Payment Methods

A payment method is a way a customer can pay at the Point of Sale — Cash, GCash, Card and so on. Each method is tied to one fund account, so every sale paid that way lands in the right bank account, e-wallet or cash drawer in Treasury. This page is where you define those methods.

Where to Find It

Open Point of Sale → Payment Methods. The screen is part of POS configuration, but the money side of it lives in Treasury, which is why it is documented here.

The Payment Methods List

The list shows one row per method. Click a row to open its details. Use Add Payment Method to create a new one.

NameThe label the cashier sees at checkout.
ScopeCompany-wide (available on every POS device) or the ID of the single device it belongs to.
Fund AccountThe account, with its type, that receives the money.
Ref. RequiredA check mark when the cashier must type a reference number.
StatusActive or Inactive. Order and Created can be shown from the column picker.

You can search by name, fund account or device ID, and filter by Status and Scope (Company-wide or Device-specific).

Common Tasks

Adding a Payment Method

  1. Open the form

    On the list, click Add Payment Method.

  2. Fill in the details
    Name*
    What the cashier sees, for example Cash, GCash or Credit Card. Names must be unique in your company; a duplicate is rejected.
    Fund Account*
    The fund account the payments are credited to. Pick from the accounts set up in Treasury; each option shows the account type in brackets.
    Display Ordernumber
    Position in the cashier's list; lower numbers appear first. Defaults to 0.
    Requires Reference Numbercheckbox
    When ticked, the cashier must enter a reference (an e-wallet transaction number or card approval code) before taking that payment. Off by default.
    Activecheckbox
    On by default. Only active methods are offered at checkout.
  3. Save

    Click Add Payment Method. You return to the list and the new method is available on the POS devices.

Viewing a Payment Method

The details page shows Name, Fund Account (with type), Requires Reference, Display Order, Status and Device (shown as Company-wide when it is not tied to one device). From here you can Edit or Delete it.

Editing a Payment Method

Click Edit on the details page. You can change the same five fields as when adding.

Device-specific methods

A method tied to a single POS device cannot be edited or deleted here. Registering a POS device automatically creates a CASH method for it, with its own cash fund account; remove the device to remove that method.

Deleting or Deactivating a Payment Method

Click Delete on the details page and confirm. A method that has already been used on a sale cannot be deleted — untick Active instead so it stops appearing at checkout but your sales history stays intact.

Tip

If a sale is later voided or cancelled, the amount is taken back out of the fund account of the method used, so avoid re-pointing a method to a different account while old sales may still be voided.

How It Connects

Set up first

  • Fund Account — every payment method must point at a fund account, so create the cash, bank or e-wallet account first.

Feeds into

  • Fund Account — each POS payment is credited to the method’s fund account, and a void or cancel takes it back out.
  • POS Sales Report — sales are reported by the payment method used.
