Profile Change Requests

When an employee submits a self-service profile edit from Settings → My Profile, the change does not apply immediately — it creates a change request that HR must review. The Profile Change Requests page is where HR staff review, approve, or reject those requests.

How HR is notified

When an employee submits a profile change request for approval, every HR user who holds the MANPOWER_HRIS_PROFILE_CHANGE_APPROVAL scope receives an in-app notification automatically. The notification appears in the notification bell at the top of the screen. Clicking it takes you directly to the Profile Change Requests page so you can review the pending request right away.

Opening Profile Change Requests

  1. Open Manpower in the sidebar.
  2. Click Profile Change Requests.

The page header reads Profile Change Requests with the subtitle "Review and approve employee self-service profile changes."

The Requests List

The list shows pending change requests with one row per request. The columns are:

The list defaults to PENDING requests sorted by submission date, newest first.

Viewing the full diff

To see exactly what the employee wants to change before deciding:

  1. On any row, click View.
  2. A dialog opens showing the employee's name and a full list of every field they changed, with the current value on the left and the requested new value on the right.
  3. If the employee attached supporting documents (such as a birth certificate), a Supporting documents section appears below the changes with a download link for each file.
  4. Click Close (or click outside the dialog) to dismiss.

Approving a request

Approving applies the employee's requested changes to their live profile record immediately.

  1. On a pending row, click Approve.
  2. A confirmation dialog appears showing the employee's name and the full list of changes.
  3. Review the changes carefully. If the employee attached supporting documents, a Supporting documents section appears below the changes — click any file name to download and review it.
  4. Click Approve & apply to apply the changes, or Close to cancel without approving.

After approval, the employee's profile is updated, the request is removed from the pending list, and the employee receives an in-app notification that their request was approved.

Rejecting a request

Rejecting declines the request without changing the employee's profile. The employee receives an in-app notification of the rejection and can submit a new request.

  1. On a pending row, click Reject.
  2. A dialog opens showing the requested changes. If the employee attached supporting documents, a Supporting documents section appears below the changes — click any file name to download and review it.
  3. Optionally type a Note explaining why the request is rejected — the employee will see this reason on their My Profile page.
  4. Click Reject to confirm, or Close to cancel.

Common Tasks

Approve a pending profile change

  1. Go to Manpower → Profile Change Requests.
  2. Find the employee's row and click View to review the diff.
  3. If the changes are correct, click Approve, review the confirmation, and click Approve & apply.

Reject a request with a reason

  1. Find the employee's row and click Reject.
  2. In the Note field, type the reason (for example, "Incorrect SSS number format — please recheck").
  3. Click Reject.

The employee will see the note on their My Profile page the next time they visit.

Tips

  • Read the diff before acting — click View on a row to see the full list of changes; the preview in the table may be truncated.
  • Check attached documents — employees can attach supporting proof (such as a birth certificate). The Supporting documents section appears in the View, Approve, and Reject dialogs whenever files are present. Click a file name to download it before you decide.
  • Rejections unlock the employee's form — after you reject a request, the employee can edit their profile and submit a new one.
  • Adding a note helps employees correct mistakes — if you reject a request, a note explaining what was wrong lets the employee fix the issue without having to contact you.
