How to Process Payroll

This guide walks you through processing payroll in ANTE from time logs to a published (posted) cutoff. The workflow is driven by two screens under Manpower β†’ Payroll: Time Keeping and Payroll Center.

Where Payroll Lives

In the sidebar, open Manpower β†’ Payroll. The Payroll menu has two entries:

  • Time Keeping β€” review each employee's attendance for a cutoff period, then submit the cutoff for payroll computation.
  • Payroll Center β€” track every cutoff through the approval workflow (For Review β†’ For Approval β†’ Approved β†’ Posted) and publish payroll.

Two related screens sit directly under Manpower (not under Payroll):

  • Time Importation β€” import time logs from a file or biometric device.
  • Raw Logs Browse β€” view and export the imported raw time logs.

The Payroll Workflow

A cutoff period moves through these statuses. Each status corresponds to a step (tab) in the Payroll Center stepper:

You drive the cutoff forward (and back) using the action buttons on the Payroll Summary screen, which you open by clicking a cutoff card in the Payroll Center.


Step 1: Import Time Logs (if needed)

If attendance isn't already captured from devices, import it.

  1. Go to Manpower β†’ Time Importation.
  2. On the Configure step, choose:
    • Import Template β€” Default Template, Biometrics Format, Raw Logs Format, or AI Smart Import.
    • Import Mode β€” First In Last Out (pairs the first check-in with the last check-out per day) or Default Time In/Out (keeps all pairs, for multiple shifts).
    • Device Format β€” your biometric device brand (when using the Biometrics template).
  3. Click Download Template, fill it with your time logs, then Continue to Upload.
  4. Drag and drop your Excel or CSV file (.xlsx / .xls / .csv) and click Upload & Validate.
  5. Review the validation results (Total Rows, Valid, Errors, Overlaps). Use Approve Selected to accept overlapping records, then Continue to Process.
  6. Click Process Import. On completion you can View Raw Logs, View Timekeeping, View History, or Import Another File.

To review imported logs later, go to Manpower β†’ Raw Logs Browse.


Step 2: Review Time Keeping

  1. Go to Manpower β†’ Payroll β†’ Time Keeping. The Payroll Time Keeping screen lists cutoff periods with their Start Date, End Date, Cutoff Code, Process Date, employee count, Period, and Status (Current, On Process, or Past Due).
  2. Click a cutoff row to open its Payroll Timesheet.
  3. The timesheet shows each employee with columns for Attendance, Leave, Work, Break, Late, Undertime, ND (night differential), OT, OT Approval, OT Approved, ND OT, and Total Hours. Use the search box and Branch filter to narrow the list.
  4. For any employee that shows No Data / Click to process, click the row to compute their timekeeping.
  5. To recompute everyone at once, click Recompute All (top right) and confirm. This can take a while.
  6. To inspect a single employee, click their row to open their day-by-day timekeeping, then click a day to see the Day Detail tabs: Time Breakdown, Day Details, Computed Summary, Shift Details, and Filings. From the Filings tab you can Approve or Reject pending Overtime, Leave, Schedule Adjustment, Official Business, and Certificate of Attendance filings.

When attendance is correct, click Submit for Payroll (top right of the timesheet) and confirm. This computes salaries for all employees and moves the cutoff into the For Review tab of the Payroll Center.


Step 3: Review the Computed Payroll

  1. Go to Manpower β†’ Payroll β†’ Payroll Center.
  2. In the left stepper, click For Review. Each cutoff appears as a card showing its pay date, Gross, and Net totals.
  3. Click a card to open the Payroll Summary.
  4. The summary table lists every employee with Basic Salary, Late, Undertime, Absent, Basic Pay, Allowance Pay, Holiday Pay, Overtime Pay, Night Diff Pay, Rest Day Pay, Manual Earnings, SSS, PhilHealth, Pag-IBIG, Tax, Loans, Manual Deductions, and Net Pay. Use the Branch, Contract Type, and Department filters, or Clear All, to narrow the view.
  5. Employees separated during the cutoff appear in a separate Separated Employees (On Hold) section β€” their salary is computed but release is held.
  6. Click any employee row to open Salary Computations Details, with tabs: Summary, Day Breakdown, Computation Summary, and Raw Logs.

