Employee Tags
Employee Tags are free-form hashtag labels you invent for your own company β things like #factory, #work-from-home, or #set-a. Unlike Department, Branch, Payroll Group, or Schedule, which are each a single choice per employee, a tag is many-to-many: an employee can carry as many as make sense, and the same tag can sit on employees from different departments and branches. Use tags to slice your headcount along whatever cuts across your org chart β a project team, a work arrangement, a shift group β without having to bend Department or Branch to fit it.
This page manages the tag vocabulary for the whole company. You don't have to start here β the fastest way to create a tag is to type its name while adding or editing an employee, on Employee Records. This page exists for what that quick picker cannot safely do: renaming a tag, changing its color, merging two tags into one, and retiring a tag across every employee that carries it.
Opening Employee Tags
- Open Manpower in the sidebar.
- Go to HR Setup.
- Click Employee Tags.
Who Can Do What
Opening this page requires the Employee Tags configuration access permission β it's separate from plain Employee Records access. You do not need it to use tags while working with employees: seeing the Tags column and filter on Employee Records, and picking or typing a new tag while adding or editing an employee, only need whatever permission you already have to view or edit employees.
This page's own actions are gated separately, since each one touches every employee carrying the tag:
- The Add Tag button (creating a tag from this page, rather than inline on an employee record) needs the Employee Tags create permission.
- Renaming or recoloring a tag needs the Employee Tags update permission.
- Deleting or merging a tag needs the Employee Tags delete permission.
Without a permission, the matching button or row action simply doesn't appear.
The Tag List
The list shows one row per tag with these columns:
- Tag β the name as a colored chip, e.g.
#factory - Employees β how many employees currently carry this tag
- Created β when the tag was added. (hidden by default β turn it on from Column Visibility)
Search by tag name. Click a row to edit that tag (rename or recolor) if you have the update permission. When there are no tags yet, the list reads No tags yet. Create one here, or type a new tag while editing an employee.
Creating a Tag
- Click Add Tag.
- Tag name β required. Whatever you type is normalized automatically: stored lowercase and hyphenated, without the leading
#(the app renders that for you).Work From Home,work from home, and#Work-From-Homeall become the same tag,#work-from-homeβ a live preview chip shows you the exact result as you type. - Color β pick a preset swatch or choose your own. Left blank, the app assigns the next unused color from the same preset palette, so your first dozen or so tags each get a visually distinct color automatically.
- Click Add Tag to save.
A name that collides with a tag that already exists is rejected β Tag #factory already exists β rename or reuse the existing one instead of creating a near-duplicate.
Renaming or Recoloring a Tag
- Click the tag's row (or its edit action).
- Change the Tag name and/or Color.
- Click Save.
The new name and color apply immediately everywhere the tag is shown β the Employee Records list, employee detail pages, and every employee's tag picker β since it's the same tag record, not a copy.
Renaming onto a name that's already taken by another live tag is rejected with a pointer to merge instead: Tag #x already exists. Merge into it instead of renaming. See Deleting or Merging a Tag below.
Deleting or Merging a Tag
Click the tag's delete action to open a confirmation dialog. What it offers depends on whether anyone currently carries the tag:
- Tag carried by nobody β the dialog simply confirms No employees carry this tag. Deleting it is safe. Click Delete.
- Tag carried by one or more employees β the dialog warns This tag is on N employee(s). Deleting it removes the tag from all of them. To keep them grouped, merge into another tag instead. and shows a Merge into field (placeholder Leave empty to delete instead):
- Leave it empty and click Delete β the tag is removed and every employee who had it simply no longer carries it.
- Pick another tag and the button changes to Merge β every employee on the tag being deleted is moved onto the tag you picked, and a success message confirms how many employee assignments moved. The original tag is then retired.
Deleting (or merging away) a tag cannot be undone. If you're not sure, merging into a close match is the safer choice β it keeps the employees grouped under a tag that still exists.
Where Tags Show Up
Once a tag exists, it's usable everywhere ANTE deals with employees:
- Employee Records β an opt-in Tags column, and a Tags filter (with an Any tag / All tags choice once you pick two or more)
- Adding or editing an employee β a Tags picker that can also create a tag inline
- An employee's detail page β its own Tags section
- Bulk import and export β a Tags spreadsheet column
