The questions HR and payroll administrators ask most often about employee records, attendance, filings, and payroll β€” with a short answer and a link to the page that explains it in full.

Employees and Their Records

Why can't a newly created employee sign in?

Creating an employee never sets their password. ANTE creates the account with an activation invitation and lets the employee choose their own password from a Set My Password email. The Send activation email now checkbox is off by default on both the single Add Employee form and the bulk import, so unless you ticked it, no email has gone out yet β€” the employee's Account Status on the Employee Records list reads Invitation sent.

Send or resend the email from Settings β†’ User Invites using the invitation's Resend button. The link expires after 7 days; if the employee waited too long they will see an Invalid or Expired Link message and need a fresh one. An employee record created without a valid email address stays on Invitation sent until an administrator adds an email. See Account Activation and Settings β†’ User Invites.

How do I add or change an employee's allowance, deduction, or loan?

Open the employee in Employee Records and use the Allowances and Deductions & Loans sections on their detail page. You can add, edit, and remove entries there without leaving the record. Loans have two extra actions β€” Add Balance to increase the outstanding amount and Pay Balance to record a payment (both require remarks).

Each action is gated by its own permission, so depending on your role you may see only some of them, or a read-only section with no Add Allowance / Add Deduction button at all. Removing an allowance, deduction, or loan here permanently deletes that assignment and cannot be undone. Recurring company-wide plans are set up separately under Deduction Plans; the per-employee reference is in Employee Records (HRIS).

Who approves the profile changes employees submit themselves?

When an employee edits their own details from Settings β†’ My Profile, the change is not applied straight away β€” it becomes a request that HR must review. Every HR user who holds the profile-change approval permission gets an in-app notification, and clicking it opens Manpower β†’ Profile Change Requests.

On any row, click View to see the full before-and-after comparison of every field the employee changed, along with any supporting documents they attached, then approve or reject it. Users with view-only access can read the request but cannot decide on it. Full detail: Profile Change Requests.

Timekeeping and Attendance

How do I correct a wrong time log?

It depends on what is wrong. If a punch itself should not be there β€” a duplicate scan, for example β€” open Manpower β†’ Timekeeping Logs β†’ Raw Logs Browse, find the row, and click Delete. This is a soft delete: the punch is hidden but kept for audit, the day's timekeeping is recomputed automatically, and you can bring it back by switching the Deleted Logs filter to Include Deleted and clicking Restore. Deleting needs the Delete Raw Logs permission.

If the punches are right but the computed hours are not, correct the day instead: in Payroll Time Keeping, open the employee's timesheet, right-click the day and choose Modify Time to enter override values, or Adjust Shift if the wrong shift was applied. Either way, both routes only work while the cutoff covering that date is still in the Timekeeping stage. See Raw Logs Browse and Payroll Time Keeping.

Why does an employee show "No Data" on the payroll timesheet?

Their timekeeping for that cutoff has not been computed yet. On an open cutoff the row reads No Data / Click to process β€” clicking it computes that one employee on the spot. To do the whole cutoff at once, use Recompute All at the top right of the timesheet.

If the row still comes back empty afterwards, the underlying attendance is missing: confirm the employee's punches were captured or imported for those dates. On a cutoff opened from the In Process / Posted tab the row simply reads No Data and clicking does nothing, because a cutoff already in payroll can no longer be computed. See How to Process Payroll.

Why won't the kiosk recognize an employee's face?

Every attempt is recorded in Face Scan Logs, including the ones that were refused, so you can see exactly why. Filter by the employee, open their most recent attempt, and read the Result explanation. An Ambiguous result means a look-alike was too close to safely tell apart, so the kiosk refused rather than risk clocking the wrong person. No Match means nobody was within the required match confidence, Quality Fail means the captured image was too dark, blurry, or distant to evaluate, and Offline means the kiosk had no internet at that moment and rejected the scan with a "No Internet Connection" message.

The Evaluation section shows the numbers behind the decision and the Faces section puts the captured frame next to the employee's enrolled photo, which usually makes a poor enrollment obvious. See Face Scan Logs.

Why can't an employee file overtime?

The usual cause is the company rule: under Manpower β†’ Configuration β†’ Settings, the Overtime / Timekeeping group has an Allow Filing Without Logs switch. When it is off, an overtime filing is only accepted if there are matching time logs for that period β€” so an employee with no captured punches for the date cannot file. Turn it on if your policy allows filing without logs.

The other cause is timing. A new filing dated inside a cutoff that has already been submitted for payroll is rejected, because that period's attendance is frozen. Filings must be submitted before their cutoff leaves Time Keeping. See HR Settings.

Payroll Processing

Why is an employee missing from the payroll run?

Check their Payroll Group first. Payroll only computes employees who belong to a payroll group, and the group is what ties them to a cutoff schedule β€” an employee with no group simply never appears in any cutoff. The assignment lives on their record in Employee Records, next to branch and schedule. If a whole period shows 0 in the Employees column on Time Keeping, nobody has been assigned to the payroll group that owns that cutoff.

If they are in the right group and still missing from the summary, confirm the cutoff's attendance was submitted from Time Keeping. Employees separated during the period are not missing β€” they appear in a separate Separated Employees (On Hold) section below the main table, with their salary computed but release held. Tip

A missing employee is almost always a payroll-group assignment, not a computation problem β€” check that before recomputing anything.

