HR and Payroll Reports

These are the read-only reports in the Manpower menu that answer everyday HR and payroll questions: what did we pay a group of people over several cutoffs, who worked how many days, how much 13th month pay is accrued, who will owe or get back tax at year end, what is being deducted or paid as an allowance, and what leave and approved filings exist. None of them change any record — they only read what payroll, HRIS and the filings have already produced. The Payroll Register, Alphalist, BIR 2316, Monthly Remittance and Payslip Center have their own pages, and the SSS, PhilHealth, Pag-IBIG and Tax Withholding reports are on Government Contribution Reports.

How Report Screens Work

Every report in this group follows the same layout:

  • Filters on top. Pick the period first (a cutoff, a month, a year or a date range, depending on the report). Most reports then let you narrow by Branch and by one employee with Search Employee, which only finds people among the rows currently on screen. Clear all resets the optional filters but keeps the period you chose.
  • A table below. Click a column heading to sort. Where the figures can be added up, a totals line sits at the bottom of the table. Until you have chosen the period the report asks you to select one and shows nothing.
  • Export. The export button writes an Excel file for the same filters. Most reports first open a column picker so you can choose which columns go into the file and in what order; the employee code and name are always included.
Posted payroll versus live data

Reports differ in where their numbers come from, and it matters when you reconcile:

  • Posted payroll only — Payroll Summary Report and Annualization read cutoffs that have been Posted, so they are frozen figures that do not move afterwards. 13th Month Pay accrues from posted cutoffs as well.
  • Live records — Employee Timesheet (any cutoff status), Allowance Reports, Leave Balance Report, Leave Reports and Approval Applications read what is in the system right now, so their figures change as people file, get approved or have plans changed.
  • A mix — Deduction Reports lists current deduction plans but takes the amount actually deducted from the payroll of the period you choose.

Payroll Summary Report

The question it answers: what did each employee earn, have deducted and take home across one or several posted cutoffs added together? It is the report to use for a month, a quarter or any run of cutoffs, where the amounts per employee are summed.

Not the same as the Payroll Summary screen

The per-cutoff Payroll Summary screen you open from Payroll Center is a working screen: it is where one cutoff is reviewed, sent for approval and posted. This Payroll Summary Report is the after-the-fact report across posted cutoffs — you cannot approve or post from it. It shows the same kind of columns as the Payroll Register, but you pick several posted periods under one cutoff code, and it has no branch filter.

Key columns: Employee Code, Employee Name, Branch, Basic Pay, Overtime, Allowances, Gross Pay, Deductions, Tax Basis (Table or Fixed withholding), Allowance Reduction and Net Pay, with column totals at the bottom. Allowances and Deductions are shown as one total each per employee; the export lists them type by type. Basic Pay, Overtime, Gross Pay and Net Pay are added up across the selected periods.

Export: the column picker offers the standard columns plus one column per allowance type and per deduction type you have configured. The file is built from the same detailed layout as the per-cutoff Payroll Summary Excel, added up per employee across the periods you selected.

Who uses it: payroll officers and finance for period totals, and managers who want what a team cost over several cutoffs.

Employee Timesheet

The question it answers: how many days did each employee attend and how many hours were credited in a cutoff, and can I get every employee's daily timesheet in one file?

Filters: Cutoff Code, then Cutoff Period (one period). Unlike the payroll reports, this list includes periods in any stage — current, on process and posted — and each is tagged with its status, so you can check a timesheet before payroll is posted. Then Branch and Search Employee.

Key columns: Employee Code, Employee Name, Branch, Department, Attendance (days) and Total Hours (shown as hours and minutes). The people listed are current employees plus anyone separated whose contract ended on or after the cutoff's start date.

Export: a single Excel workbook with one worksheet per employee for the selected cutoff, so the timesheet of the whole team can be handed over or filed at once. There is no column picker here.

Tip

For a period that is still open, the figures follow what is in Payroll Time Keeping now. Fix punches and filings there, then run the report again.

Who uses it: HR and supervisors verifying attendance before payroll, and anyone who needs a per-employee timesheet as evidence.

