Refill Requests

A refill request lets a petty cash holder ask for a top-up of their own float without waiting for someone else to notice they are running low. The request first goes to the holder's supervisor for approval, then Treasury releases the cash out of a fund account (or rejects it).

Overview

Any Active petty cash holder can request a refill for their own float from their dashboard. The request routes to the requester's direct supervisor as a normal approval task - the same approval flow used elsewhere in Ante; if the holder has no supervisor, the request is approved automatically and goes straight to Treasury. A holder can hold only one open request (Pending Approval or Awaiting Release) at a time, and can cancel their own request while it is still Pending Approval.

Finding This Page

In the sidebar, go to Treasury → Petty Cash → Refill Requests. This is where Treasury reviews approved requests and releases (or rejects) them.

Page Layout

The Refill Requests page lists every request as a table:

Release and Reject buttons appear only on rows in Awaiting Release status. Search filters the list by Requested By.

Common Tasks

Requesting a Refill (Holders)

  1. On the Dashboard, click the open-in-new icon on the Petty Cash widget to open Petty Cash Details.
  2. Click Request Refill in the dialog footer. It is disabled while you already have an open request, or while your fund is still Pending Handover.
  3. Fill in:
    • Amount (required) - must be greater than 0.
    • Reason (required) - why your float needs topping up.
  4. Click Submit Request.

A success message confirms the request, and it appears under the Refill Requests tab of the same dialog.

Approving a Refill Request (Supervisors)

A submitted request routes to the holder's direct supervisor as a normal approval task - the same approval flow used elsewhere in Ante. Approving moves the request to Awaiting Release; rejecting returns it as Rejected. If the holder has no supervisor, this step is skipped and the request goes straight to Treasury already in Awaiting Release status.

Releasing or Rejecting a Request (Treasury)

Once a request reaches Awaiting Release, it appears on this page with Release and Reject buttons.

To release:

  1. Click Release.
  2. Choose the Fund Account (required) the cash will be paid out of.
  3. Click Release to confirm. The holder's balance is topped up by the requested amount and the status becomes Released.

To reject:

  1. Click Reject.
  2. Enter a Reason (required).
  3. Click Reject to confirm. The request is marked Rejected.

Cancelling a Request (Holders)

While your request is still Pending Approval, you can withdraw it yourself:

  1. Open Petty Cash Details from the dashboard widget and switch to the Refill Requests tab.
  2. Click Cancel next to the request.

The request is marked Cancelled. Once a request has moved past Pending Approval, it can no longer be cancelled.
