Salary Certificate
A salary certificate is a control-numbered PDF certifying an employee's employment and compensation for a year, drawn from posted payroll. HR can issue one from the employee record, and — if your company allows it — employees can issue their own. Every certificate is recorded, audited and can be printed again.
It is not part of the per-cutoff routine: you issue one on request, after the payroll it covers has been posted.
Issuing a Certificate as HR
- Open the employee in HRIS
- Choose Salary certificate from the employee's actions
- Pick the Year and, optionally, type a Purpose (optional) such as "Bank loan application"
- Click Generate PDF. The certificate is issued with its control number and downloads immediately
Issuing a certificate for someone else requires the Payroll Center submit or export permission, because the certificate discloses salary.
Issuing Your Own Certificate (Employees)
When the company has turned on self-service, a Salary certificate button appears in the payslip summary on your Dashboard. The dialog is the same: choose the year, add a purpose if you wish, and click Generate PDF. You can only issue a certificate for yourself.
Company Settings: Letterhead and Signatory
Administrators set up the certificate under HR Settings in the Salary certificate card (inside Payroll processing):
Click Save certificate settings. Changing these settings needs the Payroll Center submit permission because it changes a company document.
Every issuance gets its own control number and is audited, so each certificate can be traced back to who issued it and when.
Use the purpose field for context the requester will recognise (for example the bank or embassy it is for).
How It Connects
Set up first
- HR Settings — holds the letterhead, signatory and the option that lets employees issue their own certificate.
Gets its data from
- Payroll Center — a certificate is drawn only from posted payroll, so the cutoffs must be published first.
- Employee Records — HR issues a certificate from the employee's record, which also supplies the employment details.
