

    A cell you have set yourself shows a clear (x) option. Clearing it removes the individual setting, and the day goes back to the team or regular schedule.

Reading the Colors

No tint
The day comes from the employee's regular schedule (the default).
Blue
The value is inherited from the employee's team assignment. Change it here and you create an individual override for this person only.
Pink
An individual override saved for this person on this day.

The Project and Shift drop-downs are colored separately, so a day can have an inherited shift and an overridden project, or the reverse. Changing one never silently turns the other into an override.

Warning

A shift change is not saved when the new shift overlaps that employee's pending overtime filing. A message names the overtime window and the shift window. Cancel or re-file the overtime first (or use Adjust Shift, which offers a confirm-to-cancel step), then set the shift again.

Team Scheduling

Use it to put a whole team on a shift for a day, a week or a longer stretch — a rotating crew, a seasonal shift, a project team. Everyone on the team gets the shift unless an individual setting overrides it. Teams are created and staffed in Team Management. Open Manpower → Scheduling → Team Scheduling.

Setting a Team's Week Cell by Cell

Each row is a team, with its name and member count. Pick a Shift and/or Project in a day's cell; it saves immediately. Find a team with Search team…. A cell that carries a team value can be cleared to remove it.

Filling a Date Range with Create Schedule

  1. Click Create Schedule

    The Create Team Schedule dialog opens.

  2. Fill in the dialog
    From Date / To Date*
    The first and last day to fill, inclusive. Every day in the range gets the same values.
    Team*
    The team to schedule, listed with its member count.
    Project
    The project or branch for those days, or No Project.
    Shift
    The shift for those days, or No Shift.
  3. Click Save

    A message reports how many schedule assignments were created, one per day in the range.

Tip

Set the team first and use Individual Scheduling only for the people who differ — the blue and pink colors on that screen show you exactly which days are inherited and which are exceptions.

After You Schedule

  • Time Keeping reads the resulting shift for each day when it groups punches into worked hours, late, undertime and rest-day work — see Payroll Time Keeping.
  • Employees ask for a change on their own through a Schedule Adjustment, Rest Day Work or Schedule Swap filing — see Filings.

How It Connects

Set up first

  • Shift Management — creates the shifts you pick in each cell.
  • Schedule Management — builds the weekly schedules that apply when nothing is scheduled here.
  • Team Management — defines the teams and members that Team Scheduling assigns shifts to.
  • Employee Records — holds each employee's default schedule, branch, department and role.

Gets its data from

  • Schedule Adjustment — approved adjustments, swaps and exchanges override what is scheduled here for that day.

Feeds into

  • Payroll Time Keeping — uses the resulting shift to compute worked hours, late, undertime and rest days.
  • Filings — overtime, rest day work and swap requests are checked against the scheduled shift.