13th Month Pay Report

The question it answers: for a calendar year, how much 13th month pay has each employee accrued, how much has already been released, and how much is still owed? The accrual builds up from posted payroll cutoffs; the release side comes from the payments recorded on the 13th Month Pay screen.

Filters: Year, Branch, Employee Status and Search Employee. Employee Status defaults to Active because the report is the pay-from list for the year-end release; choose Resigned or All to see separated employees. Clear all returns the status to Active.

Key columns: Employee Code, Employee Name, Branch, Basic Pay (the base the accrual used), Accrued to Date, Released, Balance and Cutoffs Released, with totals at the bottom. When the 14th month benefit is switched on for the company, 14th Accrued, 14th Released and 14th Balance appear too. For companies that use the attendance-rate method, Attendance Rate (%) and Statutory Minimum also appear, the latter showing Floor paid where the legal minimum was applied.

Warning

A separated employee's accrued 13th month is paid through Separation Pay final pay, not the year-end release, so do not pay a resigned employee from this list.

Per-employee breakdown

Click any row to open that employee's 13th Month Breakdown for the year. It shows the employee's details (code, branch, year, company), the 13th and 14th totals (Accrued, Released, Balance), and two tables: Per-Cutoff Accrual — each posted cutoff with its Base, Accrued amount, a Released or Unreleased status, and a Variance flag — and Payment History with the paid date, benefit, type, amount and notes. Where the attendance-rate method is in use an Attendance rate section is added. Export Excel downloads the breakdown, and Back to 13th Month Pay returns to the list.

Export: a column picker, then Excel with the same status filter as the screen. Who uses it: payroll and finance when planning and reconciling the year-end release.

Annualization Report

The question it answers: after a whole year of posted payroll, has each employee had too much tax withheld (a refund is due) or too little (tax is still payable)? The report recomputes each employee's annual tax against the annual tax table set up in Annualization settings and compares it with what was actually withheld.

Filters: Year, Branch and Search Employee. Changing the year clears the branch and employee choices.

Key columns: Employee Code, Employee Name, Gross Income, Taxable Income, Annualized Tax, Tax Withheld and Settlement. Settlement shows the amount followed by refund or payable, or Settled when the two agree; the totals line at the bottom nets refunds against amounts payable across the whole company. The export column picker adds Branch, Year, Non-Taxable Income, Gov. Contributions (EE Share), BIR Tax Computation (the bracket arithmetic), Tax Due and Tax Refund.

The current year is a projection

While the selected year is the current one, a notice explains that the figures are projections: tax is withheld each period as if that period's pay repeated all year, while the annualized tax is computed on what has actually been paid so far, so mid-year most employees show a refund larger than they will really be owed. Rely on the report once the year's last cutoff is posted.

Drill-down: clicking a row opens the employee's yearly breakdown, which is the same one used by the Alphalist, so this report, the Alphalist and BIR 2316 use one tax computation and cannot disagree.

Who uses it: payroll and finance doing the December true-up and preparing year-end tax settlement.

Deduction Reports

The question it answers: which deduction plans does each employee have, and how much was deducted from them in a given month? It is also used to list loan balances and to prepare the MP2 line of a Pag-IBIG remittance.

Filters: Period Covered (Month) (defaults to the current month), Branch, Deduction Type and Search Employee.

What is listed: one row per employee per deduction plan — the plans that are currently active for current employees, plus any plan that had an amount deducted in the chosen month.

Key columns: Employee Code, Employee Name, Branch Name, Deduction Name, Effectivity Date, Monthly Amortization, Deducted This Period (the amount actually taken in the chosen month, added up from the cutoffs that fall in it), Principal, Total Paid to Date and Remaining Balance. The last three describe the plan over its whole life, not just the month. The export column picker also offers Sub Type (the specific plan underneath a deduction category) and an opt-in MP2 Account No. column — filter to the MP2 deduction and turn it on to get a sheet you can file as the MP2 line of the Pag-IBIG remittance. Who uses it: payroll for loan and savings follow-up, HR for plan audits, and finance for reconciling deductions to what is remitted.

Allowance Reports

The question it answers: which allowances are assigned to which employees, for how much, and how much has each employee received in total?

