Salary Detail

The Salary Detail page shows the full salary computation for a single employee within a payroll cutoff. It is where you drill into one person's payslip β€” seeing exactly how their net pay was built up from earnings, government contributions, taxes, and deductions β€” and where you can add manual adjustments (a salary increase or deduction, an extra allowance, or an extra deduction) for that cutoff.

Overview

You reach the Salary Detail page by clicking an employee's row on the Payroll Summary. The page is organized into tabs so you can look at the same computation from different angles:

  • Summary β€” a payslip-style view with earnings on one side and deductions on the other, ending in net pay.
  • Day Breakdown β€” a day-by-day table of deductions and earnings (hidden for fixed-rate employees).
  • Computation Summary β€” the detailed basis behind every figure: rates, deduction periods, and the full government-contribution and tax computations.
  • Raw Logs β€” the underlying timekeeping records for the cutoff, shown read-only.

From the page header you can also jump to the employee's timekeeping, and add manual salary adjustments.

Accessing Salary Detail

  1. Click Manpower in the sidebar
  2. Open Payroll
  3. Select Payroll Center
  4. Click a cutoff card to open its Payroll Summary
  5. Click the employee's row in the summary table

The page title shows the employee's name, and the breadcrumb trail is: Manpower β€Ί Payroll β€Ί Payroll Center β€Ί Summary β€Ί [Employee Name].

Click the back arrow (or the Summary breadcrumb) to return to the Payroll Summary.

Note: If the page can't find the timekeeping information for that employee and cutoff, it shows an "Unable to load salary detail" message with a Go Back button. Open the employee from the Payroll Summary so the page receives the right context.

Attendance Changed After Computation Warning (legacy data only)

Attendance can no longer be edited once payroll processing has started for a cutoff β€” see Timekeeping Freeze. This means a newly processed employee's salary can never go stale, and this banner only appears on older cutoffs computed before the freeze took effect.

If this employee's attendance was edited (in timekeeping) after their salary was already computed for this (older) cutoff, an "Attendance changed after computation" banner appears at the top of the page. The message names the reason the salary went stale β€” for example "This payslip's attendance changed after the salary was computed (Leave approved (Jul 3)), so the figures below may be out of date." Reasons include a leave approval, an attendance edit, a holiday change, an approved overtime filing, or a schedule/shift/team reassignment.

Use View Timekeeping to double-check the attendance, then go back to the Payroll Summary and click Re-Compute to refresh this employee's (and the cutoff's) figures. If the cutoff is submitted, approved, or published while this employee is still stale, a confirmation dialog on the Payroll Summary page requires acknowledging the affected employees before it can proceed β€” see Payroll Summary.

The Tabs

A row of tabs sits at the top of the page. Click a tab to switch views; the active tab is remembered in the page address, so refreshing keeps you on the same tab.

Summary tab

The Summary tab is laid out like a paper payslip. At the top is a prominent Net Pay figure, followed by two columns:

  • Earnings (left) β€” basic pay, allowances, any manual salary adjustments, and (where applicable) year-to-date figures.
  • Deductions (right) β€” government contributions, tax, loans, and any manual deductions. When a year-end tax true-up adjustment applied to this cutoff, Tax shows the per-cutoff base amount and a separate line shows the reconciling difference (negative means a refund) β€” the two lines sum to the actual tax withheld. That line reads Tax Adjustment (Annualization) for the ordinary year-end true-up, or Tax Refund (Minimum Wage Exemption Correction) when this cutoff instead settles a mid-year MWE declaration's correction for earlier cutoffs β€” never both on the same cutoff. When a fixed withholding tax setup was consulted for this cutoff, the Tax line carries an extra annotation naming the setup, and its wording depends on what happened: when the fixed amount was applied, it names the setup and shows what the BIR table would otherwise have withheld; when the amount had to be capped to the employee's available net pay, it shows the shortfall that went unwithheld and flags the cutoff for review; when the setup's period clashes with the payroll group's withholding period, it says the table was applied instead and flags the cutoff for review; and when the employee is a declared minimum-wage earner, it says the setup was not applied because the exemption takes precedence. Separately, when the employee has Projected Bonus Tax Smoothing set and it changed this cutoff's tax, the Tax line carries a note reading "Includes bonus tax smoothing" β€” it names the peso amount added to this payday's tax computation for the expected bonus excess, alongside what the BIR table alone gives for the taxable income by itself. If a bonus paid through this same payroll cutoff pushed the employee over the ceiling, the note also shows how much of that bonus was already taxed in advance, so it isn't taxed twice.

