Bank Accounts
Bank Accounts is the HR-managed list of every employee's bank accounts, kept separate from salary and contract data. Each account has an effective date, so payroll bank files pay the account that was in force on the cutoff date, not whatever is saved today. Use this screen to search across all employees, import accounts from Excel, and export them. Day-to-day edits for one person are made from their record (see Employee Records).
Opening Bank Accounts
- Open Manpower in the sidebar.
- Click Bank Accounts (it sits next to Employee Records).
You need the Bank Accounts access permission. Importing, exporting, editing, and seeing full account numbers are separate permissions, so the matching buttons and numbers only appear for people who hold them.
The account list
Use the Status filter (Active by default, or Scheduled, Inactive, All) and the search box, which looks across employee, bank, and account. Clicking a row opens the employee's record. When some active employees have no payroll account, a notice reads N active employee(s) have no payroll bank account today and are paid in cash.
Importing bank accounts
- Click Import
The Import bank accounts window opens.
- Download the template and fill it in
One row per account, identified by the employee code. Columns: Employee Code, Bank Name, Account Number, Account Name, Account Type, Effective Date, Payroll Account (Yes or No; blank counts as Yes), Remarks.
- Upload and review
Choose the file and click Upload and review. Each row shows Will be added, No change, or Error with the reason. Nothing is saved yet.
- Import
Click Import N row(s). Rows with errors are skipped. The result reads, for example, 5 added, 1 unchanged, 0 failed.
This import is separate from the employee masterlist import. A new payroll account ends the previous one the day before it starts, and two rows in the same file cannot give one employee a payroll account on the same date.
Exporting
Click Export to download an Excel file of the accounts that match your current search and status filter. Without the View Full Account Numbers permission the number column contains the last four digits only.
Account numbers are sensitive. Grant View Full Account Numbers only to the people who genuinely need to see them, for example those who prepare bank files.
The employee edit form no longer has bank boxes. To change one person's account, use the Bank tab when editing them.
