Allowance Attendance Rules

Some allowances should depend on attendance: a perfect-attendance allowance that is paid only if the employee had few absences, or a meal or transport allowance paid per day present. You set this up in two places: the Attendance rule on the allowance type, and the Computation Mode on each employee's allowance plan.

Where to Find It

  1. Open Manpower → Payroll Setup → Allowance
  2. Create a new allowance type, or open an existing one and edit it
  3. Scroll to the Attendance rule section and fill in the gate, the per-unit rate, or both

The rule only takes effect for plans whose Computation Mode is Attendance Gate or Per Unit (days / hours / overtime). Plans using another mode ignore it.

Attendance Gate

A gate pays the plan amount only when an attendance condition is met; otherwise it pays a reduced share (0% pays nothing). Switch on Attendance gate and set:

One of: Absent days (at most), Late minutes (at most), Late + undertime minutes (at most), Hours worked (at least), or Attendance % of scheduled days (at least).

For "at most" conditions the employee must stay at or below it; for "at least" conditions the employee must reach it.
Evaluated overdropdown
Each cutoff judges each cutoff on its own days. Calendar month (true-up) judges the month as a whole: each cutoff pays the month's entitlement so far minus what earlier cutoffs already paid, so the closing cutoff lands exactly on the monthly amount.
Pays when not met (%)number
0 pays nothing; 50 pays half.

Per-Unit Rate

With Per-unit rate switched on, the plan amount becomes a rate, and payroll pays that rate multiplied by the units counted from timekeeping in the cutoff (for example 14 per day present, or 12.50 per 8 hours worked).

An overtime-meal allowance paid per unit still respects the daily de minimis ceiling.

Suppress During Dispatch

Every allowance type also has a Suppress during dispatch switch. When on, the allowance is skipped for the part of a cutoff the employee is on a dispatch whose Dispatch Treatment suppresses flagged allowances (for example an attendance-linked commodity support that makes no sense while the employee is abroad).

Where the Result Shows Up

Employees and HR can see why an attendance-driven allowance paid what it did. Under the allowance on the Salary Detail page, a caption reads, for example, "Attendance gate met - 1 absent day(s) - pays 100%" or "8 unit(s) x 14". The same explanation appears as a short note on the payslip preview, the payslip PDF, and the notes of the payroll register.

Tip

The caption is taken from what was actually paid in that computation, so after a recompute it always explains the current figure.

How It Connects

Set up first

  • Allowance — the Attendance rule is defined on each allowance type.
  • Allowance Plans — a plan only follows the rule when its Computation Mode is Attendance Gate or Per Unit.
  • Dispatch Treatment — decides whether allowances flagged Suppress during dispatch are skipped while an employee is on dispatch.

Gets its data from

  • Payroll Time Keeping — supplies the absences, late minutes, hours worked and overtime the rules read.

Feeds into

  • Salary Detail — shows a short caption explaining why the allowance paid what it did.
  • Payslip Center — carries the same explanation as a note on the payslip.
  • Payroll Center — computes the allowance from the rule each time a cutoff is calculated.