Manual adjustments that were added for this cutoff are marked with an indicator. Click an adjustment to open its Adjustment Details dialog, where you can review it and delete it (see Adding and removing adjustments).

Carry-over (previous cutoff)

If this cutoff includes any pay carried over from a filing that was approved after an earlier cutoff was already locked for payroll processing (see Timekeeping Freeze), a "Carry-over (previous cutoff)" section appears at the bottom of the Earnings column, below Manual Adjustment. Each line shows the filing type and date, with its amount; a Total Carry-over row sums them. Carry-over pay is taxable and is included in this cutoff's gross pay and Manual Earnings.

Click the transfer icon next to a carry-over line to open the Carry-over Details dialog, showing:

  • From cutoff β€” the source cutoff period and its status
  • Filing date(s) β€” the date(s) the original filing covered
  • Filed on β€” when the filing was originally submitted
  • Approved by and Approved on β€” who approved it late, and when
  • Computation breakdown β€” the line items (item, qty, rate, factor, amount) used to compute the carried amount, using the rates from the original (frozen) cutoff

Day Breakdown tab

The Day Breakdown tab shows one row per day in the cutoff, with a totals row at the top. For each day it breaks the figures into:

  • Deductions β€” Late, Undertime, Absent, and the deduction total. When the payroll group prices days Per scheduled hour, the Day Rate shows the hours behind the day's worth (for example "10.00 h scheduled Γ— 86.71 = 867.08") and an absence shows the hours docked. A day marked "priced at one daily rate β€” shift has no scheduled hours" fell back to a flat daily rate because its shift has no work hours set; fix the shift and recompute.
  • Basic Pay β€” shown for Daily Rate employees.
  • Additional Earnings β€” Rest Day, Overtime, Night Differential, Night-Differential Overtime, Special Holiday Pay, Regular Holiday Pay, and the earnings total.

A Day Rate column shows the rate applied for that day.

A small warning icon next to the Date on a day means that day is the one a legacy "attendance changed after computation" reason (see below) refers to β€” hover it for the reason. This only appears on older, pre-freeze cutoffs.

This tab does not appear for Fixed Rate employees, whose pay is not computed day by day.

Computation Summary tab

The Computation Summary tab explains how every amount was derived. It has two columns:

  • Computation Basis (left) β€” the settings and rates that drive the computation:

    • Payroll Period Type and Computation Type (Monthly, Daily, or Fixed Rate)
    • Salary Rate β€” monthly rate, daily rate, hourly rate, and the basic salary for the cutoff. For a daily-rate employee the basic salary is the sum of the day rates in the cutoff; a rest day the employee worked enters it at the hours actually rendered (worked hours Γ· 8 Γ— daily rate, capped at one day), the same base the rest-day premium is computed on, so Basic Salary less absences and late/undertime always equals Basic Pay. A partially worked Extra Day is prorated the same way; a full Extra Day is unaffected
    • Deduction Period β€” the period used for Withholding Tax, SSS, PhilHealth, and Pag-IBIG. For an employee with a fixed withholding tax setup in force, the Withholding Tax period shown is the setup's own period, not the payroll group's.
    • Deduction Basis β€” the basis used for SSS and PhilHealth
    • SSS Computation β€” amount basis, employee share, employer share (including Employees' Compensation), Mandatory Provident Fund, and Monthly Salary Credit
    • PhilHealth Computation β€” percentage, amount basis, minimum/maximum contribution, and employee/employer shares
    • Pag-IBIG Computation β€” percentage, amount basis, and employee/employer shares
    • Tax Computation β€” taxable income basis, taxable offset, percentage, fixed amount, and tax total. When the employee has a Taxable allowance for the cutoff, Total Taxable Allowance breaks out into two sub-rows: Withheld at source (regular compensation) (the part taxed every cutoff, from allowance types whose Tax treatment is set to Regular compensation) and Above the other-benefits pool ceiling (the part of an Other benefit allowance type that spilled over the annual ceiling and became taxable)
  • Tax Computation & Salary Breakdown (right) β€” the tax computation alongside the salary breakdown for the employee's rate type (Monthly, Daily, or Fixed). Loans and allowances are summarized here too, and β€” if this cutoff has any β€” a Carry-over (previous cutoff) group is itemized here as well, with its own total, so the breakdown still adds up to Gross Pay (see Carry-over (previous cutoff)). As in the Summary tab, manual adjustments are clickable and open the Adjustment Details dialog.

