Fund Accounts

Fund Accounts are the bank accounts, e-wallets, check accounts, and cash funds your organization uses to make and receive payments. Each fund account keeps a running balance that updates automatically as treasury transactions post against it.

Overview

Open Treasury → Fund Accounts from the sidebar. The list page shows every fund account, with a balance for each. From here you can add a new account, search and filter the list, or click a row to view an account's details and recent transactions.

Page Layout

The Fund Accounts list page contains:

  • Add Fund Account button (top right) - Opens the new fund account form
  • Search - Search by Account Name or Account Number
  • Account Type filter - Filter the list by type (defaults to "All Types")
  • Fund accounts table - One row per account

Table Columns

Click any row to open that account's detail page.

Account Types

When creating or editing an account you choose one of these types:

Common Tasks

Adding a Fund Account

  1. On the Fund Accounts list page, click Add Fund Account.
  2. Under Basic Information, fill in:
    • Account Name (required) - A descriptive name for the account
    • Account Number (required) - The account number
    • Account Type (required) - Select Bank Account, Check, E-Wallet, or Cash
    • Initial Balance - The starting balance (defaults to 0; must be zero or a positive number)
  3. Under Additional Information, optionally fill in:
    • Description - A short note about the account
    • Account Title (GL account) - Tag this account to a chart-of-accounts cash account to put it "in the books" (see Account Title below). Leave blank to keep it as a simple cash tracker.
  4. Click Create Fund Account.

Viewing an Account and Its Transactions

  1. Click an account row on the list page.
  2. The detail page shows:
    • An overview card with the account name, account number, type, and current balance.
    • An Account Information section listing Account Name, Account Number, Account Type, Account Title (GL account), Description, Created date, and Updated date.
    • A Recent Transactions section showing the latest transactions with columns: Date, Type, Memo, Amount, and Balance. Deposits show a "+" amount; withdrawals show a "-" amount.

The transaction list is read-only - it reflects movements posted by other parts of the system.

Editing a Fund Account

  1. Open the account's detail page and click Edit.
  2. Update the Account Name, Account Number, Account Type, Description, or Account Title (GL account) as needed.
  3. Click Save Changes.

The current balance is shown on the edit page but cannot be changed directly - the balance only moves through treasury transactions. To clear a GL tag, use the Clear tag option on the Account Title field.

Deleting a Fund Account

  1. Open the account's detail page and click Delete.
  2. Confirm in the dialog. This action cannot be undone.

Account Title (GL account)

The optional Account Title (GL account) field ties a fund account into your accounting books:

  • Tagged (a GL cash account is selected) - The fund account is "in the books." Bank statement imports require each line to be resolved to its accounting treatment, and settlements post to this GL account.
  • Untagged (left blank) - The fund account is a simple cash tracker. Statement lines are recorded as cash movements only, with no GL posting.

Importing a Bank Statement

You can import a bank statement to record its transactions against a fund account.

  1. Open the account's detail page and click Import Statement.
  2. Upload - Select a statement file. Accepted formats are PDF, PNG, JPG, JPEG, WEBP, XLSX, XLS, and CSV. The system parses the statement, flags duplicate lines, and (for tagged accounts) suggests matches to outstanding receivables and payables.
  3. Resolve - A summary shows the Total, Deposits, Withdrawals, and Duplicates counts, followed by one row per parsed line. Each line has a checkbox to include or exclude it.
    • For an untagged account, included lines are simply recorded as cash movements.
    • For a tagged account, choose how to record each line under How to record:
      • Settle receivable - Apply the line to an outstanding receivable (choose the matching document)
      • Settle payable - Apply the line to an outstanding payable (choose the matching document)
      • Categorize to GL account - Post the line to a chosen GL account
      • Transfer - Record a transfer to another fund account
      • Record as unresolved cash - Park the line as unresolved cash
      • Skip - Do not record the line
  4. Click Post resolved to record the included lines.
  5. Done - A result summary shows Posted, Skipped, and Failed counts. Any failed lines are listed. From here you can go Back to account or Import another statement.
Tip

If the accounting period covering the statement dates is closed, posting is blocked until the period is reopened.


💡 Note: A fund account's balance always reflects the transactions posted against it - you cannot type a new balance. Tag an account to a GL cash account when you need it reflected in your accounting books.
