Receivables Aging

The Receivables Aging report shows all of your open sales invoices grouped by client and bucketed by how far past due they are. It lets you see, at a glance, which clients owe money and how overdue each balance is β€” current, slightly late, or seriously overdue.

Overview

This report answers a simple question: "Who owes us money, and how late are they?" Each client appears once, with their outstanding balance split across five age bands. A grand-total footer sums every band across all clients. Because the report is calculated as of a date you choose, you can review your receivables position for today or for any point in the past.

Invoices are aged from their due date. When an invoice has no due date, its invoice date is used instead. The number of days past due (relative to the as-of date) decides which band each outstanding balance falls into.

How to Open

Go to Treasury β†’ Receivables β†’ Aging Report.

Page Layout

The page has two parts: a filter card at the top and the aging table below it.

Filter

  • As of date β€” The date the report is calculated for. Pick a date to age invoices as they stood on that day. Leave it blank to use today.
  • Apply β€” Recalculates the report for the chosen as-of date.

Aging Table

One row per client, with the client name in the first column followed by the five age bands and a row total.

ColumnDescription
ClientThe client/customer name. A dash is shown when an invoice has no linked client.
CurrentOutstanding balance that is not yet overdue (0 days past due).
1–30 daysOutstanding balance that is 1 to 30 days past due.
31–60 daysOutstanding balance that is 31 to 60 days past due.
61–90 daysOutstanding balance that is 61 to 90 days past due.
90+ daysOutstanding balance that is more than 90 days past due.
TotalThe client's total outstanding balance across all bands.

Grand Total

Below the table, a Grand Total line sums every band (Current, 1–30 days, 31–60 days, 61–90 days, 90+ days) and the overall total across all clients.

When there are no open invoices as of the selected date, the report shows the message "No open items as of this date."

Common Tasks

Reviewing Today's Receivables

  1. Go to Treasury β†’ Receivables β†’ Aging Report.
  2. Leave the As of date field blank (this uses today's date).
  3. Click Apply if you changed the date; otherwise the report loads automatically.
  4. Read each client's row to see how their outstanding balance is spread across the age bands.

Checking Receivables As of a Past Date

  1. Go to Treasury β†’ Receivables β†’ Aging Report.
  2. In As of date, pick the date you want the report calculated for.
  3. Click Apply.
  4. The table and grand total update to reflect open balances as of that date.

Identifying Seriously Overdue Clients

  1. Open the Aging Report.
  2. Scan the 61–90 days and 90+ days columns for any non-zero amounts.
  3. Clients with balances in these columns have the most overdue receivables and are your highest collection priority.

Tips

  • Use the as-of date to look back. Changing the date lets you reconstruct how your receivables looked at month-end or any earlier point.
  • Focus on the right-hand columns. Amounts in the 61–90 days and 90+ days bands represent the most aged β€” and usually the most at-risk β€” balances.
  • The Grand Total is your headline number. It gives the combined outstanding receivables across every client, already split by age band.

πŸ’‘ Note: The Receivables Aging report only includes open invoices β€” those still carrying an outstanding balance. Fully paid invoices drop off the report.