Raw Logs tab

The Raw Logs tab shows the employee's underlying timekeeping records for the cutoff period. It is read-only here β€” you cannot edit time records from the Salary Detail page. To edit attendance, use the View Timekeeping action (below) or the Payroll Time Keeping screens.

Basic Salary β€” Prorated

Normally the Basic Salary figure is the employee's full rate for the cutoff. When it comes out lower than that, an information icon appears next to Basic Salary β€” on the Summary tab, in the Computation Summary tab's salary breakdown, and in its Tax Computation section. Hover the icon to see why.

This happens when the employee has two overlapping employment contracts in Contract History during this cutoff β€” payroll prorates the basic salary across both contracts' rates instead of paying the full cutoff rate. The tooltip shows:

  • Full cutoff rate β€” what Basic Salary would be with no proration
  • Prorated basic salary β€” the actual amount used for this cutoff
  • Difference β€” the shortfall between the two
  • Every contract involved, with its employment status, rate, and date range

The tooltip's heading tells you which of two situations you're looking at:

  • "Prorated across overlapping contracts" β€” both contracts carry the same rate, so pay did not actually change; this is a sign of a contract-records problem (a duplicate or overlapping row) rather than an intended change. See Managing Contract History to find and deactivate the extra contract.
  • "Prorated for a contract change" β€” the contracts carry different rates, meaning this is a genuine mid-cutoff change (for example a promotion or salary adjustment effective partway through the cutoff), and the proration is correct.

Either way, the tooltip also clarifies that absences, late, and undertime are still deducted separately, further down the payslip β€” the prorated Basic Salary is not a double deduction.

Page Actions

The page header carries these buttons:

  • View Timekeeping β€” opens the employee's timekeeping for this cutoff, so you can review or correct their attendance records.
  • Re-Compute β€” recomputes this employee's salary. (This button is currently shown as disabled.)
  • Add Adjustment β€” a dropdown that lets you add a manual adjustment to this cutoff:
    • Adjust Salary β€” add a salary increase or deduction
    • Add Allowance β€” add an extra allowance
    • Add Deduction β€” add an extra deduction

Add Adjustment disappears once this cutoff is POSTED β€” a posted payslip is final, so new manual adjustments can no longer be added to it.

Adding and Removing Adjustments

Manual adjustments apply only to the cutoff you're viewing. Adding or deleting one triggers a recomputation of the employee's salary.

Add a salary adjustment

  1. Click Add Adjustment in the page header
  2. Choose Adjust Salary
  3. In the dialog:
    • Adjustment Type (required) β€” select Salary Increase or Salary Deduction
    • Adjustment Title (required) β€” a short label for the adjustment
    • Adjustment Amount (required) β€” a positive amount greater than 0
    • Count toward 13th month pay β€” a checkbox, unchecked by default. It appears only when the company's 13th Month Pay settings are set to Set individually per adjustment; otherwise the company-wide rule decides and this checkbox does not appear. Leave it unchecked for refunds, overtime, and holiday pay β€” the employee is paid the full amount either way, and the checkbox only affects the 13th-month figure.
  4. Click Save

Choosing Salary Deduction applies the amount as a reduction; you still enter a positive number.

