Journal Entries

A journal entry is one debit or credit line against one account. Lines are grouped into balanced transactions called journal vouchers. The Journal Entries screens give you the line-level view: a list of every line across all documents, a form to create a manual journal, and a page that explains a single line.

You reach it at Treasury → Accounting → Journal Entries.

Journal Entry List

One row per line. Posted lines appear by their posting date and drafts by their document date; the default range is the current month. Click a row to open the line's information page.

Accountfilter
Show only lines on one account.
Cost Centrefilter
Show only lines tagged to one cost centre.
Date rangefilter
Limits by posting date (document date for drafts).
Posting Statusfilter
Draft or Posted. Only posted lines count in the financial reports.
Searchtext
Finds lines by description, account code or vendor name.
Posting Date, Doc Date, Entry Datecolumns
When the line hit the ledger, the date of its document, and when it was entered.
Triggered By, Approved By, Documentcolumns
Who started and approved the transaction, and which document it belongs to.
Account, Cost Centre, Description, Business Partnercolumns
What the line is for. Business Partner is hidden by default; turn it on from the column controls to see the customer or supplier on imported lines.
Currency, Rate, Debit, Creditcolumns
The line's own currency and amount. Foreign-currency pages add the company-currency debit and credit.

Header buttons

ImportStarts the AI-assisted Import Journal Entries wizard for a ledger exported from another system.
ExportDownloads lines as an Excel file. The dialog starts with the filters you are looking at and lets you set From and To dates, Account, Cost Centre and Posting Status (including All statuses) before you click Export. Disabled when the list is empty.
Delete AllVisible to full-access administrators only. Permanently deletes every journal entry, posted and draft, in the date range currently on screen (other filters are ignored), and reverses the cash balances they backed. A one-time code sent by Telegram is required. It cannot be undone, so use it only to reset test data.

New Journal Entry

Use this form for entries that have no paper behind them: accruals, reclassifications, month-end adjustments. Saving creates a draft manual journal; it reaches the books only after you post it from its document page. The same form, titled Edit Journal Entry, is used by Edit lines on a draft manual journal.

Title*text
A short name, for example “Month-end accrual”.
Memotext
An optional note kept with the voucher.
Transaction Date*date
The date of the transaction. It also determines the accounting period when posted.
Currencydropdown
The currency of the lines. Defaults to your company currency.
FX Rate*number
Appears only for a foreign currency: how many units of company currency one unit of the voucher currency is worth. Fetch rate fills it from the exchange rate table for the transaction date.
Account*picker
The ledger account of each line, chosen from your chart of accounts.
Line Descriptiontext
An optional note on one line.
Cost Centredropdown
Optional: tag the line to a cost centre. Inactive ones stay selectable only if the line already uses them.
Debit / Creditnumber
The amount of the line, in either the Debit or the Credit column. Typing in one clears the other.

Add line adds a row. Under the lines, a running balance shows Total Debit, Total Credit and, for a foreign currency, the base-currency equivalent.

Save draft becomes available only when the title and date are filled, at least two lines are used, every used line has an account, the foreign-currency rate (if any) is above zero, and total debits equal total credits.

  1. Click New journal entry

    From Journal Entries or Journal Vouchers.

  2. Fill in the header

    Enter the Title, Transaction Date and, if needed, the Currency and rate.

  3. Enter balanced lines

    Pick an account for each line and enter its debit or credit.

  4. Save draft, then post

    Click Save draft. You land on the document page, where Post puts the entry on the books (see Documents).

Worked example

Accrue 25,000 of December rent: line 1 is Debit Rent Expense 25,000, line 2 is Credit Accrued Expenses 25,000. Total debit 25,000 equals total credit 25,000, so the entry can be saved. If you typed 24,000 on the credit line the balance would show a difference and Save draft would stay disabled.

Journal Entry Information

Clicking a row in the list opens that one line, not the whole voucher. The header shows the account and the amount, with the posting and source badges. The tabs are:

  • Overview — the line itself (sequence, account, debit, credit, currency, description, and for foreign lines the rate and base-currency amounts, source, reviewed or not, AI model and the AI's rationale) next to its voucher (title, doc code, type, vendor, dates, posting status, who triggered and approved it). The View voucher button opens the voucher.
  • Other Lines — the remaining lines of the same voucher.
  • Activity — the voucher's audit trail.
  • Imported source — only for lines brought in with the journal import: the original columns from the source file, grouped as Document, Line / Account, Amounts, Business Partner, Tax, Contra / Group Account and Audit.

A line cannot be edited here. Change a draft manual journal from its voucher (Edit lines), submit a correction on its document, or reverse a posted voucher.
