Import Bank Statement

Bank Statement Import lets you bring the transactions from a bank statement into a fund account in one guided pass. You upload the statement file, the system reads it for you and flags lines it has already seen, you review and decide how each line should be recorded, and then you post them. It saves you from typing each movement by hand and helps you match deposits and withdrawals to your existing receivables and payables.

Overview

Every import runs as a three-step flow:

  1. Upload - Choose the statement file. The system reads it, counts the deposits and withdrawals, flags any lines that look like duplicates, and (for accounts that are tied into your books) suggests which outstanding receivable or payable each line should settle.
  2. Resolve - Review one row per line. Tick the lines you want to keep, and for an account that is tied into the books, choose how each line should be recorded.
  3. Done - See how many lines posted, how many were skipped, and whether any failed.

How much you decide on each line depends on whether the fund account is tagged or untagged:

  • Tagged account (the fund account is tied to a chart-of-accounts cash account) - The account is "in the books," so each line must be resolved to an accounting treatment before it posts.
  • Untagged account (a simple cash tracker) - Lines are recorded as cash movements only, with no further decision to make.

Where to Find It

  1. Open Treasury → Fund Accounts from the sidebar.
  2. Click the fund account you want to import into.
  3. On the account's detail page, click the Import Statement button (top right).

This opens the Import Bank Statement page for that account. Its breadcrumb trail reads Treasury › Fund Accounts › [account name] › Import Bank Statement. Use the back arrow at any time to return to the account.

Step 1 - Upload

The upload step shows an Upload a bank statement panel and a short hint that changes with the account:

  • For a tagged account: "This fund account is tied into the books — resolve each line to its accounting treatment."
  • For an untagged account: "This fund account is untagged (a cash tracker) — lines record as cash movements only."

To upload:

  1. Click the file picker and choose your statement file.
  2. The system reads the file. A Parsing the statement… message appears while it works, and a panel shows the reading progress.
  3. When reading finishes, the page moves to the Resolve step automatically.

Accepted file formats

You can upload either a document scan or a spreadsheet/export of the statement:

Tip

Only one file is processed per import. Upload the single statement file that covers the period you want to bring in.

If the file cannot be read, a Failed to parse the statement message appears and you stay on the upload step so you can try a different file.

Step 2 - Resolve

The resolve step is where you review and decide. It has three parts: a summary, any warnings, and the line list.

Summary

A row of counts summarizes what was read from the statement:

If anything needs your attention while reading the file, a list of warnings appears under the summary.

The line list

Below the summary is one row per statement line. Each row shows:

  • A checkbox to include or exclude the line. New lines start ticked; lines flagged as duplicates start unticked.
  • The date of the line.
  • The description from the statement (shows a dash if blank).
  • A Duplicate badge when the line appears to already be recorded.
  • The amount, shown with a + for a deposit (money in) or a - for a withdrawal (money out).

When a line is ticked, its recording options appear:

  • For an untagged account, the line simply shows "Recorded as a cash movement (no GL)." - there is nothing more to choose.
  • For a tagged account, a How to record menu appears. Some choices reveal an extra field (see the table below).

How to record (tagged accounts)

The system pre-fills a suggested option for each line to save you time - for example, suggesting Skip for a duplicate, or suggesting a receivable/payable match when it finds a likely one. You can always change the suggestion.

Posting

At the bottom of the resolve step, a summary reads "X to post · Y skipped", where the to-post count is the number of ticked lines and the skipped count is the rest.

  • Click Back to return to the upload step and start over with a different file.
  • Click Post resolved to record the ticked lines. This button is unavailable while posting is in progress, or when no lines are ticked.

Step 3 - Done

After posting, a result summary appears with these counts:

If any lines failed, they are listed underneath with the reason for each.

From the Done step you can:

  • Click Back to account to return to the fund account's detail page.
  • Click Import another to clear the screen and start a fresh import for the same account.

Common Tasks

Import a statement into an untagged cash account

  1. Open the fund account and click Import Statement.
  2. Upload the statement file and wait for it to be read.
  3. On the Resolve step, untick any lines you do not want (for example, duplicates).
  4. Click Post resolved.
  5. Review the Posted, Skipped, and Failed counts, then click Back to account.

Settle receivables and payables from a tagged account

  1. Open the tagged fund account and click Import Statement.
  2. Upload the statement file.
  3. On the Resolve step, for each line set How to record:
    • Choose Settle receivable or Settle payable and pick the matching document under Match.
    • Choose Categorize to GL account for income or expenses that are not a receivable or payable.
    • Choose Transfer for movements to another fund account.
    • Choose Record as unresolved cash for anything you cannot match yet.
    • Choose Skip (or untick the line) for anything you do not want recorded.
  4. Click Post resolved.
  5. Review the result counts. If any lines failed, read the listed reasons and re-import those after fixing the cause.

Handle duplicate lines

Lines the system recognizes as already recorded carry a Duplicate badge and start unticked, so they will not post unless you choose to include them. Leave them unticked to avoid recording the same movement twice.

Troubleshooting

Tip

Each import is reviewed fresh - nothing is saved between the upload and the moment you click Post resolved. If you leave the page before posting, simply start the import again.


💡 Note: Whether you must decide an accounting treatment for each line depends on the account. A tagged account (tied to a GL cash account) needs each line resolved; an untagged account records lines as cash movements only.