Why can't I edit attendance once the cutoff has been submitted for payroll?

Clicking Submit for Payroll freezes that cutoff's attendance. The freeze lasts for as long as the cutoff sits at any payroll stage β€” For Review, For Approval, Approved, or Posted β€” not only after it is published. You can still open and read everything, but Modify Time, Recompute, the right-click day menu, manual raw logs, and time imports for those dates are all blocked, so the figures payroll is reviewing cannot shift underneath it.

To edit again, open the cutoff's Payroll Summary and click Return to Timekeeping, make the corrections, then Submit for Payroll again. A filing that was submitted while the cutoff was still open but only approved after it locked is not lost β€” it is approved normally and its pay is added to the employee's next open cutoff as a Carry-over line. Why don't the payroll figures reflect the correction I just made?

Salaries are computed once and then stored, so a correction only shows after a recomputation. For a single person, open their Salary Detail from the Payroll Summary and use Recompute; for the whole period, use Re-Compute on the Payroll Summary itself. Recomputation runs in the background and can take a while on a large cutoff.

Manual adjustments are the exception β€” adding or deleting a salary adjustment, allowance, or deduction on the Salary Detail page recomputes that employee automatically. See Salary Detail.

What happens when I cancel a posted payroll?

Open the cutoff from the Posted stage and click Cancel Posted; the action requires a one-time passcode to confirm. The posting is reversed and the cutoff returns to For Review, which unfreezes its roster and its attendance so you can correct whatever was wrong and take it back through approval and publishing. Re-posting freezes everything again at the new moment of posting.

Until you do that, a posted cutoff is fixed: its employee list, on-hold section, totals, exports, and bank files stay exactly as they were when it was published, and separations or rehires processed afterwards do not change it. Note that only posted periods appear in the Payslip Center, so cancelling a posting also withdraws those payslips until it is published again. See Payroll Center.

Warning

Publishing warns you that a posted cutoff cannot be modified β€” reversing it always costs an OTP confirmation and a second trip through the approval workflow.

Configuration, Schedules, and Policies

Why don't my cutoff periods cover the dates I expected?

The semi-monthly day pair is the usual surprise. First Period Cutoff and Last Period Cutoff are the days a period begins, not the end of a range. Setting them to 15 and 28 does not produce periods of 1–15 and 16–28; it produces a period running from the 15th to the 27th and the next running from the 28th to the 14th of the following month.

Use the Projected periods panel at the bottom of the Add or Edit dialog β€” it lists the exact dates the current settings would generate before you save. When you edit an existing cutoff, that panel gains an On save column telling you which periods would be re-shaped and which are Locked by payroll: only periods still in the Timekeeping stage that start today or later are ever changed. Tip

Changing only Processing Period (Days) moves the pay date without touching any period's start or end, so it saves without the re-shape confirmation.

Why isn't an employee's Time Tracker session counting as attendance?

The Time Tracker widget is available to everyone, but whether a session counts as real attendance depends on the employee's schedule. Enable Time Tracker is a switch on the schedule itself and is off by default β€” anyone on a schedule without it (or with no employee record at all) can still track time against their tasks, but that time is labelled "task time only" and never reaches the DTR or payroll.

The second cause is the network rule. When Restrict to whitelisted IPs is on in HR Settings, a session started from an address outside the company whitelist and outside the employee's own allowed IPs is not blocked β€” it is quietly downgraded to task time only. If the switch is on and the whitelist is empty, no session from anywhere can count as attendance. See Schedule Management and HR Settings.

How do I control when SSS, PhilHealth, Pag-IBIG, and tax are deducted?

On the Payroll Group, not on the employee. Its Deduction Periods section sets when each of Withholding Tax, SSS, PhilHealth, and Pag-IBIG is taken within the cutoff β€” First Period, Last Period, Every Period, or Not Deducted. The Deduction Basis section separately decides what amount SSS and PhilHealth are computed against (Basic Salary, Basic Pay, Pro-rated Basic Pay, or Gross Pay). Every employee assigned to that group follows those rules. The one exception is Withholding Tax for an employee with a fixed withholding tax setup β€” that employee follows the setup's own period instead of the group's.

The four contribution reports under Manpower β†’ Reports are filled in automatically when a cutoff is posted. If one opens empty for a cutoff that is already posted, a Generate Report button appears β€” clicking it once builds the data for all four reports from that posted payroll's figures. How do leave credits renew, and can I run a renewal immediately?

A leave plan can grant credits two ways at once. Its Renewal Type β€” Hiring Anniversary, Start of Year, Monthly, or Custom Date β€” grants the annual credits once per cycle, and Monthly Accrual Credits adds a set amount every month on top of that, regardless of the renewal type. The renewal schedule belongs to the plan, not to the employee: change it on the plan and every employee assigned to it moves to the new schedule when you save.

Accruals and renewals process automatically once a day. To apply them right away β€” after editing a plan's credit settings, for example β€” use Run renewals now on the Active tab of Service Incentive Leaves. It is safe to run more than once: a plan that already received this month's accrual or this cycle's renewal is skipped rather than double-credited. Per-employee credit settings are on the Assign Leave Plan form.