Filters: Period Covered (Month) (defaults to the current month), Branch, Allowance Type and Search Employee.

What is listed: active allowance plans of current employees. The month filter works on the plan's effectivity date: only plans whose effectivity date falls inside the chosen month are listed.

Tip

To see what an employee actually received in a cutoff, including allowances that started in an earlier month, use the Payroll Register instead; its Allowances column comes from the payslips.

Key columns: Employee Code, Employee Name, Branch Name, Allowance Type, Effectivity Date, Amount (the plan's amount) and Total Allowance Received (everything paid out under that plan to date, not counting reversed entries). The export column picker also offers the allowance Category.

Who uses it: HR and payroll to verify allowance assignments after onboarding or a promotion, and finance to see how much each plan has cost. The plans themselves are set up under Allowance.

Leave Balance Report

The question it answers: how many leave credits does each employee have right now, per leave type? Credits come from the employee's leave plan; see Service Incentive Leaves for how plans earn, use and carry over credits.

Filters: Leave Type (default: all leave types) and Search Employee. There is no period filter — the report always shows today's balances for current employees with an active leave plan.

Key columns: Employee Code, Employee Name, Branch Name, Leave Type, Leaves Earned, Leaves Used, Carried Over, Current Year and Leaves Balance, with totals at the bottom. Leaves Balance is the total remaining; Carried Over is the part of it brought forward from last year and Current Year is the rest. Leaves still waiting for approval are not deducted yet; the export column picker includes a column for them.

Drill-down: click a row to open that employee's leave plan detail and its history. Export: column picker, then Excel. Who uses it: HR checking entitlements before approving leave, and payroll preparing leave conversions.

Leave Reports

The question it answers: which leaves were filed in a date range, by whom, for how many days and with what outcome? Where the Leave Balance Report shows what is left, this one lists the individual leave filings.

Filters: Date Range (defaults to the current month), Leave Type and Search Employee.

Key columns: Employee Code, Employee Name, Leave Type, Leave Dates, Leave Days and Status. All leave filings in the range are listed whatever their status (pending, approved or otherwise), so read the Status column before counting a leave as taken. The export column picker also offers branch, filing reference, reason, filed and approved dates and the approver.

Who uses it: HR and supervisors reviewing leave patterns, and payroll cross-checking leave days against a cutoff. Filings themselves are made and approved on Leave Filing.

Approval Applications

The question it answers: which filings were approved in a date range, and who approved them? It is the audit trail of approved requests across filing types.

Filters: Date Range (defaults to the current month), Filing Type and Search Employee. Filing Type offers Leave, Overtime, Certificate of Attendance, Official Business and Schedule Adjustment; the default is all types. Only approved filings are listed.

Key columns: Employee Code, Employee Name, Branch, Type, Start Date, End Date, Duration (days for leave, hours for the others), Remarks and Approver. The export column picker adds more detail such as the filing reference and filed and approved dates.

Who uses it: HR and auditors checking that payroll-affecting changes had an approval, and managers reviewing what their team has had approved. See Filing Approvals for who approves each type.

How It Connects

Set up first

  • Cut-Off Management — defines the pay periods that the cutoff-based reports let you pick.
  • Annualization — holds the annual tax table the Annualization Report compares withholding against.
  • Service Incentive Leaves — defines the leave types and plans behind the leave reports.
  • Filing Approvals — decides who approves the filings that appear in Approval Applications.

Gets its data from

  • Payroll Summary — once a cutoff is posted there, its figures become available to the posted-payroll reports.
  • Payroll Time Keeping — supplies the attendance days and credited hours in Employee Timesheet.
  • Filings — leave and other approved filings feed the leave and approval reports.
  • 13th Month Pay — records the releases that the 13th Month Pay Report subtracts from the accrual.
  • Deduction — the deduction plans listed in Deduction Reports.
  • Employee Records — provides the employee, branch and department details shown in every report.

Feeds into

  • Alphalist Report — uses the same year-end tax computation as the Annualization Report.
  • BIR 2316 — uses the same year-end tax computation as the Annualization Report.
  • Separation Pay — releases the accrued 13th month of separated employees shown in the 13th Month Pay Report.