Make Adjustments

On the Salary Computations Details screen you can:

  • Recompute β€” recompute this employee's salary.
  • Adjust Salary β€” add a salary increase or salary deduction for this cutoff.
  • Add Allowance β€” add an allowance.
  • Add Deduction β€” add a deduction.

Recompute the Whole Cutoff

On the Payroll Summary screen, the Re-Compute button recomputes salaries for all employees in the cutoff. Use it after correcting attendance or adjustments.


Step 4: Submit for Approval

On the Payroll Summary screen (For Review status), the action buttons are:

  • Re-Compute β€” recompute all salaries.
  • Return to Timekeeping β€” send the cutoff back so attendance can be edited.
  • Submit for Approval β€” move the cutoff to the For Approval tab.

When you click Submit for Approval, ANTE checks for unapproved filings. If any employees still have pending Overtime, COA, OB, Leave, or Schedule Adjustment filings, a warning lists them β€” those filings will not be included if you proceed. Tick the acknowledgement and confirm to submit anyway, or return to Time Keeping to approve them first.


Step 5: Approve

  1. In the Payroll Center stepper, open the For Approval tab and click the cutoff card.
  2. On the Payroll Summary, the buttons are:
    • Return to Review β€” send it back to For Review.
    • Approve β€” approve the cutoff and move it to the Approved tab.

Step 6: Publish (Post) Payroll

  1. Open the Approved tab in the Payroll Center and click the cutoff card.
  2. On the Payroll Summary, the buttons are:
    • Return to Review β€” send it back for correction.
    • Publish β€” finalize the payroll. Once published it cannot be modified.
  3. Confirm the publish dialog. The cutoff moves to the Posted tab.

After Posting

Open a cutoff from the Posted tab to:

  • See the Posted badge.
  • Cancel Posted β€” reverse the posting (requires an OTP confirmation).
  • Bank File Writers β€” open the export tool to generate bank files.

Export Bank Files

Click Bank File Writers (available on the Payroll Summary at any status). The Bank File Writers dialog groups employees by bank. For each bank you can Export a file after providing:

  • Payroll Code
  • Batch (a whole number starting at 1)

Employees without bank information appear under a No Bank tab and must be completed before they can be exported.

Export the Payroll Summary

On the Payroll Summary, use the Export button to download the data as:

  • CSV
  • Excel
  • Excel (Detailed)

Handling Rejected Payroll

If a cutoff is returned, the Rejected tab appears in the Payroll Center stepper. Open the card and, on the Payroll Summary, use:

  • Return β€” send the cutoff back to Time Keeping for re-work.
  • Resubmit β€” submit it again for approval.

Importing Posted Payroll from a File

If payroll was processed outside ANTE, you can import a finished (posted) cutoff:

  1. In the Payroll Center, open the Posted tab and click Import Payroll (top right).
  2. In the Import Posted Payroll dialog, select a Cutoff Code and a Cutoff Period (only cutoffs still in Timekeeping status are available).
  3. Optionally click Download Template β€” the template includes 21 required columns (Employee Code, Employee Name, Branch, Payroll Group, Basic Salary, Late, Undertime, Absent, Basic Pay, Allowances, Holiday Pay, Overtime Pay, Night Diff, Rest Day Pay, Gross Pay, SSS, PhilHealth, Pag-IBIG, Tax, Other Deductions, Net Pay), plus any allowance/deduction columns you add via Configure Template Columns.
  4. Drag and drop (or click to upload) your file. ANTE validates it and reports Valid Records, Records with Warnings, and Records with Errors.
  5. Review warnings, select the rows to include, optionally tick Notify employees via email and in-app notification, then click Approve Selected & Process.

Troubleshooting

Employees show "No Data" on the timesheet

Click each affected row to process their timekeeping, or use Recompute All. Make sure their time logs were imported for the cutoff.

Salaries look wrong after a correction

Use Re-Compute on the Payroll Summary (whole cutoff) or Recompute on an employee's Salary Computations Details (one employee).

Submit for Approval warns about unapproved filings

Open Time Keeping for the cutoff, drill into the affected employees' day details, and approve their Overtime / Leave / OB / COA / Schedule Adjustment filings β€” then submit again.

A posted cutoff needs changes

On the Posted card, use Cancel Posted (OTP required) to reverse the posting, then make corrections.

Employees missing from the summary

Confirm they are assigned to the correct cutoff/payroll group and that their attendance was submitted from Time Keeping.
