Leased Assets

A leased asset is a lease contract you pay for over time, for example an office, a vehicle or equipment you rent. ANTE treats each lease the way modern lease accounting does: when the lease starts it records a lease liability (what you owe) and a matching right-of-use (ROU) asset (what you get to use), then every month it books the interest on the liability and the depreciation of the ROU asset. This page teaches the two screens that manage a lease: Treasury → Leased Assets → Leased Assets (the list) and the lease detail page you open from it.

How a Lease Moves Through Its Life

StatusMeaning
DraftThe contract is still being set up. You can Edit, Delete or Activate it. Nothing is posted to the books yet.
ActiveThe repayment schedule exists and the recognition journal has been posted. The contract terms are locked. Monthly journals and payments are tracked from here.
Closed / TerminatedThe other two statuses the list can filter by.
Warning

A lease can only be edited or deleted while it is a draft. Once activated, the schedule is locked. Check the terms and the GL accounts before you press Activate.

Leased Assets List

The list shows every lease of the company. Use the Status filter (All statuses, Draft, Active, Closed, Terminated) and the search box to narrow it, and click any column header to sort. Click a row to open its detail page.

LessorThe party you rent from.
Term (months)The length of the lease, shown like "36 mo".
Monthly PaymentThe recurring payment in the lease currency.
Contract Start / Contract End / Renewal NoticeThe key dates of the contract.
StatusDraft, Active, Closed or Terminated.
DueA badge with the number of monthly journals that are due but not yet posted for that lease. A dash means none.

When any active lease has monthly journals waiting, a banner at the top reads "N monthly lease journal(s) due to post." The one-click Post all due action lives on the Lease Journals page and on each lease detail page.

Create a Lease

Click New Lease. The Create Leased Asset form is a three-step wizard; press Next to move forward (each step is checked before you can continue) and Back to return. The lease is saved as a draft when you press Create on the last step.

Step 1: Contract

Asset Code*
Your identifier for the lease. It must be unique in the company and cannot be changed later.
Asset Name*
What is being leased.
Lessor
The party you pay.
Department
The department using the asset.
Category
A free-text grouping for the asset.
Lessee
The party that holds the lease.
Description
Any extra notes.

Step 2: Lease Terms

Currency
The currency of the lease. It starts as PHP and is stored in capitals.
Monthly Payment*
The fixed payment made every month.
Term (months)*
How many monthly payments the lease has.
Discount Rate (%)*
The yearly rate used to discount the payments to today's value. Enter 6 for 6%.
Payment Day
The day of the month each payment falls due.
Contract Start*
When the lease begins. The first period is due from this date.
Contract End*
Must be after the start date.
Renewal Notice
The date by which you must decide to renew. It is shown in the list so you can plan ahead.

Step 3: GL Accounts

These are the chart-of-accounts accounts the lease journals post to. Pick each one from the account search.

ROU Asset Account*
Where the right-of-use asset is recorded. The form starts with 1610.
Lease Liability Account*
Where the amount you owe is recorded. The form starts with 2210.
Interest Expense Account
Receives the monthly interest. If left empty, the account mapped for lease interest expense in GL Account Mapping is used.
Depreciation Expense Account
Receives the monthly ROU depreciation. Defaults from the same mapping when empty.
Accumulated Depreciation Account
Builds up the depreciation of the ROU asset. Defaults from the mapping when empty.
Tip

The accounts are saved on the lease when it is created. Changing the GL mapping later does not alter a lease that already exists.

Lease Detail

The detail page has three tabs and a header with the lease status. A draft lease shows Edit, Delete and Activate. An active lease with unposted months shows Post all due.

Overview Tab

Three read-only blocks: Contract (code, name, lessor, department, category, lessee and the three dates), Lease Terms (currency, monthly payment, term, discount rate, and once active the Initial Liability and Initial ROU Asset) and GL Accounts. A draft shows the hint that activating generates the repayment schedule and posts the recognition journal.

Repayment Schedule Tab

One row per month with Due Date, Opening Liability, Payment, Interest, Principal, Closing Liability, Depreciation, the Payment status (Due, Paid or Overdue) and the Journal status (Pending or Posted). The Actions column offers two buttons per row:

Post journal
Appears while the month is not posted. Books that month's interest and depreciation to the general ledger.
Record payment
Appears while the month is not paid. Marks the period as paid for the scheduled amount today. This tracks the payment only; it does not move money from a fund account.

Journals Tab

The posted journals of this lease: the Recognition journal and one Period N journal for each month posted. Open one to see it in Journal Vouchers.

Activate a Lease

  1. Open the draft lease

    Click it in the list, then check the Overview tab.

  2. Click Activate and confirm

    The confirmation says that activating generates the repayment schedule and posts the recognition journal.

  3. Read the result

    ANTE works out the present value of all the payments at the discount rate. That figure becomes both the Initial Liability and the Initial ROU Asset, and the recognition journal debits the ROU asset account and credits the lease liability account for it. The schedule then splits each payment into interest and principal, and spreads the ROU asset evenly over the term as depreciation.

Tip

Each month's journal debits Interest Expense and credits Lease Liability for the interest, and debits Depreciation Expense and credits Accumulated Depreciation for the depreciation. Posting the same month twice does not create a second document.

How It Connects

Set up first

  • Chart of Accounts — must contain the ROU asset, lease liability, interest and depreciation accounts a lease posts to.
  • GL Account Mapping — supplies the default interest, depreciation and accumulated depreciation accounts for new leases.

Feeds into

  • Repayment Schedule — lists every lease period across all leases in one report.
  • Lease Ledger — shows each lease’s remaining liability and net ROU asset.
  • Monthly Transition — rolls the portfolio liability and ROU asset forward month by month.
  • Lease Journals — lists the recognition and monthly documents posted for leases and posts the ones that are due.
  • Journal Vouchers — holds every lease journal as a balanced voucher in the general ledger.
  • Lease Liabilities — reports the movement of the lease liability account.