Add an allowance

  1. Click Add Adjustment, then Add Allowance
  2. In the dialog:
    • Allowance Type (required) β€” pick from the list of configured allowances (the field is searchable)
    • Allowance Amount (required) β€” a positive amount greater than 0
  3. Click Save

Add a deduction

  1. Click Add Adjustment, then Add Deduction
  2. In the dialog:
    • Deduction Title (required) β€” a short label for the deduction
    • Deduction Amount (required) β€” a positive amount greater than 0
  3. Click Save

Remove an adjustment

  1. On the Summary or Computation Summary tab, click the manual adjustment you want to remove
  2. The Adjustment Details dialog opens, showing the adjustment Type, Title, Amount, Created date, and β€” for a Salary adjustment β€” its 13th Month treatment
  3. Click Delete Adjustment and confirm

Note: Deleting an adjustment triggers a salary recomputation, so the figures on the page will update.

Once the cutoff is POSTED, Delete Adjustment no longer appears β€” a posted payslip is final, so it can no longer be changed or deleted. The dialog's notice explains this, and the adjustment's 13th Month treatment can still be reclassified even then (see below) β€” reclassifying does not touch the payslip.

Reclassify a salary adjustment's 13th month treatment

This applies only to a Salary adjustment β€” the only kind that can fold into basic pay for 13th-month purposes.

  1. On the Summary or Computation Summary tab, click the salary adjustment
  2. In Adjustment Details, find the 13th Month row. It reads Counted or Not counted.
  3. If the company's 13th Month Pay settings are set to Set individually per adjustment, a button next to the status lets you switch it β€” Count it or Don't count. Under either of the other two company-wide modes, the row instead reads (company setting) and there is no button, because the company-wide rule decides regardless of this adjustment's own setting.

Reclassifying changes only the 13th-month figure β€” the employee's gross pay, net pay, payslip, and government-contribution bases are unchanged either way. Because the 13th-month accrual is recalculated live every time it's viewed, this correction applies immediately, even on an already-posted cutoff β€” no unposting or recomputation needed.

Common Tasks

Review how an employee's net pay was computed

  1. Open the cutoff's Payroll Summary and click the employee's row
  2. Stay on the Summary tab to see earnings, deductions, and net pay
  3. Switch to Computation Summary to see the rates, contribution breakdowns, and tax computation behind those figures
  4. Switch to Day Breakdown to check the day-by-day deductions and earnings (non-fixed-rate employees)

Add a one-time allowance for a cutoff

  1. Open the employee's Salary Detail
  2. Click Add Adjustment β€Ί Add Allowance
  3. Select the Allowance Type and enter the Amount
  4. Click Save β€” the salary recomputes with the new allowance included

Correct attendance behind a salary figure

  1. Open the employee's Salary Detail
  2. Click View Timekeeping to open their timekeeping for the cutoff
  3. Make the corrections in timekeeping, then return to review the updated salary

Remove an adjustment you added by mistake

  1. On the Summary tab, click the adjustment indicator
  2. In Adjustment Details, click Delete Adjustment
  3. The salary recomputes without the adjustment

Only available before the cutoff is POSTED β€” once posted, the payslip is final and Delete Adjustment no longer appears.

Correct a refund or overtime wrongly counted toward 13th month pay

  1. On the Summary or Computation Summary tab, click the salary adjustment
  2. In Adjustment Details, find the 13th Month row and click Don't count (or Count it to reverse it)

Only offered when the company's 13th Month Pay settings are set to Set individually per adjustment. The employee's pay is unaffected β€” this only corrects the 13th-month figure, and it works even on an already-posted cutoff.


⚠️ Note: Manual adjustments made here apply only to the cutoff you're viewing, and adding or deleting one recomputes the employee's salary.
