General Ledger
The General Ledger is the detailed record behind every financial statement. For each account it shows the opening balance, every posted journal line in the period with a running balance, and the closing balance. Use it to answer "what makes up this number?". Draft (unposted) documents are excluded.
Where to Find It
- Click Treasury in the sidebar
- Open Financial Statements, then select General Ledger
You need the Treasury Financial Statements permission. The page title shows the company's currency, for example General Ledger (PHP). You also land here when you click an account line on the Income Statement or Cash Flow Statement, or Open in General Ledger in an Amount Breakdown; the account and dates are filled in for you.
Filtering
Reading the Ledger
Each account is its own card. The header shows the account code and name and its Opening balance. The table lists Date, Document, Description, Debit, Credit and Running Balance. The footer shows Total Debit, Total Credit and the Closing balance.
The running balance is in the company's functional currency. The Debit and Credit columns show each line's own amounts.
Seeing What Makes Up an Amount
Click the opening balance, any debit or credit amount, or the footer totals to open the Amount Breakdown for that figure, which explains how it is computed and lists the journal lines behind it.
Exporting to Excel
Export to Excel downloads the ledger for the applied account and period. The General Ledger has no reporting-currency option.
How It Connects
Set up first
- Chart of Accounts — the accounts you can pick in the Account filter.
Gets its data from
- Journal Entries — every posted journal line appears here under its account.
- Journal Vouchers — the voucher each journal line belongs to.
- Documents — posted source documents show as the Document on each line.
- Payroll Journal — posted payroll journals appear on the salary and payable accounts.
Feeds into
- Trial Balance — summarizes these same lines into one balance per account.
- Balance Sheet — its Amount Breakdown opens the ledger behind a balance.
- Income Statement — clicking an account line opens this ledger for the same period.
- Cash Flow Statement — clicking an account line opens this ledger for the same period.
