Prepayment Schedules
Prepayment Schedules show how each prepaid expense is released to the profit and loss over time. There is one sheet per prepaid account. Its rows are the individual prepayment items, with the opening balance, new additions, the amount released in each month, and the balance at the date. Each sheet ends by comparing its total with the balance per the general ledger, so you can see at a glance whether the prepayment records agree with the books.
Where to Find It
- Click Treasury in the sidebar
- Open Accounting, then Schedules, and select Prepayment Schedules
Choosing Which Accounts Appear
Only accounts you have flagged appear here. Open the account on the Chart of Accounts, edit it, and turn on Prepayment Schedule: it includes the prepaid account in this report, with one amortization sheet per flagged account. If nothing is flagged, the page tells you to do exactly that.
Choosing the Period
Click Apply to refresh. The page title shows the currency.
Reading a Sheet
Items are grouped by the nature of the prepayment. For each item you see the opening balance, additions during the year, one column per month of release, and the balance as at the date. The sheet is footed by Total, Per GL and Diff. A Diff of zero means the schedule ties to the ledger. Click any amount to open Amount Breakdown for how it was built.
Export to Excel in the page header downloads all the sheets for the chosen period, ready to hand to your auditor.
How It Connects
Set up first
- Chart of Accounts — the Prepayment Schedule switch on an account decides which sheets appear.
Gets its data from
- Journal Entries — prepayments and their monthly releases are posted as journal lines on the prepaid account.
Feeds into
- Balance Sheet — the schedule supports the prepaid balance reported there.
- Account Schedules — the general balance-sheet working papers cover the same accounts.
- P&L Schedules — monthly releases land in the related expense accounts.
