Deduction Plans
Deduction is the Configuration section where HR administrators manage deduction assignments for employees. Each deduction type (for example, an HDMF or SSS loan) has its own plan list showing which employees are enrolled, their loan amounts, and the status of each plan.
You reach it at Manpower → Configuration → Deduction, then click a deduction sub-type to open its plan list.
The Deduction Plan List
When you open a deduction sub-type, the page shows the sub-type's name as the title and its category (for example, LOAN) as the subtitle. Summary cards at the top display:
- Assigned Employees — total number of plans in the current view
- Deduction Category — the category of this deduction type (LOAN or Recurring)
- Total Amount Tracking — whether a principal balance is tracked (Yes for loans; No for recurring deductions)
Below the summary cards, the Deduction Plans table shows all employee plans for this sub-type.
Status Tabs
The plan list uses tabs to filter plans by their current status. The tabs available depend on the deduction category.
Active Plans
Shows employees currently enrolled with an ongoing deduction. For loan-type deductions, this tab only shows loans that still have an outstanding balance — fully paid loans are moved to the Completed Plans tab instead.
Completed Plans (Loan types only)
This tab appears only for LOAN-category deduction types (such as HDMF loans, SSS loans, or other employer-administered loans with a finite principal).
A plan moves into Completed when the loan balance reaches ₱0.00 — the employee has fully repaid the loan. Completed plans remain visible here for record-keeping but are no longer deducted from payroll.
The Completed tab does not appear for recurring deduction types (such as regular DEMINIMIS or other open-ended deductions that have no fixed principal amount). Those types only show Active Plans and Inactive Plans.
Inactive Plans
Shows plans that have been manually deactivated. An inactive plan stops generating deductions until it is reactivated.
Assigning Employees to a Deduction
You need the Manpower Configuration → Deduction Create permission to assign employees.
The assignment flow has two steps:
Step 1 — Select Employees
- Click Assign Employees (top right).
- The employee selection dialog opens. Search for and select the employees you want to enroll.
- Click Next.
Step 2 — Set Deduction Details
The settings dialog opens. Fill in the deduction parameters (fields vary by deduction category; loan types require loan amount, monthly amortization, deduction period, and effectivity date).
Click Save to complete the assignment. The new plans appear in the Active Plans tab.
Importing Plans in Bulk
Click Mass Import (top right) to open the import dialog and upload a spreadsheet of employee deduction assignments. Refer to the import template for the required columns.
Every row needs an effectivity date, written year-first (2026-01-13 or 2026/01/13). A row whose effectivity date is blank or unreadable is reported as an error and is not imported — it is no longer given today's date as a stand-in, because a silently wrong effectivity date changes which payroll period the deduction first comes out of. Fix the cell and re-upload.
Viewing a Plan's Details
Click any row in the table to open the plan's detail dialog. The dialog shows the employee's deduction settings and allows you to:
- View the current balance and deduction history
- Deactivate an active plan (moves it to Inactive Plans)
- Reactivate an inactive plan (moves it back to Active Plans)
Exporting a Loan's Transaction History
On the History tab of the plan detail dialog, click Export to Excel to download a spreadsheet (.xlsx) of that loan's transaction history. The file includes each transaction's date, type, amount, and running balance. The filename is pre-filled with the plan's code (for example, Loan-Summary-HDMF-001.xlsx).
This button only appears when there is at least one transaction recorded for the plan.
